What the Deel Zapier integration actually does for your HR team

The Deel Zapier integration links your Deel account to Zapier, a no-code tool that chains apps together. A Zap (one automation on Zapier) waits for an event in Deel, such as a contract being created or a time-off request being approved, then does something with it in another app, or writes back into Deel.

Three results people build first. A leave calendar that fills itself: Time-Off Reviewed fires when a request is approved or declined, and the next step drops the approved days into the team calendar. A contractor timesheet loop: hours logged elsewhere become a Deel entry through Create a Timesheet, and Timesheet Reviewed tells the project lead once someone signs them off. An onboarding and offboarding alert: Contract Created and Contract Terminated post a heads-up to IT and finance, so accounts get opened or closed without a reminder email.

Here is the good news for a free plan. All ten Deel triggers are instant: Deel reports the event to Zapier itself, so none of them waits for a timed check.

Now the limits. Zapier cannot create a contract or a person in Deel: the actions cover invoice adjustments, timesheets and time off, nothing else. There is no delete action either. Anything outside that list goes through API Request (Beta), which is a developer tool, not a form. The trigger never costs a task, and an action that fails is not counted. Each successful action counts on its own, so a three-action Zap uses three times what a one-action Zap does. The free plan gives 100 tasks a month but stops at two steps: one trigger, one action. Add a filter, a search such as Find Contract, or a second action, and you have a multi-step Zap that needs a paid plan. The interval grid below only concerns polling triggers, and Deel has none.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a Deel account first, with access to the contracts and people the Zap will read or change.

    Pick Deel

    Type Deel in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Deel sign-in screen, where the next step happens.

    Sign in and grant access

    Log in to Deel in that tab and allow Zapier to use the account. The connection then appears in your list of apps, and every Zap that touches Deel reuses it without asking again.

A search step finds something that already exists in Deel and hands it to the next step. In the editor, searches sit at the bottom of the Action event list under SEARCH. Deel offers no find-or-create variant: none of these searches can create the missing record.

When to use it
a timesheet or adjustment trigger only gives you a contract ID, and the next step needs more about that contract.
Watch out
it searches by ID only, never by worker name.

When to use it
before Update a Timesheet, when the Zap has to work on an entry that already exists.
Watch out
ID only again, so keep the ID from the first sync.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
    Turns a search into find-or-create on apps that support it. No Deel search offers it, so you will not see this box here.
  3. If multiple search results are found?
    When several records match: keep the first one (the default), stop the Zap, or pass all of them to the next steps.
When it breaks

When a Deel Zap breaks

Zapier publishes no help article dedicated to Deel and no Deel-specific rate limit. What breaks is the general Zapier behaviour, which hits HR data in particular ways.

Four cases come back often. None of them shows an error in red: the Zap simply does less, or much more, than you expected. If one of them already bit you, the Zapier troubleshooting page walks through the fixes step by step.

  • No history is picked up

    A Zap reacts only to what happens after you publish it. Contracts, timesheets and leave that already existed stay out, and moving that backlog is a separate job.
  • A timesheet loop eats your tasks

    A Zap that creates timesheets while Timesheet Created watches the same account will start itself again and again, and burn through the monthly task count.
  • Bulk changes get held back

    A mass import of contracts or a migration can send a huge batch at once. Zapier's flood protection may hold such a batch instead of running every item.
  • Required IDs are missing

    Most Deel actions want an ID, not a name. If no earlier step carries it, add a search such as Find Contract, knowing it turns the Zap into a paid multi-step Zap.

Deel Zapier integration: frequently asked questions

01Is the Deel Zapier integration free?
Yes, Deel is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but every Zap is capped at two steps: one trigger and one action. As soon as you add a filter, a search such as Find People, or a second action, the Zap becomes multi-step and needs a paid plan. For most Deel workflows that only alert a channel or add a calendar event, the free plan is enough to test the idea in real conditions.
02How many Zapier tasks does a Deel Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that reacts to Timesheet Created and then writes one row in a sheet costs one task per timesheet. A Zap with three actions costs three per run. A failed action is not counted. The point to watch with Deel is the volume of events: a team that logs timesheets daily generates many more runs than one that only tracks contract changes, so estimate the events per month before you pick a plan.
03Does Deel send data to Zapier in real time?
Yes. All ten Deel triggers are instant: Deel notifies Zapier as soon as a contract, timesheet, time-off request or invoice adjustment changes, and the Zap starts straight away. The interval grid that slows polling triggers to 15 minutes on the free plan does not apply here. In the editor you will see a lightning bolt on these Zaps. That is a real advantage for HR flows, where a late leave notice or a forgotten offboarding has consequences.
04What does it take to connect Deel to Zapier?
A Deel account and access to the records the Zap will read or change. You open Apps in Zapier, click + Add connection, pick Deel, sign in on the tab that opens and grant access. The connection is then reused by every Zap. Connect an account that can open the records the Zap has to work on: if you do not own a contract or a profile, the account needs read or write access to it.
05What does Create a Timeoff need before it works?
Check the required fields first. Create a Timeoff requires both the worker's HRIS Profile ID and a type ID. Find Timeoff Type looks up the types available from the worker's HRIS profile ID, so running it just before the action gives a type to map. That search makes the Zap multi-step, so it needs a paid plan. Also check the date format: start and end dates expect a full date and time.
06What if the Deel action you need is not available in Zapier?
Then API Request (Beta) is the way out. It calls Deel directly with the credentials of your existing connection, so a developer can reach an operation that has no ready-made action, such as anything around creating people or contracts, which the eight actions do not cover. It only reaches Deel's own domains. If nobody on the team is comfortable with raw HTTP calls, the alternative is to handle that part in Deel by hand and automate the rest.
