What the magicplan Zapier integration does for you

magicplan produces floor plans, field reports and estimates, all in one app. Connecting it to Zapier means the files it exports leave magicplan on their own, and new projects can be created from another tool, so nobody re-downloads or retypes anything.

Three results cover most needs. Files filed where your team looks: File Generated starts a Zap for each file magicplan produces, and each one lands in your storage or your inbox. One notice per export, not per file: Project Exported fires once when an export is done and carries the list of its files, which suits a single message to a client or a colleague. Projects that appear already assigned: Create New Project opens a project in magicplan for a workspace member, from a request recorded in another app.

What Zapier does not do here: there is no action to change, delete or share a project. The only lookup is Find Files, which needs a project id from an earlier step. Everything else happens in magicplan itself.

Triggers never cost a task, so waiting for exports is free. Each action that succeeds counts once, and one that fails does not. The trigger you pick changes the bill: File Generated starts the Zap once per file, so an export of several files runs the action several times, while Project Exported runs it once. A filter or a Find Files search makes the Zap multi-step, which needs a paid plan, since the free plan stops at one trigger and one action. The interval grid below is Zapier's standard one; it does not apply to magicplan, whose two triggers are instant.

Connect your magicplan account in three steps

    In your Zapier account, go to the Apps page and click + Add connection. You need a magicplan account first, since Zapier only links an account that already exists.

    Type magicplan in the search box of the dialog that appears, select it in the results, then click Add connection. A new browser tab opens on the magicplan side.

Your first Zap: file only the exports you want

When to use it
a Zap started elsewhere knows the project and needs its exported files, for example to attach them to a reply.
Watch out
Project ID is required and has to come from a previous step, so it only works when something earlier carries that id.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps after it are skipped. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns a search into a find-or-create. magicplan exposes no such variant, so Find Files only ever looks.
  3. If multiple search results are found?
    Three ways out when several files match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

Zapier attaches no help article to magicplan, so the known failure points are the ones every Zap shares, plus how its triggers count.

  • Old exports are not picked up

    A Zap only reacts to what happens after you switch it on. Files exported before that are not sent; moving that history is a separate job.
  • One export, many runs

    File Generated starts the Zap once per file. An export with several files multiplies the runs and the tasks of every action behind it.
  • A sudden flood gets held back

    When a trigger suddenly sends a huge batch at once, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • The Zap sets itself off

    A Zap that writes into the very place its own trigger watches starts again and again, and burns through your task count fast.

01Is the magicplan Zapier integration free?
On Zapier's side, yes. magicplan is not a premium app, so the free plan covers it: 100 tasks a month and as many Zaps as you like, each capped at one trigger and one action. File Generated copying every file to your storage fits inside that. Add a filter to keep only some files, a Find Files search or a second action, and the Zap needs a paid plan. What magicplan charges for its own subscription is outside the scope of this page.
02How many tasks does a magicplan Zap use?
One per action that succeeds, and none for the trigger. The trigger choice matters: with File Generated, an export of five files starts five runs, so a single upload action costs five tasks. With Project Exported, the same export starts one run and one task. Actions that fail are not counted. Count how many files a typical export produces before you pick the trigger and the plan. The trigger you choose is the biggest lever on your bill.
03Do magicplan Zaps run in real time?
Yes, on every plan. magicplan reports each finished export and each generated file to Zapier itself, so there is no timer to wait for and the free plan is as quick as the paid ones. You can spot it in the editor: Zaps built on these triggers carry a lightning bolt. This is decided by the app, not a setting you switch on. One thing to keep in mind: with File Generated, that speed applies file by file, so a busy export fires a burst of runs back to back.
04What does connecting magicplan to Zapier require?
Two things: a magicplan account, and rights on any project that is not yours. With those in place, go to the Apps page in Zapier, click + Add connection, search for magicplan, then log in on the tab that opens and grant access. You do this once; every magicplan step in every Zap picks up the same connection afterwards. If the Zap has to touch a colleague's projects, check that your account has read or write access there before you run the first test.
05Why did one export send several emails?
Because the Zap starts from File Generated, which fires once for every file an export produces. Each run then sends its own email, and each email costs a task. If you want a single message per export, switch the trigger to Project Exported: it fires only once, when all the files are ready, and carries the full list. Keep File Generated for steps that really need one file at a time.
06What if the magicplan operation you want is not listed?
Then Zapier does not offer it for magicplan. You get two triggers, Project Exported and File Generated, one action, Create New Project, and one search, Find Files. There is nothing to edit, delete or share a project. If your need fits those four, for example filing the files of an export or opening a project for a workspace member, build the Zap around them. Anything else stays a manual step in magicplan. Check the list in the editor before building around a missing piece.
07Zapier, Make or n8n for magicplan?
Decide on criteria rather than a ranking. Speed: on Zapier both magicplan triggers are instant, so plan level does not slow them down. Volume: Zapier bills one task per successful action, and File Generated multiplies runs by the number of files.
