What the Magnetic Zapier integration does for you
It wires Magnetic, a business management app with CRM and project modules, to your other tools through Zaps: automations on Zapier that start on one event and then run one or more steps for you. Magnetic offers one starting event, a new notification, and seven ways to write into your account.
Three results stand out. Contacts that never get typed twice: Create Contact first looks for an existing contact and adds to it, and only creates a new contact and company when none is found. Work that opens itself: Create Opportunity/Job and Create Task turn a signed deal or a request from another app into something your team can act on, and Log Time on Task books the minutes spent. A history kept in one place: Create Contact Record, Create Opportunity/Job Comment and Create Task Comment write notes onto what already exists.
Now the limits. The only trigger is New Notification, so there is no event for a new contact, a new task or a new opportunity as such. There is no search: a Zap cannot look up a record before writing. No action updates or deletes anything. And Magnetic's accounts and HR modules have no operation at all on Zapier. - The event that starts a Zap. With Magnetic, the only one available is a new notification on your account.
- Action
- What the Zap does once started: here, writing a contact, a job, a task, a comment or a time entry into Magnetic.
- Task
- The unit Zapier bills: one action that went through. Do not confuse it with a Magnetic task, which is work to do.
- Polling trigger
- A trigger Zapier checks on a timer, keeping only what is new. New Notification works this way.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. Magnetic has none on Zapier.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes one, and it needs a paid plan.

Each Magnetic notification Zapier picks up costs nothing, and neither do the checks themselves. Every action that completes in Magnetic or elsewhere counts one task; a failed one counts nothing. The free plan gives 100 tasks a month and two-step Zaps, so adding a filter or a second action takes you to a paid plan. New Notification is a polling trigger, so the grid below sets how often Zapier looks for new notifications.
Connect Magnetic to Zapier in 3 steps

Open the Apps page
In Zapier, go to the Apps page of your account and click + Add connection. You need a Magnetic account, plus access to any contact, job or task owned by someone else that the Zap should touch.

Choose Magnetic
Type Magnetic in the search box of the dialog, pick it from the results and click Add connection. A new browser tab then opens for the Magnetic sign-in.

Sign in and allow access
Log in to Magnetic in that tab and grant Zapier access to the account. The connection is saved and every Zap that uses Magnetic reuses it from then on.

Create the Zap
Start a new Zap, pick Magnetic as the app that starts it and New Notification as the trigger. Choose whether to receive all notifications or only new ones.

Test the trigger
Run the test. Zapier brings back the three most recent notifications of the connected account, so you build the next steps on a real one.

Add a filter
Add a Filter step and fill its three boxes: the field to look at, the rule, the value to compare with. The filter makes the Zap multi-step, so it needs a paid plan.

Add the chat message
Add the send-message action of your team chat, pick the channel and drop the notification text from Magnetic into the message body.

Test and publish
Test the message, check it in the channel, then publish. Zapier will look for new notifications at the interval of your plan.

Create Contact Record

Create Opportunity/Job

Create Opportunity/Job Comment

Create Contact

Looks for the contact first. If it finds one, it adds to it; if not, it creates both a new contact and its company.
Create Task

Creates a new task in Magnetic from a name, the only required field. A Billable setting tells Magnetic whether time tracked on that task can be invoiced.
Log Time on Task

Books time on a task that already exists. The Time Logged field is required and counts in minutes.
Create Task Comment

Posts a comment on an existing task, which Magnetic finds by its code or its description. The Comment field is the only one required.
When a Magnetic Zap breaks
Zapier ties no help article to Magnetic, so the failure points are Zapier's general limits.

Old notifications never come through

On a polling trigger Zapier remembers what it has already seen, so the same notification does not start the Zap twice. A duplicate is worth checking at the source first.
