What the LLN-Robot Zapier integration does for you

LLN-Robot is a platform that tests and supports learners on language, literacy and numeracy, built for education and vocational training (VET). The Zapier integration plugs it into your other apps: a finished quiz starts an automation elsewhere, and your other tools can create quizzes or fetch reports in LLN-Robot without anyone copying data by hand.

Three outcomes cover most setups. First, a quiz sent as soon as someone enrolls: a new entry in your enrolment form feeds Create Learner Quiz, which creates the quiz in your LLN database and emails the learner their link. Second, results that land where you track them: Quiz Completed - Learner Details picks up each finished quiz with the learner's details and results, ready to drop into a spreadsheet row or a message to the trainer. Third, a report filed without asking: Quiz Completed - Learner Summary Report hands over the link to the learner's summary report, and Generate LLN Report builds the full report for a given learner and course.

Now the limits. Both triggers work by polling, so a finished quiz is not passed on instantly: on the free plan it can wait up to 15 minutes before the Zap sees it. There is a single action, and it only creates quizzes; nothing here edits a learner, deletes one or adds a course. The three lookups, report generation included, are search steps, which makes any Zap that uses them a paid-plan Zap.

The trigger never costs a task, and Zapier checking LLN-Robot for finished quizzes is free however often it happens. Each successful action counts once; a failed one is not billed. The free plan gives 100 tasks a month and Zaps of two steps only, one trigger and one action.     Open your apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. You need an LLN-Robot account already, plus access to the learners and courses you did not set up yourself.

    Pick LLN-Robot

    Type the app's name in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the LLN-Robot side, ready for your login.

    Sign in to your LLN-Robot account in that tab and grant Zapier access. The connection then shows in your list, and every Zap reuses it without asking again.

Fires on the same event, a finished quiz, but what it hands over is a link to that learner's summary report rather than the raw results. It suits people who want the report itself, not the numbers behind it.

When to use it
before Generate LLN Report, or to check that a course exists before anything else runs.
Watch out
it returns every course, so pair it with a filter if only one course matters.

Get Learners

Search

Pulls learners from your account, narrowed if you like by last update, email address or whether their quiz is completed.

When to use it
to find a learner's ID from their email before generating a report.
Watch out
leave the filters empty and you get every learner, which the multiple-results setting then has to handle.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns a search into a find-or-create. None of the LLN-Robot searches shows it, so a missing item is never created here.
  3. If multiple search results are found?
    Keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When it breaks

Zapier links no help article to LLN-Robot and lists no rate limit of its own for it. The problems below are the ones every Zap can meet, seen through quizzes and learners.

Most surprises come from polling timing and from Zaps that write where they read. If a Zap keeps misbehaving, the Zapier troubleshooting page is the next stop.

  • Older quizzes are skipped

    A Zap reacts only to what happens after you publish it. Quizzes finished before that stay out; moving that history is a separate job.
  • A Zap that sets itself off

    If a Zap writes into the very place its own trigger watches, every run can start the next and drain your task count fast.
  • A big batch held back

    After a bulk import of learners, a trigger can suddenly return a huge batch, and Zapier's flood protection may hold it back.
  • No double start

    Zapier remembers what a polling trigger has already returned, so one finished quiz does not start the Zap twice.

01Is the LLN-Robot Zapier integration free?
Yes, on the Zapier side: LLN-Robot is not a premium app, so it works on the free plan. You get 100 tasks a month and unlimited Zaps, but each one stops at two steps, one trigger and one action. A Zap that logs a finished quiz in a spreadsheet fits. One that also calls Generate LLN Report, which is a search, becomes multi-step and needs a paid plan. Your LLN-Robot subscription is a separate matter.
02How many tasks does an LLN-Robot Zap use?
One task per action that succeeds, nothing else. Zapier checking for completed quizzes costs nothing, however often it looks, and the trigger itself is free. A Zap that adds a spreadsheet row and then emails the trainer uses two tasks per finished quiz. If the email step fails, it is not counted. A few apps and actions take more than one task, so watch your task count during the first runs.
03Does LLN-Robot send results to Zapier in real time?
No. Both quiz triggers are polling triggers: Zapier checks LLN-Robot at a fixed interval set by your plan. That is 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans the interval can be changed and a check can be run by hand from the editor. For quiz results, that delay rarely matters, but plan around it if a trainer waits on the report.
04What does it take to connect an LLN-Robot account?
An LLN-Robot account and access to the learners and courses you want the Zap to touch. From the Apps page in Zapier, click + Add connection, pick LLN-Robot, then sign in and grant access in the tab that opens. Before building, run Get Courses once: Generate LLN Report wants course names exactly as they are stored in your database, so reading the real names first saves you a failed test and an empty report.
05Why does Create Learner Quiz fail on some learners?
Most often because of the test level. The field is required and only accepts four values: acsf3, acsf4, vfh or acsf3shortcourse. A level written any other way in your form will not go through, so map a field that holds one of those four codes, or type the code directly in the step. The other usual suspect is a missing first name, last name or email address, all three required. Map those fields from the same source and test with a real enrolment before publishing.
06What if the LLN-Robot operation you need is missing?
Start with the six visible operations: two triggers, one action and three searches. None of them edits or deletes a learner, and none creates a course. For those, LLN-Robot itself remains the place to act by hand. Some needs are closer than they look: Get Learners, narrowed to completed quizzes, already lists who has finished, and Generate LLN Report rebuilds a report on demand.
