Overview

What the LMN Zapier integration does for you

LMN (Landscape Management Network) is business management software built for landscape contractors, with a CRM, estimates and follow-up tasks in one place. The Zapier integration connects it to your other apps: a contact, an estimate or a note changing in LMN starts an automation elsewhere, and your other tools can create contacts, notes and to-dos in LMN for you.

Three outcomes cover most setups. First, web leads that land in the CRM: a new entry in your website form goes through Find Contact, which can create the contact if it is missing, then Create ToDo/Note adds a call-back to-do on that contact. Second, estimates everyone can see: Estimate Created or Updated sends each new or edited estimate to a spreadsheet or a team message, so nobody has to ask where a quote stands. Third, contact preferences kept in sync: when someone unsubscribes in your email tool, Find Contact fetches their Lead ID and Update Contact ticks the Do Not Email box on the LMN contact.

Now what Zapier does not do here. All three triggers work by polling, so nothing reaches Zapier the instant it happens: on the free plan, a new estimate can wait up to 15 minutes before the Zap sees it. Create Contact only makes contacts of type Lead or Client; vendors, subcontractors and other types stay a manual job. And the ID that links every action to a contact, the LMN Lead ID, is invisible on screen, so your Zaps have to carry it from a trigger or fetch it with a search.

Still choosing a tool? The n8n vs Zapier comparison is one place to continue, and our Zapier agency is another if you would rather not build the Zaps yourself.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the rest of this page. Here they are once, in plain English, so nothing slows you down later.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does once it has started: the step that creates, updates or sends something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant one is reported by the app the moment it happens. All three here poll.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can use what it found.
Connection
Your LMN account linked to Zapier once, then reused by every step of every Zap that needs it.
Cost

What it really costs

LMN is not a premium app, so it runs on the free plan. You pay in tasks, and only some steps produce them.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Trigger checksFree, whatever the frequency
  • Find ContactMakes the Zap multi-step

The trigger never costs a task, and Zapier checking LMN for new contacts, estimates or notes is free however often it looks. Each successful action counts once, so a Zap that creates a contact and then a to-do uses two tasks per lead; a failed action is not billed. The free plan gives 100 tasks a month and Zaps of two steps only, one trigger and one action. Add a filter, the Find Contact search or a second action and the Zap becomes multi-step, which needs a paid plan. Since every trigger here polls, the grid below sets how fast your Zaps react.

Connect

Connect LMN to Zapier

  1. 01

Open your apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. You need an LMN account first, plus access to any contacts or estimates you do not own yourself.

  2. 02

    Pick LMN

Type LMN in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the LMN side, ready for your login details.

  3. 03

    Sign in and grant access

Sign in to your LMN account in that tab and grant Zapier access. The connection then shows in your list, and every Zap reuses it without asking again.

First Zap

Your first Zap: copy each LMN contact and its hidden ID

GoalWhen a contact is created or updated in LMN, add a row with its details and Lead ID to your spreadsheet, then send your team an email.

  1. 01

    Create the Zap

Start a new Zap, choose LMN as the app that starts it and Contact Created or Updated as the event, then pick the connection you added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent contacts from your LMN account, so you map the next steps on a real contact instead of a blank one.

  3. 03

    Add the spreadsheet row

Add your spreadsheet as the action and map the name, the contact details and the LMN Lead ID into their columns. That saved ID is what later Zaps will need.

  4. 04

    Add the email

On a paid plan, add your email tool as a third step. The free plan stops at two steps, so on Free keep the spreadsheet row only.

  5. 05

    Test, then publish

Test each step once and read what came back before moving on. Then click Publish to switch the Zap on for the next contact.

Triggers

LMN triggers

3 events start a Zap when something happens in LMN. Zapier checks for them at the interval your plan allows.

1

Task/Note Created or Updated

Polling trigger

In Zapier“Triggers when a Communication Note, ToDo, or Customer Request is created or updated in LMN.”

Starts your Zap whenever a communication note, a to-do or a customer request is added or changed in LMN. It turns the follow-up work your team logs into events other apps can pick up.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
to post new customer requests in your team chat or copy to-dos into a task manager.
Watch out
edits count too, so a note that gets changed can start the Zap again; add a filter if only new items matter.
2

Estimate Created or Updated

Polling trigger

In Zapier“Triggers when a new LMN estimate is created, or an existing LMN estimate is updated.”

Your Zap starts each time an estimate is created in LMN or an existing one is changed, and the next steps receive its details.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
to keep a shared estimate log, tell your team about a new quote or feed a reporting sheet.
Watch out
an estimate revised several times can run the Zap several times, each run costing tasks, so plan the receiving side to update a row rather than add one.
3

Contact Created or Updated

Polling trigger

In Zapier“Triggers when an LMN Contact gets created or their contact information gets updated.”

Fires when a contact is added to LMN or when their contact information changes. This is also where your Zaps can pick up the LMN Lead ID, the hidden identifier the actions ask for.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
to copy contacts into your email tool or spreadsheet and store their Lead ID for later.
Watch out
a Zap that runs Update Contact on the same contacts can set this trigger off again.
Actions

LMN actions

LMN gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create ToDo/Note

Action

In Zapier“Creates a communication note or to-do in LMN”

Logs something against a contact: a to-do, a customer request, or a history note for a phone call, an email or a plain note.

When to use it
to record a call from your phone system or set a follow-up after a form entry.
Watch out
the type must match ToDo, Request, Phone Call, Email or Note exactly, and the step needs the LMN Lead ID.
2

Create Contact

Action

In Zapier“Creates an LMN contact, including a jobsite address”

Adds a contact to the LMN CRM with its primary person and a jobsite address, ready for an estimate.

When to use it
when a quote request arrives through your website form or another lead source.
Watch out
the type must be exactly Lead or Client, and the contact name, first name and last name are required, each capped at 100 characters.
3

Update Contact

Action

In Zapier“Updates LMN contact information for existing contacts.”

Changes the details of a contact that already exists, including its Do Not Email and Do Not Mail boxes.

When to use it
when someone unsubscribes or updates their details in another tool and LMN should follow.
Watch out
without the LMN Lead ID the step cannot tell which contact to change, so put Find Contact before it.
Searches

LMN search

1 search step looks for data that already exists in LMN, so a later step can use it.

A search step fetches something that already exists so later steps can use it. In LMN it sits at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not what you expected.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing contact.
  3. If multiple search results are found?
Keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When it breaks

Zapier links no help article to LMN and lists no rate limit of its own for it. The problems below are the ones every Zap can meet, seen through contacts, estimates and notes.

Most surprises come from polling timing and from Zaps that write where they read. If a Zap keeps misbehaving, the Zapier troubleshooting page is the next stop.

  • Older contacts are skipped

A Zap reacts only to what happens after you publish it. Contacts and estimates already in LMN stay out; moving that history is a separate job.
  • A Zap that sets itself off

Update Contact behind Contact Created or Updated writes where the trigger watches, so each run can start the next and drain your task count fast.
  • A big batch held back

After a bulk import of contacts into LMN, a trigger can suddenly return a huge batch, and Zapier's flood protection may hold it back.
  • No double start

Zapier remembers what a polling trigger has already returned, so the same item does not start the Zap twice for the same change.

FAQ

LMN Zapier integration: questions

01Is the LMN Zapier integration free?
Yes, on the Zapier side: LMN is not a premium app, so it works on the free plan. You get 100 tasks a month and unlimited Zaps, but each one stops at two steps, one trigger and one action. Copying each new contact into a spreadsheet fits. A Zap that uses Find Contact before Create ToDo/Note, or that adds a filter, becomes multi-step and needs a paid plan. Your LMN subscription is a separate matter that Zapier does not cover.
02How many tasks does an LMN Zap use?
One task per action that succeeds, nothing else. Zapier checking LMN for new estimates, contacts or notes costs nothing, however often it looks. A Zap that runs Create Contact and then Create ToDo/Note for each web lead uses two tasks per lead. A failed action is not counted. Watch the triggers that also fire on updates: an estimate edited three times can run the Zap three times, and each run's actions are billed.
03Does LMN trigger Zaps in real time?
No. All three triggers are polling triggers: Zapier checks LMN at a fixed interval set by your plan. That is 15 minutes on Free, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans the interval can be changed and a check can be run by hand from the editor. For a new estimate or contact, that delay rarely matters, but keep it in mind if someone on your team waits on a to-do.
04What does it take to connect an LMN account?
An LMN account and access to the contacts, estimates and notes you want the Zap to touch. From the Apps page in Zapier, click + Add connection, pick LMN, then sign in and grant access in the tab that opens. Before building, decide how your Zaps will get the LMN Lead ID: it is hidden in LMN, so either store it from the Contact Created or Updated trigger or plan a Find Contact step.
05Why does Create ToDo/Note reject the communication type?
Because the value must match one of five words exactly: ToDo, Request, Phone Call, Email or Note. ToDo creates a to-do, Request creates a customer request, and the other three create a history note. A value spelled differently in your source tool, or sent in another language, will not go through. Type the word directly in the step, or map a field that always holds one of those five values.
06What if the LMN operation you need is missing?
Start with the seven visible operations: three triggers, three actions and one search. None of them creates an estimate, deletes a contact or creates vendors and subcontractors. For those, LMN itself remains the place to act by hand. Some needs are closer than they look: Update Contact can switch the Do Not Email and Do Not Mail boxes, and Find or Create Contact avoids duplicates when a lead comes back. A Zapier specialist can tell you quickly whether a workaround exists by combining these steps with your other tools.
07Zapier, Make or n8n for LMN?
It depends on your criteria, not on a ranking. Zapier offers ready-made LMN steps for contacts, estimates, notes and to-dos, with a guided editor, but every trigger polls and the Find Contact search needs a paid plan. Before choosing, check which LMN operations each tool actually offers, and how each one gets hold of the hidden Lead ID. Then compare billing per run, reaction speed and who on your team will maintain the workflow once it is live.
