Overview

What the NetX Zapier integration does for you

NetX is a digital asset management tool: the place where a team keeps its images, documents and other files, organizes them in folders and hands them out. Zapier connects it to your other apps through Zaps, automations made of one trigger (the event that starts them) and one or more actions (what they then do for you).

Three results come up most. A heads-up on new files: New Asset in Folder starts a Zap for every asset added to the folder you pick, so the people who need it hear about it without browsing the library. A watch on changes: Asset Updated in Folder reacts when an existing asset in a folder is updated, handy when the update must reach another tool or a shared list. Files that file themselves: Add New Asset drops a file from an earlier step into a NetX folder, and Update Asset changes an existing asset named by its Asset ID, typed in or found first by Find Asset.

A fourth door is easy to miss. New Asset by Query does not watch a folder: it starts the Zap when a new asset matches a query you set.

What Zapier does not do here: all three triggers are polling ones, so nothing in NetX reaches Zapier instantly. On the free plan, Zapier checks every 15 minutes. There is no action to delete or move an asset either, and Add New Asset never writes into the Top Level folder.

Vocabulary

Zapier vocabulary in one minute

Eight terms come back across this page. Here is each one in a line.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new or updated asset.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like adding an asset.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only the unseen ones.
Instant trigger
A trigger the app reports itself, the moment the event happens. NetX has none on Zapier, so the timer always applies.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found, such as an asset ID.
Cost

What a NetX Zap really costs

NetX is not a premium app: it works from the free plan. You are billed in tasks, and only for actions that succeed.

  • TriggerNever costs a task
  • Successful action1 task each
  • Failed actionNot counted
  • Free plan100 tasks a month, unlimited two-step Zaps
  • Find Asset in a ZapMakes it multi-step, paid plan

Zapier checking your folders costs nothing, however often it looks, and the trigger itself never uses a task. Each action that goes through counts once; one that fails is not counted. A Zap with three actions uses three times what a one-action Zap uses. The free plan stops at two steps: add a filter, a second action or Find Asset, and the Zap becomes multi-step and needs a paid plan. The grid below sets how often Zapier checks each of the three NetX triggers.

Connect

Connect your NetX account in 3 steps

  1. 01

    Add the connection from Apps

In your Zapier account, open the Apps page and click + Add connection. Search for NetX in the dialog, pick it, then confirm with Add connection. It all starts in Zapier, not in NetX.

  2. 02

    Sign in to NetX

Sign in to NetX in the tab that opens. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Grant access and reuse it

Grant Zapier access to the account. That connection (your NetX account linked once) is then reused by every NetX step, in this Zap and in the ones you build next.

First Zap

Your first Zap: tell the team when a filtered asset arrives

GoalPost a message in your team chat each time a new asset lands in a chosen NetX folder and passes your rule.

  1. 01

Build: pick NetX and New Asset in Folder

Create a Zap, choose NetX as the app that starts it and New Asset in Folder as the event, select your connection, then pick the folder to watch.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent assets of that folder, so you pick a real one and set the next steps on actual data.

  3. 03

    Add the filter (paid plan)

Click the plus icon, choose Filter, then fill the field to look at, the rule and the value. A text rule works on text only, a number rule on numbers only. The filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the chat message

Add your team chat as the action, choose the step that sends a message, and write it with values from the asset picked at test.

  5. 05

    Test, then publish

Run each step once and read what came back. Then publish the Zap to switch it on: each message sent costs one task, and Zapier checks the folder at your plan's interval.

Triggers

The 3 NetX triggers

3 events start a Zap when something happens in NetX. Zapier checks for them at the interval your plan allows.

1

Asset Updated in Folder

Polling trigger

In Zapier“Triggers when an asset in a folder is updated.”

Starts the Zap when an asset in the chosen folder is updated. Where New Asset in Folder looks for arrivals, this one looks for changes, so it is the one to pick when an edit matters more than an upload.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
to let a shared list or a chat channel know that a file they rely on has been updated.
Watch out
the Folder field is required, so the trigger only watches the folder you pick and nothing outside it.
2

New Asset by Query

Polling trigger

In Zapier“Triggers when there is a new asset matching the query.”

Here the starting point is a query rather than a place. Each new asset that matches it starts the Zap, so you follow what the query catches instead of a single folder.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when the files you care about are spread over several folders but share something a query can catch.
Watch out
write the query, then check at test which assets it actually returns before you build the rest of the Zap.
3

New Asset in Folder

Polling trigger

In Zapier“Triggers when there is a new asset in a folder.”

Fires for every asset added to the folder you select. It is the simplest watch: one folder, and each fresh file in it becomes one run of the Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
for a drop folder where new deliveries arrive and someone has to act on each of them.
Watch out
files that were already in the folder before you publish are not picked up; only new ones start the Zap.
Actions

The 2 NetX actions

NetX gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add New Asset

Action

In Zapier“Adds a new asset to a folder.”

Uploads a file into a NetX folder, taken from an earlier step or from a public link, under the file name you give it.

When to use it
when files arrive in another tool and belong in the library without a manual upload.
Watch out
the file must be no bigger than 25 MB, the name needs its extension, and the Top Level folder is off limits.
2

Update Asset

Action

In Zapier“Updates an existing asset.”

Changes an asset that already exists in NetX. The step needs to know which one, through its Asset ID.

When to use it
after Find Asset, to edit the asset it located without opening NetX.
Watch out
the Asset ID is required; type it in or map the ID that a search step found earlier in the Zap.
Searches

The NetX search

1 search step looks for data that already exists in NetX, so a later step can use it.

A search step looks up something that already exists so the next steps can use it. In the action list, NetX's search sits at the bottom, under SEARCH. Three settings decide what happens when the result is not clean.

1

Find Asset

Search

In Zapier“Searches for an asset by query.”

Looks for an asset by query and hands what it found to the steps that follow, including the ID Update Asset needs.

When to use it
right before Update Asset, when no earlier step carries the Asset ID itself.
Watch out
adding it makes the Zap multi-step, so it needs a paid plan; check at test how closely NetX matches your query.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns the search into a find-or-create. NetX offers no find-or-create variant for Find Asset.
  3. If multiple search results are found?
Three ways out when several assets match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a NetX Zap breaks

Zapier attaches no help article to NetX. The cases below mix Zapier's general limits with the rules the NetX fields spell out.

Go through them before you publish. If a run still does something you did not expect, see our Zapier troubleshooting guide.

  • File over 25 MB

Add New Asset accepts files of 25 MB at most. A bigger file from an earlier step cannot be uploaded by this action.
  • Top Level folder refused

Add New Asset cannot add an asset to the Top Level folder. Point the Folder field at a subfolder instead.
  • File name without an extension

Desired File Name is required and must carry an extension such as .jpg, .png or .docx. Check it at test before you publish.
  • No catch-up on old assets

A Zap only reacts to what happens after you switch it on. Assets already in NetX are not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the very folder its own trigger watches can start itself again and again and burn through your tasks.
  • Big batches and repeats

A bulk import can trip Zapier's flood protection. On polling triggers, Zapier tracks what it has seen, so the same asset does not start the Zap twice.

FAQ

NetX and Zapier: frequent questions

01Is the NetX Zapier integration free?
Partly. NetX is not a premium app, so a Zap made of one trigger and one action runs on Zapier's free plan: 100 tasks a month and unlimited Zaps, each limited to those two steps. A Zap from New Asset in Folder to a chat message fits there. Find Asset is a different story: a search step makes the Zap multi-step, so pairing it with Update Asset needs a paid plan. The same goes for a filter or a second action.
02How many tasks does a NetX Zap use?
One task per action that succeeds. The three NetX triggers never cost a task, and Zapier checking your folders is free however often it looks. A Zap that sends one message per new asset uses one task per asset. If the Zap posts a message and then updates the asset, a run where both work costs two tasks. An action that fails is not counted. A few apps and actions take more than one task when they complete.
03Does NetX work with Zapier in real time?
No. All three NetX triggers are polling triggers: Zapier asks NetX for new or updated assets at a fixed interval. That interval is 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. On the paid plans you can also change how often a trigger checks, and run a check by hand from the editor. The trigger type comes from the app itself and cannot be changed from Zapier.
04What does connecting NetX to Zapier require?
An account on NetX, plus read or write access on anything you do not own yourself and want the Zap to touch. Start from the Apps page of your Zapier account, click + Add connection, search for NetX, confirm with Add connection, sign in to NetX in the tab that opens and grant access. The connection is saved once and every NetX step reuses it. For Add New Asset, you also need a subfolder to write into.
05Why is a file refused by Add New Asset?
Look at its three required fields first. The Folder cannot be the Top Level folder. The Asset must be 25 MB or less, passed as a file from an earlier step or as a public link NetX can download. The Desired File Name must end with an extension, such as .jpg, .png or .docx. Run the step test once with a real file, read what comes back, and fix the field concerned before you publish.
06What if the NetX operation you need is not listed?
Then the Zapier editor cannot do it with NetX today. The app offers 3 triggers, 2 actions and 1 search: watch folders and queries, add an asset, update one, find one. There is no step to delete or move an asset. The NetX page on Zapier shows the current list, so check it before you build a Zap around a missing step; a Zapier setting cannot make up for an operation the app does not offer.
07Zapier, Make or n8n for NetX?
Pick by criteria, not by ranking. Availability first: on Zapier, NetX is ready with 6 operations; check the Make and n8n catalogs to see whether they offer NetX at all. Timing next: every NetX trigger on Zapier is a polling one, so your plan's interval decides how fast a new asset is noticed. Cost last: Zapier bills each successful action, and a Find Asset plus Update Asset Zap already needs a paid plan.
