Why connect Lexware Office to Zapier
Lexware Office is online accounting software built for bookkeeping in Germany, where quotes, invoices, bills and the tax return live in one place. The Lexware Office Zapier integration does one thing for it: it takes a file received in another app and uploads it to Lexware Office as a bookkeeping document, so nobody downloads and re-uploads receipts by hand.
Receipts that file themselves from your inbox. A Zap that starts on a new email with an attachment can pass the file to Upload Document for Bookkeeping Purposes. The receipt lands in Lexware Office, ready to be booked.
A shared folder that feeds your books. Drop a scanned invoice into a cloud folder and the same action picks it up through the folder's own trigger, without anyone opening Lexware Office.
Documents from forms. When a form collects files, each uploaded receipt can go straight to bookkeeping instead of waiting in a download folder.
What Zapier does not do here. Lexware Office has no trigger on Zapier, so nothing that happens in Lexware Office can start a Zap. There is no search either, and no action for invoices, contacts or payments. Files outside PDF, JPG and PNG, or above 5MB, are not accepted. Files received before your Zap goes live are not picked up.
The same app also has a Lexware Office Make integration page, and the Make vs Zapier comparison sets out the criteria for choosing between the two.
Zapier vocabulary in one minute
Seven Zapier words come up on this page. Here they are, in everyday English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Lexware Office has none, so the trigger always comes from another app.
- Action
- What the Zap does once it has started: here, the step that uploads a file into Lexware Office for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan is a monthly count of those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by its app as soon as the event happens.
- Filter
- A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
- Connection
- Your Lexware Office account linked to Zapier once, then reused by every Zap step that uploads to it.
What Lexware Office on Zapier really costs
Lexware Office is not a premium app on Zapier, so it works on the free plan. You pay in tasks: one per file that actually uploads.
- Premium appNo, free plan works
- Free plan100 tasks a month, two-step Zaps
- Cost per upload1 task if it succeeds
- Accepted filesPDF, JPG, PNG up to 5MB
The trigger from your other app never costs a task. Each successful upload counts as one task, and a failed upload is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each capped at two steps: one trigger, one action. Add a filter to keep only PDF attachments, or a second action, and the Zap becomes multi-step, which needs a paid plan. How fast the Zap starts depends on the other app's trigger: on a polling trigger, the interval grid below applies.
Connect your Lexware Office account
- 01
Open the Apps page
In Zapier, go to Apps and click + Add connection. You need an existing Lexware Office account first: Zapier links an account you already have, it does not open one.
- 02
Pick Lexware Office
Type Lexware Office in the search box of the dialog that appears, select it from the list, then click Add connection. A new tab opens on the Lexware Office side.
- 03
Sign in and grant access
Log in to Lexware Office in that tab and allow Zapier to reach the account. Make sure the account can add bookkeeping documents, then let the tab close.
Your first Zap: email attachments into Lexware Office
GoalEvery email attachment that passes your condition is uploaded to Lexware Office as a bookkeeping document.
- 01
Create the Zap
Start a new Zap and pick your email app as the one that starts it, with its new-email-with-attachment event. Lexware Office has no trigger, so the Zap always opens on another app.
- 02
Test the trigger
Run the test so Zapier brings back recent emails from the inbox. Choose one with a real receipt attached to build the rest on.
- 03
Add the filter
From the plus icon, add a Filter step: the field to read, the rule and the value. A filter makes this a multi-step Zap, which needs a paid plan.
- 04
Add the upload
Pick Lexware Office and
Upload Document for Bookkeeping Purposes. Map the attachment to File and its name, extension included, to Filename with Extension. - 05
Test and publish
Test the upload and check the document appears in Lexware Office. Then click Publish. Emails that arrived before this point are not processed.
Lexware Office action
Lexware Office gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Upload Document for Bookkeeping Purposes
ActionIn Zapier“Uploads document for bookkeeping purposes (PDF/JPG/PNG).”
Sends a file from an earlier step into Lexware Office, where it shows up among your bookkeeping documents.
When a Lexware Office Zap breaks
Zapier links no help article to Lexware Office. The one app-specific limit on record is the file rule of its action; the rest is what breaks on any Zap.
Four cases cover nearly every surprise. Go through them before publishing, and turn to the Zapier troubleshooting guide if a run still fails.
The file is refused
Only PDF, JPG and PNG files up to 5MB are accepted. A Word file, an archive or a large multi-page scan stops the upload step. The filename has no extension
Filename with Extension is required and must end with the file type. A bare name such as an email subject is a common reason for failure.Old receipts never arrive
A Zap only reacts to what happens after it is switched on. Files received earlier are not picked up, and moving that backlog is a separate job.A big batch gets held back
When the trigger app suddenly returns a huge batch, after a bulk import for instance, Zapier's flood protection can hold the items back.
