Overview

What the Learner Community Zapier integration actually does

Learner Community is a learning management system started as a Xerox initiative. On Zapier it only speaks: ten triggers report what happens to learners, from a new account to an enrollment left idle. Learner Community never receives anything back; every Zap ends in another app of your choice.

Three results worth building first. Help that arrives when it counts: Activity Failed sends a message to whoever follows the learner, the moment the attempt fails, instead of at the next progress review. A nudge for the ones who stall: Enrollment Idle and Account Idle fire after the number of days you set, so a reminder can go out before a learner drops off for good. A clean record outside the platform: Enrollment Completed and New Enrollment feed a spreadsheet, so reporting does not depend on logging in.

What Zapier does not do for Learner Community is just as clear. There is no action: no Zap can enroll a learner, create an account or update a profile inside the platform. There is no search, so a Zap cannot look up a learner mid-run. Data only flows out.

That one-way shape suits alerts and reporting well. If your plan needs to write back into the platform, the editor will not offer it, and the n8n vs Zapier comparison is a sensible next read before forcing anything.

Vocabulary

Zapier vocabulary in one minute

Seven words carry this page. Here they are, once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap; once the Zap is on, Zapier waits for it. Learner Community offers ten.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you. Here it always lives in another app.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens. All ten Learner Community triggers work this way.
Polling trigger
The other kind: Zapier asks the app for new items at a fixed interval set by your plan. Learner Community has none.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Cost

What a Learner Community Zap really costs

Learner Community is not a premium app, so it runs on the free plan. Its triggers produce no tasks at all; only the actions in other apps do.

  • Free plan100 tasks per month, unlimited Zaps
  • Premium appNo, it works on the free plan
  • Triggers10, all instant, never billed
  • Costs a taskEach successful action in the next app

The ten triggers never cost a task, however many events they send. Each action that succeeds in the next app counts once, and a failed one is not counted. Because every trigger is instant, the interval grid below does not apply: a free-plan Zap starts as fast as a paid one. The free-plan limit is size: two steps, one trigger and one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your Learner Community account in three steps

  1. 01

Add the app from your connections

In your Zapier account, open Apps and click + Add connection. Search for Learner Community in the dialog and select it. You do this once; every Learner Community trigger reuses the connection.

  2. 02

    Sign in to Learner Community

Click Add connection. A Learner Community tab opens: sign in with an account that can see the learners, activities and enrollments you want the Zaps to report.

  3. 03

    Grant access

Allow Zapier to use the account when asked. Back in Zapier, the connection appears in your list and can be picked from the account menu of any of the ten triggers.

First Zap

Your first Zap: alert a coach when a learner fails an activity

GoalWhen a learner fails an activity, the person who follows them gets a message, but only for the activities that match your condition.

  1. 01

    Pick the trigger

Start a new Zap from your Zapier account. Choose Learner Community as the app, Activity Failed as the event, and select your connection.

  2. 02

    Test with real failures

Run the test. Zapier brings back the three most recent items of the connected account, so you write the alert from a real learner and activity.

  3. 03

    Add the filter

Click the plus icon, choose Filter, and set the field to look at, the rule and the value. This narrows the alerts, and it makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Write the message

Add an action in your messaging tool, choose its send-message event, and compose the text with the learner and activity details coming from the trigger.

  5. 05

    Test and publish

Test the step, check that the message arrives, then click Publish. From now on, each matching failure sends an alert the moment it happens.

Triggers

The Learner Community triggers

10 events start a Zap when something happens in Learner Community, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Account Idle

Instant trigger

In Zapier“Triggers when an account is idle for a given number of days”

Spots an account nobody has used for the number of days you choose, and starts the Zap with that learner. It turns silence into something you can act on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
learners who stop logging in should get a reminder, or be flagged to whoever manages them.
Watch out
Idle Time in Days is required; pick it with care, since too short a delay floods the next app with reminders.
2

Activity Completed

Instant trigger

In Zapier“Triggers when a user completes an activity”

Runs whenever a user finishes an activity, carrying who did it and which activity into the following steps. It is the finest-grained success signal the integration offers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
each completed activity should be logged in a tracking sheet or unlock a next step elsewhere.
Watch out
activities are finished often, so every action placed after this trigger adds up quickly in tasks.
3

Activity Failed

Instant trigger

In Zapier“Triggers when a user fails an activity”

Fires when a user fails an activity, which is usually the moment a learner most needs a hand. The failure and the learner reach the next step together.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a coach or tutor should hear about a failed attempt while it still matters, not at the next review.
Watch out
without a filter, every failure of every activity sends an alert; narrowing it requires a paid plan.
4

Activity Idle

Instant trigger

In Zapier“Triggers when an activity belonging to a user is idle for a specified number of days”

Watches activities assigned to a user and reacts when one has sat untouched for the number of days you set. Useful when progress stalls inside a programme rather than across the whole account.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a learner who leaves one activity hanging should get a targeted nudge about that activity.
Watch out
Idle Time in Days is required here too, and it can differ from the one on Account Idle.
5

Enrollment Completed

Instant trigger

In Zapier“Triggers when a user completes an enrollment in Learner Community”

Goes off when a user completes an enrollment in Learner Community, the end of a whole learning path rather than one activity. That makes it the natural signal for reporting and recognition.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
completions should land in a report, or a congratulation should go out without anyone checking the platform.
Watch out
enrollments completed before the Zap was switched on are never sent.
6

Enrollment Failed

Instant trigger

In Zapier“Triggers when a user fails an enrollment”

Reports a user who fails an enrollment as a whole, a stronger signal than a single failed activity. The learner and the enrollment travel to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a failed path should open a follow-up with a manager or trigger a review of that learner's plan.
Watch out
pair it with Activity Failed only if you want two alerts for the same learner, one per level.
7

Enrollment Idle

Instant trigger

In Zapier“Triggers when an enrollment for a learner is idle for a specified number of days”

Reacts when a learner's enrollment has seen no movement for the number of days you choose. It catches the learners who signed up but never really started, or stopped halfway.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an enrollment left idle should prompt a reminder email or a call from whoever runs the programme.
Watch out
Idle Time in Days is required, and a large value means a long wait before the first reminder goes out.
8

Learner Updated

Instant trigger

In Zapier“Triggers when a learner account demographic information is updated”

Each change to a learner's demographic information starts the Zap, straight from their account. The updated profile becomes available to whatever step you put next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
another tool holds a copy of learner profiles and should reflect each change without a manual export.
Watch out
a Zap that writes those changes back somewhere that feeds Learner Community can start a loop.
9

New Account

Instant trigger

In Zapier“Triggers when a new account is created”

Starts the Zap each time an account is created in Learner Community. It is the first event in a learner's life on the platform, and the right moment for a welcome.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
new learners should appear in a list kept elsewhere, or receive a first message the day they arrive.
Watch out
a bulk import of accounts can arrive as a huge batch that Zapier's flood protection holds back.
10

New Enrollment

Instant trigger

In Zapier“Triggers when a new enrollment is created”

Picks up every enrollment created in Learner Community and hands it on. It tells the rest of your tools who has just started which path.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
program owners want a running list of new enrollments in a spreadsheet or a channel.
Watch out
only enrollments created after the Zap is published come through; the existing ones stay out.
When it breaks

When a Learner Community Zap breaks

Zapier publishes no help article and no rate limit specific to Learner Community. The failures below are the general ones, shaped by an app that only sends events out.

Four cases come back most. They rarely show while you build; they appear once real learners go through. If a run fails and the cause is unclear, start from our Zapier troubleshooting page.

  • An idle trigger never fires

Account Idle, Activity Idle and Enrollment Idle need Idle Time in Days. Set longer than you meant, a learner who has gone quiet reaches the Zap much later than expected.
  • Past events never arrive

A Zap only reacts to what happens after it is switched on. Accounts, enrollments and results from before stay out; moving that history is a separate job.
  • A bulk import gets held back

If a large batch of accounts or enrollments arrives at once, after an import or a migration, Zapier's flood protection can hold them back instead of running the Zap for each.
  • Alerts pile up

Activity Completed and Activity Failed fire on every activity completed or failed. Without a filter, a busy programme floods the next app and every alert eats a task.

FAQ

Learner Community Zapier integration: frequent questions

01Is the Learner Community Zapier integration free?
Yes, on Zapier's side. Learner Community is not a premium app, so its ten triggers work on the free plan, with 100 tasks per month and unlimited Zaps. The free plan builds two-step Zaps only: one trigger, one action in another app. Alerting someone on every failed activity fits. Adding a filter so only some activities trigger an alert, or a second action, makes the Zap multi-step, which needs a paid plan.
02How many tasks does a Learner Community Zap use?
Learner Community itself uses none: its triggers are free, whatever their volume. Tasks come from the actions in the next app, one per action that succeeds, and a failed action is not counted. Watch the busy triggers: Activity Completed and Activity Failed can fire very often in a large programme, and each run with an action costs a task. A filter in front keeps the count down, since stopped runs cost nothing.
03Is Learner Community real time with Zapier?
Yes. All ten triggers are instant triggers: Learner Community tells Zapier the moment an account is created, an activity is failed or an enrollment is completed, and the Zap starts straight away. That is true on every plan, including Free, because the interval grid only concerns polling triggers. The idle triggers are the one nuance: they fire once the number of days you set has passed, then reach Zapier immediately.
04What does connecting Learner Community to Zapier require?
A Learner Community account that can see the learners, activities and enrollments you want to report. The connection is made once: Apps page of your Zapier account, + Add connection, search for Learner Community, sign in in the tab that opens, then grant access. Every trigger afterwards can pick it from its account menu. Nothing else is asked on the Zapier side, and no write rights are needed since there are no actions.
05Why does Enrollment Idle not fire?
Usually because Idle Time in Days is missing or set longer than you think. Enrollment Idle, like Account Idle and Activity Idle, only reacts once an enrollment has been quiet for that number of days. The field is required, so check the value it actually holds: if the delay is long, the first alerts take that long to come. Also remember that a Zap does not look back: enrollments idle before it was published are not replayed.
06What if the Learner Community operation you are after is not in Zapier?
Then it is not available on Zapier for now. Learner Community offers ten triggers on accounts, activities and enrollments, and nothing else: no action to enroll a learner or update a profile, no search to find one. Asking Learner Community whether it plans to extend its Zapier app is the cleanest route. Meanwhile, anything that writes into the platform stays inside it, or goes through another automation tool if the platform exposes it there.
07Zapier, Make or n8n for Learner Community?
It depends on the criterion, not on a ranking. For alerts and reporting, Zapier covers Learner Community with ten instant triggers that keep full speed on the free plan. If you need to write into the platform, Zapier has no action for it, so check what each tool exposes for Learner Community before choosing. Then weigh billing against the number of events your programme produces, since Zapier counts one task per successful action.
