Overview

What the MasterBase Zapier integration does for you

MasterBase is an email marketing platform: lists of contacts, and the messages you send them. Zapier connects it to your other tools in both directions. It notices new contacts and new messages in MasterBase, and it can add or update a contact, look one up, or create a unique message, all without opening MasterBase.

Three results you can build with it. Sign-ups that land in the right list: a form submission becomes a contact through Create/Update Contact, in the list you pick, and someone already there is updated rather than created. A message triggered elsewhere: Create Unique Message builds a message from data another app hands over, with sender, recipient, subject and body filled in. A list mirrored outside MasterBase: New Contact copies every newcomer of a list to a spreadsheet your team already reads.

What Zapier does not do for MasterBase: none of its triggers is instant, so on the free plan a new contact can wait up to 15 minutes before the Zap sees it. The search only works inside one list at a time, by email, so a contact sitting in another list stays invisible to it. And no Zap picks up contacts or messages that existed before it was switched on.

The trigger costs nothing, and neither does Zapier checking MasterBase for new items, however often it looks. Each action that succeeds counts once: a Zap that adds a contact and then creates a message uses two tasks per run. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps. Add Find Contact, a filter or a second action, and the Zap is multi-step, which needs a paid plan.     Open the Apps page

    In your Zapier account, open Apps and click + Add connection. A connection is your MasterBase account linked to Zapier once, then reused by every step that touches MasterBase.

    Search MasterBase by name in the dialog, select it, then click Add connection. You need a MasterBase account with access to the lists and messages the Zap will read or write.

    A tab opens on MasterBase. Sign in, then grant Zapier access to the account. When the tab closes, the connection shows up in your list, ready for any Zap.

First Zap

    Create the Zap on MasterBase

    Start a new Zap, pick MasterBase as the app and New Contact as the event. Choose your connection, then the List to watch, which is required.

  2. 02

    Test the trigger

    Run the test: Zapier brings back the three most recent contacts of that list. Pick a real one, so the mapping that follows uses actual values.

  3. 03

    Add a filter

    Add a filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value. Contacts that fail it stop there. The Zap is now multi-step.

    Add the spreadsheet row

    Choose your spreadsheet tool and its add-row action, then map the contact's email and the other values the test returned into your columns.

    Test, then publish

    Run the action once and check the new row in your sheet. When it looks right, click Publish. On the free plan, Zapier then checks the list every 15 minutes.

When to use it
before creating a unique message, you want the recipient's details from MasterBase rather than from the app that started the Zap.
Watch out
List and Email are required, and a contact sitting in another list is not found; adding this search makes the Zap multi-step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns the search into a find-or-create. The listing read for this page shows no such variant for Find Contact, so check in the editor whether the box appears before you count on it.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a MasterBase Zap breaks

Zapier ties no help article to MasterBase and lists no limit specific to it. What breaks comes from general Zapier behaviour and from the fields MasterBase insists on.

  • Existing contacts never show up

    A Zap only reacts to what happens after you publish it. Contacts already in the list are not picked up; moving that backlog is a separate job.
  • The Zap keeps restarting itself

    A Zap that writes into the place its own trigger watches can set itself off again and burn tasks. Keep what the Zap reads apart from what it writes.
  • An import is held back

    After a bulk import into a list, New Contact can suddenly return a huge batch. Zapier's flood protection can hold those runs back instead of firing them all.
  • A required field is empty

    List and Email are required on contacts, and Create Unique Message has eleven required settings. If an earlier step leaves one blank, the step cannot complete.

MasterBase Zapier integration: common questions

01Is the MasterBase Zapier integration free?
Yes. MasterBase is not a premium app on Zapier, so it runs on the free plan: 100 tasks a month and as many Zaps as you like, each limited to two steps. Adding form sign-ups to a MasterBase list with Create/Update Contact fits in that. Use Find Contact before an action, add a filter or chain two actions, and the Zap becomes multi-step, which needs a paid plan. Keep that in mind when you sketch your flow.
02How many tasks does a MasterBase Zap use?
One per action that succeeds, and nothing for the trigger or for Zapier checking MasterBase. A Zap that adds each form sign-up to a list costs one task per sign-up. A Zap that runs Create/Update Contact and then Create Unique Message costs two per run, since each action that completes is billed. A failed action is not counted. Multiply the number of events you expect each month by the number of steps after the trigger.
03Do MasterBase triggers fire in real time?
No. New Contact, New Message and New Unique Message are polling triggers: Zapier asks MasterBase for new items at a fixed interval set by your plan. That is every 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. On paid plans the check can also be run by hand from the editor. If you need a faster reaction, a paid plan is the only lever, since the trigger type cannot be changed.
04What do you need to connect MasterBase to Zapier?
A MasterBase account with access to the lists and messages your Zap will touch. The connection runs from the Apps page of Zapier: click + Add connection, search MasterBase, click Add connection, sign in in the tab that opens, then grant access. Before building, make sure the list you want exists in MasterBase, because New Contact, Create/Update Contact and Find Contact all require you to pick one. The connection is then reused by every MasterBase step.
05Why does Create Unique Message ask for so many fields?
Because all eleven of them are required: From Name, From, To, Subject, Classification, Format, Body, Open Tracking, Click Tracking, Text to HTML and HTML to Text. The step cannot complete without each one set. Most can hold a fixed value you choose once, while To, Subject and Body can be mapped from earlier steps. Run the test with your own address as recipient and check how the message looks before publishing.
06What if the MasterBase operation you want is not available?
Then Zapier cannot do it with MasterBase today. The editor offers six operations: three triggers, Create/Update Contact, Create Unique Message and Find Contact. Anything else stays in MasterBase itself. Sometimes the missing part fits in the other app of the Zap. Otherwise, check whether another automation tool exposes more MasterBase operations before you design the whole flow around a gap. Write down the exact gap first: it makes the comparison much quicker.
07Zapier, Make or n8n for MasterBase?
It depends on criteria rather than on a winner. First, which tool really offers a MasterBase connector, and with which operations; on Zapier, six, with polling triggers only. Second, how quickly you need to react, since on Zapier the polling interval depends on the plan. Third, how each tool counts usage: Zapier bills every successful action as a task. Lay your expected volume against those three points. The right choice usually becomes clear for your case.
