Paycove Zapier integrationAutomate Paycove with Zapier.

The Paycove Zapier integration offers 5 triggers and 1 action, and all five triggers are instant. A new quote or invoice, an accepted quote, a full or partial payment, or a deal you push by hand can start a Zap, and a Zap can create an invoice or quote in Paycove.

Overview

What the Paycove Zapier integration does for your billing

Paycove handles quotes, invoices and payments in one place. Linking it to Zapier lets each milestone, a quote signed, an invoice settled, an instalment received, start work in your other tools, and lets those tools draft documents in Paycove. A Zap is the automation you build: one trigger, then the actions that run each time. Paycove is not reserved for paid plans.

Three outcomes come up again and again. A signed quote that moves the project forward: Quote Accepted fires when the client accepts or an admin marks it accepted, so the kickoff can be scheduled without waiting for someone to notice. Payments your bookkeeping sees: Invoice Paid and Partial Payment Paid report full and scheduled payments, whether the client paid or an admin marked it paid. Documents drafted from other tools: Create Invoice / Quote builds an invoice or a quote, with its contact, from data that started elsewhere.

There is also a trigger you control: Manually Send Deal fires only when you push a deal out of Paycove yourself, which suits the cases you want to handle one by one.

What Zapier does not do here: there is one action, so a Zap cannot update, send or cancel an existing document. There is no search step to find a contact first. And Deal Created watches the very documents Create Invoice / Quote produces, which makes a loop easy to build by accident.

Vocabulary

Zapier words you will meet on this page

Eight terms, one line each, in plain words. After this block they are used without a reminder.

Zap
The automation you set up on Zapier: one trigger, followed by one or more actions that run each time the trigger event takes place.
Trigger
The event in an app that starts the Zap, such as a quote being accepted. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, here an invoice or a quote in Paycove.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself when the event happens. All five Paycove triggers are instant.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Connection
Your Paycove account linked to Zapier once, then reused by every step of every Zap that touches Paycove.
Cost

What a Paycove Zap really costs

Zapier bills tasks, and only completed actions count. The Paycove trigger is free, and so is the wait.

  • TriggerNever costs a task
  • Successful action1 task each
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps only
  • Paycove on free planYes, not reserved for paid plans

Each action that succeeds is one task, so a Zap that drafts an invoice and then logs it uses two per accepted quote. A failed action is not counted, and a few apps and actions take more than one task when they complete. The free plan gives 100 tasks a month and builds only two-step Zaps; a filter or a second action calls for a paid plan. The interval grid below concerns polling triggers, and Paycove has none.

Connect

Connect your Paycove account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need an existing Paycove account first; Zapier does not create one.

  2. 02

    Pick Paycove and sign in

Type Paycove, select it, then click Add connection. Sign in to Paycove in the tab that opens, with the account whose quotes, invoices and payments the Zap should see.

  3. 03

    Grant access

Allow Zapier to reach the account. If some documents belong to a colleague, check that your login can read and create them, or the Zap will only ever see your share.

First Zap

Your first Paycove Zap: turn an accepted quote into an invoice

GoalWhen a client accepts a quote in Paycove, draft the matching invoice and log the deal in the sheet your team uses to plan work.

  1. 01

    Create the Zap

Start a new Zap. With two actions it is multi-step and needs a paid plan; on the free plan, keep only the Paycove action to try it out.

  2. 02

    Set the trigger

Choose Paycove as the app and Quote Accepted as the event, then your connection. A lightning bolt in the editor marks an instant trigger.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent accepted quotes from your account, so you map the next steps on a real one rather than blank sample data.

  4. 04

    Add the invoice

Add Create Invoice / Quote, choose invoice, then map the name, the line item, the quantity and the price from the quote. Check the price format before going on.

  5. 05

    Log, test, publish

Add the spreadsheet step, test each step once and read what came back in Paycove, then click Publish to switch the Zap on.

Triggers

Paycove triggers on Zapier

5 events start a Zap when something happens in Paycove, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Deal Created

Instant trigger

In Zapier“Triggers when a new invoice or quote is added to Paycove.”

Each new invoice or quote added to Paycove starts the Zap. In Paycove both are deals, so this one trigger covers every new document, whatever its type.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to log every new document in your CRM or to tell the account manager that a quote is now waiting on the client.
Watch out
Create Invoice / Quote adds exactly what this trigger watches, so never put that action in a Zap that starts here.
2

Invoice Paid

Instant trigger

In Zapier“Triggers when an invoice is paid or marked paid by admin.”

Fires when an invoice is settled, either because the client paid it or because an admin marked it paid. That makes it the closing signal for most billing workflows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to update the client record in your accounting tool, or to send the welcome pack once the first invoice clears.
Watch out
a manual mark by an admin fires it too, so a mistaken click sends the Zap on its way.
3

Partial Payment Paid

Instant trigger

In Zapier“Triggers when a scheduled payment is paid by customer or marked paid by admin.”

When one scheduled payment in a plan is paid by the customer or marked paid by an admin, the Zap gets it. It lets you follow instalments rather than waiting for the whole invoice.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
on deposits and staged projects, to release the next phase of work once the matching instalment is in.
Watch out
it fires once per scheduled payment, so an invoice split into several payments starts the Zap several times, and each run bills its successful actions.
4

Quote Accepted

Instant trigger

In Zapier“Triggers when the quote was accepted by user or marked accepted by admin.”

The client accepts a quote, or an admin marks it accepted, and the Zap receives it. This is the moment a proposal turns into a commitment.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to open the project in your task manager, book the kickoff, or draft the invoice with Create Invoice / Quote.
Watch out
quotes accepted before the Zap is published are not replayed, so handle older ones by hand.
5

Manually Send Deal

Instant trigger

In Zapier“Triggers when deal is manually pushed from Paycove.”

Unlike the four others, this trigger waits for you: it fires only when a deal is pushed out of Paycove by hand. You decide which deals go through and when.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
for exceptions such as a large client that needs a review in another tool, without automating every deal.
Watch out
pushing the same deal twice starts the Zap twice, and each run bills its successful actions.
Actions

Paycove actions on Zapier

Paycove gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Invoice / Quote

Action

In Zapier“Creates an invoice or quote and contact (and optional organization).”

Builds an invoice or a quote in Paycove, creates the contact with it, and can add an organization if you fill that part. A required box makes you pick invoice or quote.

When to use it
when a deal is won in your CRM and the paperwork should start in Paycove without retyping.
Watch out
the document name, the product name, the quantity and the price are all required, and the price uses currency units with cents.
When it breaks

When a Paycove Zap breaks

Zapier lists no help article and no rate limit specific to Paycove. What breaks comes from the way every Zap works, plus one Paycove pair that loops.

Four cases to know before you publish. If one of them catches you anyway, our Zapier troubleshooting page is the next stop.

  • Deal Created feeding itself

A Zap that starts on Deal Created and runs Create Invoice / Quote writes the very thing its trigger watches. Each new document starts the Zap again, and tasks go fast.
  • No catch-up on old documents

A Zap only reacts to what happens after it is switched on. Quotes accepted and invoices paid earlier never come through; moving that history is a separate job.
  • Admin clicks count as events

Invoice Paid, Partial Payment Paid and Quote Accepted also fire when an admin marks the document by hand, so a wrong click runs the Zap like a real payment.
  • Bulk imports held back

After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection. Keep the Zap off during the import.

FAQ

Paycove Zapier integration: frequent questions

01Is the Paycove Zapier integration free?
Yes, as long as the Zap fits the free plan. Paycove is not one of the apps Zapier reserves for paid plans, so a free account can connect it. The free plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. Quote Accepted followed by Create Invoice / Quote fits. Add a second action, such as logging the deal in a sheet, or a filter, and the Zap turns multi-step and needs a paid plan. No prices here, the grids change too often.
02How many tasks does a Paycove Zap use?
One per successful action, none for the trigger. A Zap that drafts an invoice on each accepted quote uses one task per quote. Add a second action and the same quote costs two. Failed actions are not counted. Keep an eye on two things. Manually Send Deal fires each time you push a deal, even the same one twice. And a Zap that starts on Deal Created and creates a document loops, which can drain your monthly tasks very quickly.
03Do Paycove triggers run in real time?
Yes. All five Paycove triggers are instant: Paycove itself tells Zapier when a document is created, a quote accepted, an invoice or an instalment paid, or a deal pushed by hand. The Zap starts right away on every plan, the free one included. The interval grid, 15 minutes on Free and down to 1 minute on Team and Enterprise, applies to polling triggers only, and Paycove has none. In the editor, a lightning bolt on the trigger confirms it.
04What does it take to connect Paycove to Zapier?
An existing Paycove account and a Zapier account. From the Apps page in Zapier, add a connection, search for Paycove, sign in to it in the tab that opens and grant Zapier access. Use the account whose quotes, invoices and payments the Zap should see. If some documents belong to a colleague, your login needs read or write access to them, otherwise the Zap only sees your own. The connection is then reused by every Paycove step.
05Why does a Paycove Zap keep creating invoices on its own?
Because it is feeding itself. Deal Created fires on every new invoice or quote added to Paycove, and Create Invoice / Quote adds one. Put them in the same Zap and each document the action creates starts the Zap again. Turn the Zap off first, then start it from another trigger, such as Quote Accepted or Manually Send Deal. If you really need Deal Created upstream, send what it carries to another app rather than back into Paycove.
06What if the Paycove action you need is not on Zapier?
Then the Zap cannot do it there. Paycove has 1 action on Zapier, Create Invoice / Quote. Nothing updates, sends or cancels an existing document, and there is no search step to look up a contact first. Those steps stay manual in Paycove. The five triggers are where the integration is strongest: they let your other tools react to every quote, payment and deal. If writing into Paycove is the heart of your need, compare each automation tool's catalogue before you build.
07Zapier, Make or n8n for Paycove?
Choose on criteria, not on a ranking. For Zapier, check three things: whether five instant triggers and one action cover your workflow, whether your Zap fits in two steps or needs a paid plan, and how many successful actions a month you expect, since that is what Zapier bills. Put the same three questions to Make and n8n for Paycove, then keep the tool whose answers match your volume and the person who will look after the automation.
