What the Letterly Zapier integration does with your voice notes
Letterly turns your voice into tidy written text you can reuse. The Zapier integration adds a way out. You build a Zap, give it a name, and that name appears as an action on your notes in Letterly. Pick it, and the note goes wherever the Zap sends it.
A spoken update that reaches your team. You dictate a quick status, then pick the action you named for your team. Letterly Actions starts the Zap, and a message lands in your team chat without any copy and paste.
Ideas filed where you work on them. A second Zap, with a name of its own, sends the note to your project or note-taking tool as a new card.
Drafts that start in your mail tool. A third Zap turns a dictated email into a draft, ready to read once more before sending.
Each Zap is one named action in Letterly, so you can keep several side by side and choose per note.
What Zapier does not do here. Letterly has no actions and no searches on Zapier: nothing can write back into Letterly, and a Zap cannot fetch an older note. The trigger only fires when you pick the action yourself, never on its own when a note is created. If you are weighing platforms for this kind of flow, see our n8n vs Zapier comparison.
Zapier vocabulary in one minute
Seven words keep coming back on this page. Plain English, one line each.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event shows up.
- Trigger
- The event that starts the Zap. With Letterly, it is you choosing a named action on one of your notes.
- Action
- What the Zap does once it has started: the step that sends or writes the note into another app for you.
- Task
- The unit Zapier bills. One action that completes successfully is one task, and your plan counts those.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. The Letterly trigger works this way.
- Polling trigger
- A trigger Zapier checks on a timer, at your plan's interval. Letterly has no trigger of this kind.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
What a Letterly Zap really costs
Letterly is not a premium app, so it works on the free plan. You pay in tasks, and only finished actions count.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps only
- TriggerInstant, never costs a task
- Failed actionNot counted
Picking an action on a note costs nothing: the trigger never uses a task. Each action that goes through in the other app is one task, and a failed one is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps, one trigger and one action. A filter or a second action makes the Zap multi-step, which needs a paid plan.
Because the Letterly trigger is instant, the plan interval grid below does not slow it down: a free account sends the note as fast as an Enterprise one.
Connect Letterly to Zapier in three steps
- 01
Open your Apps page
In your Zapier account, go to Apps and click + Add connection. You need a Letterly account first, the one where you record the notes you want to send.
- 02
Find Letterly
Type Letterly in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on Letterly's side for your login.
- 03
Sign in and allow access
Log in to Letterly in that tab and grant Zapier access to the account. The connection then shows on your Apps page, ready for every Letterly Zap you build.
Your first Zap: a dictated update posted to your team
GoalWhen you pick your team action on a Letterly note, the text is posted in your team chat, unless it fails your condition.
- 01
Create the Zap
Create a new Zap, pick Letterly as the starting app and
Letterly Actionsas the event, then choose your Letterly connection. - 02
Name the action
Fill in the Zap Name with a short label that says where the note goes. That exact label will appear in Letterly when you choose an action for a note.
- 03
Test the trigger
In Letterly, pick the new action on a short note, then run the test: Zapier brings back the most recent items so you can choose a real one.
- 04
Add the filter
Click the plus icon, add a filter and fill its three boxes: the field, the rule, the value. This step makes the Zap multi-step, so it needs a paid plan.
- 05
Add the message
Add your team chat as the action, pick the channel and map the note's text into the message. Then test, and click Publish.
The Letterly trigger
1 event starts a Zap when something happens in Letterly, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Letterly Actions
Instant triggerIn Zapier“Triggers when you select an action from the note.”
Starts your Zap when you choose, on a note in Letterly, the action that carries this Zap's name. The note's text travels to the next step, so whatever you dictated can become a message, a card or a draft elsewhere.
When a Letterly Zap breaks
Zapier links no help article to Letterly, so these cases come from the rules every Zap follows.
Most surprises come from expecting the Zap to do more than the trigger allows. When the cause is not obvious, start from our Zapier troubleshooting guide.
Older notes are not sent
A Zap only reacts to what happens after it is published. Notes you picked the action on before that stay where they are.Recording alone starts nothing
Dictating or saving a note does not fire the trigger. The Zap only starts when you choose its named action on that note.A sudden burst held back
When a trigger suddenly sends a huge batch at once, Zapier's flood protection can hold it back rather than run every Zap.Two names too alike
Each Zap shows up in Letterly under its Zap Name. Two names that look alike make it easy to send a note to the wrong place.
