Overview

What the MediaZilla Zapier integration does for you

The MediaZilla Zapier integration lets Zapier, an automation service, listen to your video delivery platform and pass each event on to the rest of your tools. MediaZilla reports all 11 events itself, so nothing waits for a scheduled check. It only works in that direction: Zapier reads from MediaZilla, it does not write to it.

A video pipeline you can follow from outside. Video Upload Completed and Video Transcode Completed mark the moments a video is in and ready to go. Each can post a message or open a task, so nobody keeps refreshing MediaZilla to check.

Deliveries and sales tracked where your team works. Digital Delivery Invitation Sent and Digital Delivery Invitation Accepted follow each invitation, purchases of paid content included, and Order Completed logs every successful order in a spreadsheet or a finance tool.

Presentations announced as they go live. Presentation Created and Presentation Published let the people who share them know that a new one is ready.

What Zapier does not do here: MediaZilla has no action and no search on Zapier, so a Zap cannot upload a video, send an invitation or look anything up in MediaZilla. Every Zap starts in MediaZilla and ends in another app. And nothing that happened before you switch a Zap on is replayed. To compare Zapier with other tools, see our n8n vs Zapier comparison.

Vocabulary

Zapier words, in one minute

Seven words come back all over this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a completed order in MediaZilla. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something. With MediaZilla, it always happens in another app.
Task
The unit Zapier bills. One action that your Zap completes successfully is one task, and your plan counts those.
Instant vs polling
An instant trigger is reported by the app the moment it happens; a polling one is checked on a timer. All 11 triggers here are instant.
Filter
A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What a MediaZilla Zap really costs

MediaZilla is not one of the apps Zapier keeps for paid plans: it works on the free plan.

  • Free plan100 tasks a month, unlimited two-step Zaps
  • MediaZilla triggerNever billed
  • Failed actionNot counted against the plan
  • MediaZilla triggersAll 11 instant, on every plan

The MediaZilla trigger never costs a task: only the actions that follow it in your other apps are counted, once each when they succeed, and not when they fail. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps. A filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below is how often Zapier checks a polling trigger on each plan; it does not apply here, since the 11 MediaZilla triggers are all instant.

Connect

Connect your MediaZilla account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a MediaZilla account, plus read or write access on anything you do not own yourself but want the Zap to touch.

  2. 02

    Pick MediaZilla

Type MediaZilla in the search box of the dialog, select it, then click Add connection at the bottom of it. A new browser tab opens on the MediaZilla side.

  3. 03

    Sign in and grant access

Sign in to MediaZilla in that tab and allow Zapier to use the account. The connection is saved once, and from then on every MediaZilla trigger of every Zap reuses it.

First Zap

Your first Zap: email the right person when a MediaZilla transcode is done

GoalEach finished transcode in MediaZilla sends an email from your mail tool, but only for the videos that meet the condition you set.

  1. 01

    Build: start with MediaZilla

Create a Zap, pick MediaZilla as the app and Video Transcode Completed as the event, then choose the connection you have just added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent transcodes of the account, so you map the next steps on a real one, not on a guess.

  3. 03

    Add a filter

Click the plus icon, add Filter, then fill the three boxes: the field to look at, the rule, the value. Use a text rule on text. The Zap is now multi-step.

  4. 04

    Add the email step

Add your mail tool as the action and map what the trigger returned into the message. Check at the test which video details actually come through.

  5. 05

    Test, then publish

Run each step once and read what came back. Then click Publish. Only transcodes that finish after that point will send an email.

Triggers

MediaZilla triggers

11 events start a Zap when something happens in MediaZilla, and 11 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Add-on Created

Instant trigger

In Zapier“Triggers when a new add-on is created.”

Fires when someone creates a new add-on in MediaZilla, and passes what MediaZilla sends about it to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every new add-on should be logged in a shared sheet, so the team sees the full list without opening MediaZilla.
Watch out
Zapier does not list which add-on details come through; check them at the test before mapping.
2

Add-on Updated

Instant trigger

In Zapier“Triggers when an add-on is updated.”

Reacts each time an existing add-on is changed, so a copy kept elsewhere does not go out of date.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the row written by Add-on Created should be refreshed whenever the add-on is edited.
Watch out
following both creation and changes takes two Zaps, one per trigger, each limited to two steps on the free plan.
3

Digital Delivery Invitation Sent

Instant trigger

In Zapier“Triggers when a digital delivery invitation is sent.”

Starts your Zap when MediaZilla sends out a digital delivery invitation, the moment content is offered to a recipient.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each invitation should appear in your tracking sheet so you know what went out and to whom.
Watch out
sending is not accepting; pair it with the accepted trigger if the answer matters to you.
4

Digital Delivery Invitation Accepted

Instant trigger

In Zapier“Triggers when a digital delivery invitation is accepted by a recipient, including purchases of monetized content.”

Goes off when a recipient accepts a digital delivery invitation, and that includes buying content you charge for.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an accepted delivery or a purchase should be logged, or should alert whoever follows up with the recipient.
Watch out
free acceptances and purchases come through the same trigger, so a filter can keep only one kind, provided a detail tells them apart; check that at the test first.
5

Order Completed

Instant trigger

In Zapier“Triggers when an order is completed successfully.”

Kicks off once an order goes through successfully in MediaZilla, the signal that a sale is final.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each completed order should land as a row in your sales spreadsheet or your finance tool.
Watch out
orders completed before the Zap is published are not replayed: your sheet only starts with the next ones.
6

Presentation Created

Instant trigger

In Zapier“Triggers when a new presentation is created.”

Fires as soon as a new presentation is created in MediaZilla, ahead of its publication.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a task to prepare or review the presentation should open in your task tool for whoever owns it.
Watch out
creation is not publication; if your message is meant for viewers, use Presentation Published instead.
7

Presentation Published

Instant trigger

In Zapier“Triggers when a presentation is published.”

Tells Zapier that a presentation has gone live in MediaZilla, the moment it can be shared.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team chat should announce each published presentation so it reaches the people who share it.
Watch out
check at the test which presentation details arrive before you write the message around them.
8

Video Transcode Completed

Instant trigger

In Zapier“Triggers when a video transcode process completes successfully.”

Reacts when MediaZilla finishes a video transcode successfully, the point where the video is converted and usable.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the person waiting on a video should get an email as soon as it is ready to send on.
Watch out
Zapier describes it as firing on a transcode that completes successfully; do not count on it to report anything else.
9

Video Transcode Started

Instant trigger

In Zapier“Triggers when a video transcode process starts.”

Starts the Zap the moment a transcode process begins in MediaZilla, at the start of the conversion rather than its end.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a status board should show which videos are being processed right now.
Watch out
any step that needs the finished video belongs on Video Transcode Completed, not here.
10

Video Upload Completed

Instant trigger

In Zapier“Triggers when a video upload completes successfully.”

Goes off once a video upload to MediaZilla completes successfully, so the next step knows the file is in.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team chat should hear about each new video without anyone watching the upload.
Watch out
Zapier shows this same label twice in the event list; this one is the trigger for a finished upload.
11

Video Upload Completed

Instant trigger

In Zapier“Triggers when a video upload starts.”

Despite its label, this second entry fires when a video upload starts, not when it ends: Zapier's own description says so.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a heads-up that an upload is under way, for a log or a status board.
Watch out
with two identical labels, picking the wrong one is easy; run the test and check you get the event you expected.
When it breaks

When a MediaZilla Zap breaks

Zapier attaches no help article to MediaZilla, and no limit specific to the app is documented. Apart from the duplicated label, what breaks is what breaks on any Zap.

Three cases are worth knowing. When a run looks wrong, rerun the step test and read what came back, then see our Zapier troubleshooting guide.

  • The Zap fires at the wrong moment

Two triggers share the label Video Upload Completed, and one of them fires when an upload starts. Check the event you picked against the test result.
  • Nothing from before the Zap shows up

A Zap only reacts to what happens after you publish it. Past uploads, deliveries and orders are not replayed; moving them is a separate job.
  • A bulk change goes quiet

When a trigger suddenly sends a huge batch, after an import or a migration, Zapier's flood protection can hold it back.

FAQ

MediaZilla and Zapier: your questions

01Is the MediaZilla Zapier integration free?
Yes. MediaZilla is not one of the apps Zapier keeps for paid plans, so it works on the free plan. That plan gives you 100 tasks a month and as many Zaps as you like, each limited to two steps: one trigger and one action. Video Upload Completed followed by a chat message fits. Because MediaZilla only starts Zaps, a filter or a second destination app is what tips a Zap into multi-step, and that needs a paid plan.
02How many tasks does a MediaZilla Zap use?
The MediaZilla trigger itself costs nothing, whichever of the 11 you choose. What counts are the actions in your other apps: one task each time one succeeds, nothing when it fails. A Zap that writes each Order Completed into a spreadsheet uses one task per order. If the same Zap also sends an email, that is two tasks per order. A filter that stops a run before the action saves the task.
03Does MediaZilla send events to Zapier in real time?
Yes. All 11 triggers are instant: MediaZilla tells Zapier when the event happens, and the Zap starts right away. The plan intervals, 15 minutes on Free down to 1 minute on Team and Enterprise, only concern polling triggers, and MediaZilla has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. Your plan changes how many tasks you get each month, not how fast these triggers fire.
04What does it take to connect MediaZilla to Zapier?
A MediaZilla account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection takes three moves: open the Apps page and click + Add connection, search for MediaZilla and click Add connection, then sign in in the new tab and grant access. The connection is saved once and every MediaZilla trigger in every Zap reuses it. After that, you only pick the trigger you want in each Zap.
05Why are there two Video Upload Completed triggers?
Because Zapier shows the same label on two different events. One fires when a video upload completes successfully. The other, despite its name, is described by Zapier as firing when a video upload starts. Pick the wrong one and your Zap runs before the video is actually in. When you choose the event, run the trigger test and look at what comes back to make sure you got the moment you wanted.
06What if the MediaZilla operation you need is not available?
On Zapier, MediaZilla offers 11 triggers and nothing else: no action and no search. So anything that writes into MediaZilla, such as uploading a video, sending a delivery invitation or creating a presentation, cannot be done from a Zap. What a Zap can do is react to those events and act in another app. If you need to push data into MediaZilla, that need is not covered here. Check the full list of triggers in the editor first.
07Zapier, Make or n8n for MediaZilla?
Choose by criteria, not by a ranking. First, direction: on Zapier, MediaZilla can only start Zaps, with 11 instant triggers and no way to write back. If you need to write into MediaZilla, check whether Make or n8n offer that. Second, how many steps your scenario takes, since anything beyond a trigger and one action needs a paid plan on Zapier. Compare those two points with your own scenario before deciding.
