What the Maildrip Zapier integration actually does

The Maildrip Zapier integration links your Maildrip account to the other apps you use, through Zapier. A Zap (the automation you build on Zapier: one trigger, then one or more actions) watches Maildrip or another tool, then writes into the other side for you, with no copy and paste in between.

Three results come out of it. A recipient log outside Maildrip: New Recipient spots each person added to a given campaign, and the Zap copies them into a sheet or a CRM you already read. A campaign that fills itself: a sign-up captured somewhere else turns into Add a New Recipient, and the person enters the right drip sequence without anyone touching Maildrip. A contact book kept in sync: Create a New Contact pushes a name and an email into Maildrip, and can drop it straight into a group.

Now the part the app page skips. Maildrip offers no search step on Zapier, so a Zap cannot check whether someone already exists before adding them. Both triggers work by polling, never instantly, so how fast a Zap reacts depends on your plan. And there is no action to send an email or build a campaign: the sequences themselves stay inside Maildrip.

The trigger never costs a task, and neither do the checks Zapier runs to find new recipients. Each action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only in two steps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.

    Open the Apps page

    In your Zapier account, go to Apps, then click + Add connection. A connection is your Maildrip account linked once, then reused by every step that needs it.

    Find Maildrip and start

    Type Maildrip in the search box of the dialog, pick it, then click Add connection. You need an existing Maildrip account: Zapier links one, it does not open one.

    Sign in and grant access

    A new tab opens on Maildrip. Sign in, then allow Zapier to reach the account. If the campaigns you plan to use belong to someone else, check that you have read or write access on them first.

First Zap

Your first Zap: log every new Maildrip recipient

    Create the Zap

    Click to create a new Zap. The editor opens with an empty trigger slot at the top and an action slot underneath, ready to fill.

    Set the trigger

    Pick Maildrip, then the event New Recipient. Choose your Maildrip connection, then the campaign to watch in the Campaign field, which is required.

  3. 03

    Test the trigger

    Run the test. Zapier brings back the three most recent recipients of that campaign, so you can pick a real one to map from.

    Add a filter, then the sheet

    Click the plus icon, pick Filter and fill its three boxes: the field to look at, the rule, the value. Then add your spreadsheet's new-row action and map name and email. The filter makes the Zap multi-step, so it needs a paid plan.

    Test, then publish

    Test the action and open the sheet to check the row arrived with the right name and email. Then click Publish to switch the Zap on.

Reads the list of contact groups in your Maildrip account. Like any polling trigger, it only keeps what Zapier has not seen yet, so a group already returned does not start the Zap again.

When a Maildrip Zap breaks

Zapier ties no help article to Maildrip, so the traps below are the ones every Zap shares. They still hit hard on a drip tool.

Most surprises come from what a Zap does not do rather than from an error message. Keep these four in mind before you publish, and see Zapier troubleshooting when a run goes wrong.

  • Old recipients are never picked up

    A Zap only reacts to what happens after you switch it on. Recipients already in a campaign stay out; moving that backlog is a separate job.
  • A Zap that feeds itself

    New Recipient on a campaign plus Add a New Recipient into that same campaign sets the Zap off again and again, and burns through your tasks.
  • A bulk import gets held back

    If a campaign suddenly receives a huge batch, after an import for example, Zapier's flood protection can hold those runs back instead of firing them all.
  • The same recipient does not fire twice

    Zapier remembers what a polling trigger already returned, so the same recipient never starts the Zap twice, even if it shows up on several checks.

01Is the Maildrip Zapier integration free?
Yes, as far as Zapier goes: Maildrip is not a premium app, so it runs on the free plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap stays at two steps, one trigger and one action. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. On the free plan, Zapier also checks Maildrip for new recipients only every 15 minutes, since both triggers work by polling.
02How many tasks does a Maildrip Zap use?
One task per action that succeeds, nothing for the trigger. A Zap that logs every New Recipient into a spreadsheet costs one task per recipient. A Zap with three actions costs three per run. The checks Zapier runs to look for new recipients or groups cost nothing, however often they happen, and an action that fails is not billed. So the number to watch is how many people enter your campaigns, multiplied by the number of actions in the Zap.
03Does Maildrip trigger Zaps in real time?
No. Both Maildrip triggers, New Recipient and Get Contacts Groups, work by polling: Zapier goes and looks at regular intervals, and that interval depends on your plan. It is 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can also run a check by hand from the editor. There is no instant trigger on this app, so there is always a gap between the event in Maildrip and the start of the Zap.
04What does it take to connect Maildrip to Zapier?
An existing Maildrip account and a Zapier account. From the Apps page, click + Add connection, search for Maildrip, sign in on the tab that opens and grant access. If you want the Zap to touch campaigns or contacts you do not own, you also need read or write access on them. It also helps to create your campaigns before building the Zap, since the Campaign field is required on two of the four operations.
05Can a Zap check whether a Maildrip contact already exists?
Not on its own. Maildrip has no search step on Zapier, so there is no way to look someone up before running Create a New Contact or Add a New Recipient. A filter can stop the Zap based on what the trigger brought, for example an empty email field, but it cannot ask Maildrip what it already holds. Keep in mind that a filter makes the Zap multi-step, which needs a paid plan.
06What if the Maildrip action you need is not on Zapier?
Then the integration does not cover it, and that happens often here: there are only two actions and two triggers, with nothing to send an email, edit a campaign or remove a recipient. The usual way out is to check whether the step can be done on the other side of the Zap, in the tool that holds the data before the data ever reaches Maildrip. Another option is to keep that one step manual and automate only what the four operations allow.
07Zapier, Make or n8n for Maildrip?
There is no single winner; it comes down to criteria. Coverage: on Zapier, Maildrip has four operations, with no search and no instant trigger, so check whether Make or n8n offers the steps you actually need. Cost: Zapier bills each successful action and never the trigger, which keeps the maths simple when only a few people join your campaigns. Free plan: two-step Zaps cost nothing, while a filter or a second action moves you to a paid plan. Weigh those three points against your own volume.
