MailMoo takes a single recording and turns it into many personalized video messages for cold outreach. Connecting it to Zapier means building a Zap: an automation with one starting event, the trigger, followed by one or more actions each time that event happens. MailMoo can start a Zap or receive leads from one.

You know who watched. Video Analytics Changed fires when a prospect opens or watches their video. Send that signal to your contact tool or a spreadsheet and the people who engaged stand out from the rest of the list.

Leads land in the right campaign. Add Lead to Campaign drops a person into a MailMoo campaign from any app that starts a Zap. You choose whether the video renders right away or waits, and Render Pending Leads in Campaign then sends every waiting lead to the render queue in one go.

LinkedIn steps feed the rest of your setup. LinkedIn Sequence Events starts a Zap each time a step of one of your LinkedIn sequences runs and passes the filters you set, and Video reacts when a video changes in a way your conditions describe. Both let another tool follow along without anyone checking MailMoo.

What Zapier does not do here. There is no search step, so a Zap cannot look up a lead, a campaign or a video that already exists. Only two actions are offered: adding a lead and rendering pending leads. Nothing creates a campaign or edits a recording from Zapier. Each action that goes through counts as one task, and a failed one is not counted. A Zap with two actions uses two tasks per run. The free plan gives 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.     Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box: type MailMoo and pick it from the results that appear.

    Start the connection

    Click Add connection. A new tab opens on MailMoo. You need a MailMoo account, plus access to any workspace or campaign you do not own but want the Zap to touch.

    Sign in and allow access

    Sign in to MailMoo in that tab, then grant Zapier access to the account. The connection now shows on your Apps page, and every MailMoo step can reuse it.

    Start a new Zap and pick MailMoo as the app that starts it. Choose Video Analytics Changed as the event, then select your MailMoo connection.

When it breaks

When a MailMoo Zap breaks

Zapier publishes no help article for MailMoo and no app-specific limit. What goes wrong comes from how Zaps behave in general.

Four cases cover most surprises. When a Zap stops for a reason you cannot spot, Zapier troubleshooting is the place to start.

  • Past views are not picked up

    A Zap only reacts to what happens after you switch it on. Videos watched before that stay out of it; moving that history is a separate job.
  • A Zap that feeds itself

    A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through tasks fast.
  • A big import held back

    Load many leads at once and a trigger can return a huge batch. Zapier's flood protection may hold that batch back rather than run every item.
  • Render Pending Leads takes them all

    Render Pending Leads in Campaign renders every pending lead of the campaign. Leads you meant to keep waiting get rendered with the others.

02How many tasks does a MailMoo Zap use?
One task per action that completes, and nothing for the trigger. A Zap that updates a contact each time a video is watched uses one task per view. A Zap with two actions uses two tasks each run. An action that fails is not counted against your plan. Watching for video views, video updates or LinkedIn events costs nothing either. So your usage follows the number of events MailMoo reports, multiplied by the actions in the Zap.
03Do MailMoo triggers run in real time?
Yes. LinkedIn Sequence Events, Video Analytics Changed and Video are all instant: MailMoo tells Zapier as soon as the event happens, and the Zap starts right away. The plan interval grid, which sets how often polling triggers are checked, does not apply to them. That matters on the free plan, where polling triggers are only checked every 15 minutes. In the editor, a Zap built on an instant trigger shows a lightning bolt, which confirms it at a glance.
04What does it take to connect MailMoo to Zapier?
A MailMoo account, plus access to any workspace or campaign you do not own but want the Zap to touch. From the Apps page in Zapier, click + Add connection, search for MailMoo, sign in on the tab that opens and grant access. Before building, make sure your workspace and campaign exist in MailMoo, since the actions require both. If you plan to render slides, have a slide template ready too.
05Why did Render Pending Leads render leads that were meant to wait?
Because Render Pending Leads in Campaign has no way to pick leads: it sends every pending lead of the chosen campaign to the render queue. If some leads were added with rendering turned off on purpose, they get rendered too. The fix is in how you organize campaigns. Keep the leads you want to hold in a separate campaign, or decide at the Add Lead to Campaign step whether each one renders straight away, so the batch step only finds the ones you want.
06What if the MailMoo action you need is not listed?
Then Zapier does not offer it today: the editor shows exactly the 3 triggers and 2 actions on this page and nothing more. There is no step to create a campaign, remove a lead or look up an existing video. Two options remain. You handle that part inside MailMoo, or you build the Zap around the operations that exist. To find a workaround with those pieces, a training session or an outside team can map it out with you.
