What the Mailsuite Zapier integration does for you

Mailsuite is an email tracker for Gmail: it tells you when someone opens your email, clicks one of its links or views a PDF you attached. Plugged into Zapier, each of those signals can start an automation in your other tools, and Zapier can send a tracked email through Mailsuite without you writing it by hand.

An alert where your team already reads. First Open Notification starts a Zap the first time a recipient opens your email, and the next step posts that news in your team chat, so nobody refreshes the tracker to know.

A follow-up sent at the right moment. First Click Notification fires when a tracked link is clicked for the first time, and Send Email can answer with a tracked message of its own.

A record of who read the document. First PDF View Notification reports the first view of a PDF, which a spreadsheet row can keep for later, so the whole history stays in one place.

What it will not do: the triggers only report a first time. A second open, a second click or a later view of the same PDF starts nothing. There is no search step, and Send Email is the only action, so Zapier cannot read your tracking history or edit a sent message. A Zap that answers a first click with a tracked email uses one task per run; an email that fails to send is not counted. Mailsuite is not a premium app, so that two-step Zap runs on the free plan. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below is how often Zapier checks polling triggers on each plan; it does not apply to Mailsuite's three triggers, which are all instant.

    In your Zapier account, open Apps and click + Add connection. In the dialog that opens, type Mailsuite in the search box and pick it from the results.

    In the editor, choose Mailsuite and First Open Notification as the starting event, then select the connection you just made.

    Run the test. Zapier brings back the three most recent first opens of the connected account; pick one, and it becomes the real sample you map from.

    Add a filter

    Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, the value. Use a text rule on a text field, or nothing ever gets through.

Watch out

When a Mailsuite Zap breaks

Zapier ties no help article to Mailsuite, so the cases below are the limits every Zap shares, applied to email tracking.

Most of them come from the fact that Mailsuite both sends tracked emails and reports on them. For problems that are not listed here, see Zapier troubleshooting.

  • Past opens and clicks are not picked up

    A Zap only reacts to what happens after it is switched on. Emails opened or clicked before you published it never go through; that history is a separate job.
  • A tracked email that restarts the Zap

    A Zap on First Open that runs Send Email creates a new tracked email; once it is opened, it can start the Zap again, and tasks go fast.
  • A burst held back

    When a trigger suddenly sends a huge batch, after a large mailing for instance, Zapier's flood protection can hold those runs back.
  • Only the first time counts

    Each trigger reports a first open, a first click or a first PDF view. Later activity on the same email never starts another run.

Mailsuite and Zapier: frequent questions

01Is the Mailsuite Zapier integration free?
Yes, it runs on Zapier's free plan. Mailsuite is not a premium app, so it is not kept for paid plans. The free plan gives you 100 tasks a month and unlimited Zaps, with one limit that is easy to miss: each Zap has two steps at most, one trigger and one action. Answering a first click with Send Email fits. Adding a filter or a second action, such as an alert plus a sheet row, makes the Zap multi-step, and that needs a paid plan.
02How many tasks does a Mailsuite Zap use?
One per successful action, and nothing for the trigger. Opens, clicks and PDF views reaching Zapier never cost a task. A Zap that posts a chat message and then sends a tracked email uses two tasks every time it runs, because each action counts on its own. An action that fails is not counted against your plan. A handful of apps bill more than one task per action; nothing on the app page says Mailsuite is one of them.
03Does Mailsuite on Zapier work in real time?
Yes. All three Mailsuite triggers are instant: Mailsuite tells Zapier the moment an email is first opened, a link first clicked or a PDF first viewed, and the Zap starts right away. That holds on every plan, including Free, because the interval grid only applies to polling triggers. The editor shows a lightning bolt on a Zap built on an instant trigger. The app you pair Mailsuite with may still be polled, if its own trigger works that way.
04What does it take to connect Mailsuite to Zapier?
An existing Mailsuite account and a Zapier account. Open the Apps page, click + Add connection, search for Mailsuite, confirm, then sign in to Mailsuite in the tab that opens and grant Zapier access. If your Zaps touch anything you do not own yourself, your account needs read or write rights on it. Once added, the connection is reused by every Mailsuite step, in this Zap and in the next ones.
05Why did a second open not start the Zap?
Because Mailsuite's triggers only report a first time. First Open Notification fires once per email, on its first open; First Click Notification on the first click of a tracked link; First PDF View Notification on the first view of the PDF. When the same recipient opens, clicks or views again, nothing reaches Zapier. That is useful for alerts, since nobody gets notified twice, but it means Zapier cannot count how often an email is read.
06What if the Mailsuite operation you need is missing?
Then this integration cannot do it. On Zapier, Mailsuite offers three triggers (First Click Notification, First Open Notification, First PDF View Notification) and one action, Send Email, with no search step. Reading your tracking history, counting repeat opens or editing a message already sent are not available from the editor. Check whether the job fits these four operations, and if it does not, compare what other automation tools offer for Mailsuite.
