The Linka Zapier integration connects your CRM to other apps through Zaps: automations you build once on Zapier, each made of a trigger (the event that starts it) and one or more actions (what it does next). Linka has both: three events that start a Zap, and six actions that write into Linka or read a contact from it.

Three things you can get out of it. Contacts that keep themselves up to date: Add or Update Contact takes a person from a spreadsheet or another app and either creates them or updates the record that matches their email and full name. Paperwork that follows money: New Payment starts a Zap the moment a payment is created, and Create Invoice can record the matching invoice. And follow-up on fresh leads: New Lead hands each new lead to whatever tool your team works in.

The detail that makes this app easy to plan around: all three triggers are instant. Linka tells Zapier as soon as a lead, a payment or a subscription is created, so even on the free plan nothing waits for a timed check.

A new lead, payment or subscription costs nothing: Zapier never bills the trigger. Each contact written, invoice created or detail fetched is one task, and an action that fails is not counted. Linka is not a premium app: the free plan gives 100 tasks a month, unlimited Zaps, two steps per Zap. New payment then invoice fits; add a filter, or Get Contact Details before another action, and the Zap is multi-step and paid. The interval grid below never applies to the three Linka triggers, which are instant: it only concerns a polling trigger in another app that feeds Linka.

    Open Apps and start a connection

    In your Zapier account, open the Apps page and click + Add connection. You need an existing Linka account first, with access to the records you want the Zap to read or write.

    Find Linka

    Search for Linka in the dialog, select it in the results, then click Add connection. A new tab opens on the Linka side, and that is where the actual sign-in happens.

    Sign in and grant access

    Sign in to Linka in that tab and grant Zapier access to the account. The connection is saved, and every Linka trigger or action in your Zaps reuses it from then on.

First Zap

Your first Zap: turn each Linka payment into an invoice

GoalEach payment created in Linka starts the Zap, Create Invoice records the matching invoice in Linka, and a spreadsheet row keeps a log of what was invoiced.

    Build: start from the Linka payment

    Create a Zap and pick Linka as the trigger, with the New Payment event. Select the connection you made above, so the Zap listens to the right account.

    Test the trigger

    Run the trigger test. Zapier brings back the three most recent payments of the connected account, so you map fields from a real payment rather than an empty template.

    Add Create Invoice

    Add Create Invoice from Linka and fill every required field from the payment: date, number, currency, amounts, totals and status. Leave Historical Data on false for a live transaction.

    Log it in a sheet

    Add a spreadsheet step that writes the invoice number and total into a new row. This second action makes the Zap multi-step, so it needs a paid plan; drop it to stay free.

    Test, then publish

    Test each step and check the invoice in Linka, then click Publish to switch the Zap on. Only payments created after that moment will start it.

When it breaks

When a Linka Zap breaks

Zapier attaches no help article to Linka, so the traps come from Zapier's own rules.

Four cases show up as soon as Linka both starts Zaps and receives data from them. None is specific to Linka, and each one costs tasks or leaves records missing. When a Zap stops for a reason you cannot pin down, go to Zapier troubleshooting.

  • Past leads and payments are skipped

    A Zap only reacts to what happens after it is switched on. Leads, payments and subscriptions created earlier are never sent; moving that backlog is a separate job.
  • The subscription loop

    A Zap started by New Subscription that runs Add or Update Subscription can create the very event it listens to, and each turn of the loop burns a task.
  • A bulk import held back

    After an import or a migration, the trigger app can return a huge batch at once. Zapier's flood protection can hold it back rather than push every record into Linka.
  • No duplicate from a timed check

    When a Zap writing into Linka starts on another app's polling trigger, Zapier remembers the items it has already seen, so the same row does not create a contact twice.

Linka and Zapier: frequent questions

01Is the Linka Zapier integration free?
Yes, on the Zapier side. Linka is not a premium app, so it runs on the free plan, which includes 100 tasks a month and unlimited Zaps. The limit that catches people is the two-step ceiling: one trigger, one action. A new payment that creates an invoice fits, and so does a new row that adds a contact. Add a filter, or fetch contact details before writing somewhere else, and the Zap becomes multi-step, which needs a paid plan. Linka's own pricing is outside the scope of this page.
02How many Zapier tasks does Linka use?
One per action that succeeds. A new lead, payment or subscription is a trigger, and triggers never cost a task. Adding a contact, creating a product or an invoice, writing a subscription and reading contact details each count as one task. An action that fails is not billed. So a Zap that reads a contact with Get Contact Details and then creates an invoice costs two tasks per run. A Zap that writes back into the event its own trigger watches can multiply that count quickly.
03Do Linka triggers work in real time with Zapier?
Yes, all three. New Lead, New Payment and New Subscription are instant triggers: Linka tells Zapier the moment the record is created, so the Zap starts right away, on any plan, free included. The plan intervals only concern polling triggers, where Zapier checks an app on a timer. They would matter only when a Zap that writes into Linka starts from another app with a polling trigger; in that case, the delay comes from that app, not from Linka.
04What does it take to connect Linka to Zapier?
An existing Linka account, plus access to the records you want to touch if you do not own them. In Zapier, open Apps, click + Add connection, search for Linka, click Add connection, then sign in on the Linka tab and grant access. That connection is reused by every Linka step afterwards. Some actions also assume records already exist in Linka: a subscription needs a valid External Contact ID and Product Code to find its contact and product.
05Why does Add or Update Contact create duplicates in Linka?
Most often because Match Existing Contact is not set to yes. Without it, the action creates a new contact every time. With it, Linka looks for an existing record using both the email and the full name, and updates it. So a person whose name is spelled differently in the source app may not match, even with the same email. Keep both fields consistent in the app that feeds the Zap, and check the Contact Type, which is required on every run.
06What if the Linka operation you need is missing?
Then it is not available through Zapier today. Linka offers three triggers, for new leads, payments and subscriptions, and six actions that add or update contacts and subscriptions, create products and invoices, or read a contact's details. There is no search step, no trigger for changes to existing records, and no delete action. Those steps stay in Linka. If the gap is on the other side of the Zap, look at the trigger or action of the app that holds the data.
07Zapier, Make or n8n for Linka?
Choose on criteria, not on a ranking. On Zapier, Linka gives you three instant triggers and six actions, usable from the free plan as long as each Zap stays at two steps. This page's source says nothing about Linka on Make or n8n, so first check whether each tool offers the app. Then compare how many steps your flows really need, how many leads, payments and contacts go through them each month, and who will maintain them once they are live.
