What the Ontraccr Zapier integration actually does
Ontraccr is project software for construction companies: the work runs through workflows and boards you shape to your own process. Connected to Zapier, it can tell your other tools the moment a board card moves, and it can receive new cards created from those tools.
Three outcomes cover most needs. The office knows when a job changes stage: Card Moved starts the Zap as a card lands in a new column, and a chat or email app tells the right person. A log of every move: the same trigger feeds a spreadsheet, one row per move, for the people who report on jobs without opening Ontraccr. Requests that turn into cards: a form, a CRM or an email starts the Zap and Create a Board Card drops the new job onto the board.
Now what the app page leaves out. There is no search for Ontraccr on Zapier, and no action to update, move or close a card. A Zap can create a card and hear about moves, nothing in between: it cannot find an existing card and change it. The trigger also watches one workflow at a time, chosen by its exact name.
The upside is speed: Card Moved is instant, so the plan you pay for does not slow it down. If you are still comparing tools, the Zapier review is a good starting point.
Zapier vocabulary in one minute
Eight words come back throughout this page. Here they are in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. For Ontraccr, that is a card moving.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, like adding a card to a board.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Instant trigger
- A trigger the app reports itself: it calls Zapier the moment the event happens, so nothing waits for a scheduled check.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Ontraccr's trigger does not work this way.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it then needs a paid plan.
What an Ontraccr Zap really costs
Card Moved never costs a task: a card can move as often as your crews like, Zapier hearing about it is free. What you pay for is each action that succeeds, including every card created with Create a Board Card.
- Card Moved0 task, instant on every plan
- Create a Board Card1 task per card created
- Free plan100 tasks a month, 2-step Zaps
- Premium appNo, Ontraccr runs on the free plan
A Zap that logs a move and then creates a card on another board uses two tasks per move. A failed action is not counted. Ontraccr is not a premium app, so the free plan works: 100 tasks a month, unlimited Zaps, two steps per Zap. A filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below concerns polling triggers only; Card Moved is instant, so it fires straight away on every plan.
Connect Ontraccr to Zapier in 3 steps
- 01
Open your connections
In your Zapier account, open the Apps page and click + Add connection. A connection is your Ontraccr account linked to Zapier once, then reused by every Zap that touches Ontraccr.
- 02
Find Ontraccr
Type Ontraccr in the search box of the dialog, pick it, then click Add connection. You need an existing Ontraccr account at this point, so keep the login of your company workspace ready.
- 03
Sign in and grant access
Sign in to Ontraccr in the tab that opens and grant Zapier access. Choose an account that can see the workflows and boards you want to watch or add cards to, including ones set up by colleagues.
Your first Ontraccr Zap
GoalWhen a card moves in the estimating workflow, log the move in a spreadsheet and open a matching card on the production board.
- 01
Pick the trigger
Start a new Zap, choose Ontraccr as the app and Card Moved as the event, select your connection, then type the Workflow Name exactly as Ontraccr shows it.
- 02
Test on a real move
Run the test. Zapier brings back the three most recent moves of the connected account, so the following steps are mapped on a real card.
- 03
Add the spreadsheet row
Add the spreadsheet app as the first action and map what Ontraccr sent into the columns. Test this step once and check the row before going further.
- 04
Create the board card
Add Ontraccr again with Create a Board Card and fill the Title from the trigger. Two actions make this a multi-step Zap, so it needs a paid plan.
- 05
Test, then publish
Test the card step, check the new card on the board, then publish the Zap to switch it on. Each move now costs two tasks.
The Ontraccr trigger
1 event starts a Zap when something happens in Ontraccr, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Card Moved
Instant triggerIn Zapier“Triggers when an Ontraccr board card is moved”
Starts your Zap whenever a card on an Ontraccr board changes position in the workflow you picked, and passes that card to the next steps. It turns a drag on the board into a signal the rest of the company can act on.
The Ontraccr action
Ontraccr gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create a Board Card
ActionIn Zapier“Creates a Board Card in Ontraccr”
Adds a new card to an Ontraccr board, filled from whatever started the Zap, so a request coming from elsewhere shows up where your crews already work.
When an Ontraccr Zap breaks
Zapier attaches no help article to Ontraccr, so no app-specific error is on record. What breaks here comes from the required fields and the limits every Zap shares.
These rarely show up as a red error on day one. They show up as a silent Zap, a card with no title, or tasks draining faster than planned. When one hits, the Zapier troubleshooting page is the next stop.
A workflow name that is almost right
Card Moved only follows the workflow whose name you typed, and the match must be exact. A typo or a renamed workflow leaves the Zap waiting for moves that never reach it.An empty card title
Create a Board Card needs a Title. If the field you mapped is empty in the source, the step fails and the card is never created.Jobs already on the board
A Zap only reacts to what happens after it is switched on. Moves made before you publish are never picked up; catching up on them is a separate job.A loop on the same board
A Zap that writes into the very place its own trigger watches sets itself off again and again. Keep the cards you create out of the workflow Card Moved follows.
