Overview

What the Meetgeek.ai Zapier integration gets you

The Meetgeek.ai Zapier integration moves what your AI note-taker produces into the tools where work continues. Meetgeek records, transcribes and summarizes your online calls; through Zapier, a finished meeting or a highlight starts an automation, and your Zaps can read summaries, transcripts and meeting lists.

A summary on the client record. Get Meeting Summary & Insights returns what Meetgeek wrote about a meeting it analyzed, from its meeting ID. Mapped into your CRM, it saves rewriting the recap by hand. New Meeting fires when a meeting is finished; whether it hands over that ID is something to read on your first test.

Key moments shared with the team. New Highlight reports each highlight as it is created, so the decision or the quote someone flagged reaches your team channel straight away.

A transcript archive you can search. Get Transcripts lists every sentence of a meeting, ready to be stored in a document or a sheet. And Upload Recording sends a recording made elsewhere to Meetgeek for analysis.

What Zapier does not do here: there is no action to edit or delete a meeting, and no trigger for a new transcript or a new team. Six of the ten operations are searches: any Zap that uses one is multi-step and needs a paid plan. And every action and search asks for your API Key in a field, on top of the connection. Vocabulary

Zapier words, explained once

Eight terms carry this page. One line each.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a finished Meetgeek meeting. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like uploading a recording.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance counts those and nothing else.
Instant trigger
A trigger the app reports itself the moment the event happens, so nothing waits for a check. Both Meetgeek triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Meetgeek has none on Zapier.
Search step
A step that looks up something already in an app, such as a meeting summary, so the steps after it can use it.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it needs a paid plan.
Cost

What a Meetgeek.ai Zap costs

Meetgeek.ai is not a premium app on Zapier, so it works on the free plan. You pay in tasks, one per successful action.

  • Premium appNo, works on the free plan
  • Tasks on the free plan100 per month
  • Steps per Zap on the free plan2 (one trigger, one action)
  • Instant triggers2 of 2

The two triggers never cost a task. Each successful action, an upload, a note in your CRM, a message, counts one task; a failed one is not counted. The real threshold is the searches: the free plan builds two-step Zaps only, so a Zap that runs Get Meeting Summary & Insights before writing anywhere is multi-step and needs a paid plan. The interval grid below exists for polling triggers only; it does not apply to the two Meetgeek triggers, which are instant.

Connect

Connect Meetgeek.ai to Zapier

  1. 01

    Open Apps

On the Apps page of your Zapier account, click + Add connection. In the dialog, search for Meetgeek.ai by name and pick it from the list of results shown.

  2. 02

    Sign in to Meetgeek

Click Add connection. Meetgeek opens in a new tab: sign in with the account that records your meetings. You need an existing Meetgeek account for this step.

  3. 03

    Grant access

Allow Zapier to use the account. If a Zap should read the meetings of a team, check first that your account has share or view access to that team in Meetgeek.

First Zap

Your first Zap: a follow-up task after each call

GoalWhen a Meetgeek meeting is finished, a follow-up task is created in your project tool, in a two-step Zap that runs on the free plan.

  1. 01

    Pick the trigger

Create a Zap, choose Meetgeek.ai and New Meeting, then fill in its required Flow name field. The Zap will start each time a meeting is finished.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items. Keep a real one and read what it holds, since only those details can reach the task.

  3. 03

    Add the task

Pick your project tool and its create-task action. Map the task name and description to details of the meeting you tested, one field at a time.

  4. 04

    Test the action

Run the action once and open the task in your project tool. If a field arrives empty, look first at what you mapped from the trigger.

  5. 05

    Publish

Click Publish to switch the Zap on. Meetings finished before that moment get no task; only the ones that end after it do.

Triggers

Meetgeek.ai triggers on Zapier

2 events start a Zap when something happens in Meetgeek.ai, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Highlight

Instant trigger

In Zapier“Triggers when a highlight is created.”

Starts your Zap each time a highlight is created in Meetgeek, the moment someone flags a passage of a meeting as worth keeping. The highlight then travels to the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
decisions and quotes flagged during calls should reach a team channel or a shared document without waiting for the full notes.
Watch out
the trigger has a required Flow name field; check what it expects in the editor before you test.
2

New Meeting

Instant trigger

In Zapier“Triggers when a meeting is finished.”

Fires when a meeting is finished in Meetgeek, not when it is scheduled. That makes it the natural starting point for anything that needs the recording to be over: summaries, transcripts, follow-ups.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
after each client call, a note, a task or a message should follow without anyone opening Meetgeek.
Watch out
like New Highlight, it requires a Flow name; fill it in before the first test.
Actions

Meetgeek.ai actions on Zapier

Meetgeek.ai gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Get a Meeting Details

Action

In Zapier“Retrieves meeting details given a meeting id.”

Retrieves the details of one meeting from its meeting ID. Zapier files it as an action, even though it reads rather than writes.

When to use it
a later step needs the facts of a specific meeting and you already hold its ID.
Watch out
the meeting ID sits in the meeting's URL, right after the meeting/ segment, or comes from Get Meetings.
2

Upload Recording

Action

In Zapier“Uploads a Recording for analysis”

Sends a recording made outside Meetgeek for analysis, from a download URL. Besides your key, that URL is the only required field.

When to use it
calls recorded in another tool should get the same Meetgeek treatment as the ones it recorded itself.
Watch out
the URL must start a direct download when opened; a page that shows a player is not enough.
Searches

Meetgeek.ai searches on Zapier

6 search steps look for data that already exists in Meetgeek.ai, so a later step can use it.

A search step reads Meetgeek without changing anything, then hands what it found to the steps below. Searches sit at the bottom of the action-event list, under SEARCH. Three settings decide what happens when the result is unexpected.

1

Get Highlights

Search

In Zapier“Retrieves paginated past highlights of a user”

Pulls past highlights, page by page. Besides your key, it asks for a meeting ID.

When to use it
you already hold a meeting ID and want every flagged moment of that call in one place.
Watch out
results come in pages; check at test how many you get back.
2

Get Meeting Summary & Insights

Search

In Zapier“Get summary and insights of a meeting analyzed with MeetGeek”

Returns the summary and insights Meetgeek produced for a meeting it analyzed, from the meeting ID.

When to use it
the summary should land in a CRM, a project tool or an email to the client.
Watch out
it only covers meetings Meetgeek has analyzed.
3

Get Meetings

Search

In Zapier“Retrieves paginated past meetings of a user”

Lists your past meetings, page by page. Only your key is required.

When to use it
you need meeting IDs to feed the other searches, or a list of recent calls.
Watch out
a paginated list is not one meeting; check what the first item is.
4

Get Teams

Search

In Zapier“Retrieves teams of a user.”

Returns the teams your Meetgeek user belongs to, with nothing to fill in but your key.

When to use it
to find the team ID that Get Team Meetings needs.
Watch out
run it once at test to read the IDs rather than guessing them.
5

Get Transcripts

Search

In Zapier“Lists all transcript sentences by meeting id.”

Lists every transcript sentence of a meeting, from its meeting ID.

When to use it
a full written record should be stored in a document, a sheet or a knowledge base.
Watch out
it returns sentences, not one block of text; check at test how they arrive before mapping.
6

Get Team Meetings

Search

In Zapier“Lists past meetings of a team.”

Lists the past meetings of a team, from its team ID.

When to use it
a manager wants the calls of a whole team collected, not only their own.
Watch out
your account needs share or view access to that team.

The three settings every search exposes

  1. Successful if no search results are found?
On its default, a search that finds nothing stops the Zap and the steps depending on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Meetgeek.ai exposes no such variant on Zapier, so none of its six searches offers it.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Meetgeek.ai Zap breaks

Zapier attaches no help article to Meetgeek.ai and documents no limit of its own. What breaks comes from required fields and from how every Zap behaves.

  • The key field left empty

Every action and search has its own required key field, separate from the connection. A step without it cannot run; fill it in each one.
  • No meeting ID to pass

Four operations need a meeting ID. Map it from an earlier step or take it from the meeting URL after meeting/, and check it at test.
  • A download link that is not one

Upload Recording needs a URL that starts a direct download. A share page or a player page will not do.
  • Meetings finished before the Zap

A Zap only reacts to what happens after it is published. Earlier meetings and highlights are not processed.
  • A flood of items held back

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back.
  • A Zap that restarts itself

As a general precaution: a Zap that writes into the place its own trigger watches can start itself again and use up tasks.

FAQ

Meetgeek.ai Zapier integration: questions people ask

01Is the Meetgeek.ai Zapier integration free?
Yes. Meetgeek.ai is not a premium app, so its triggers, actions and searches all work on the free plan. That plan gives 100 tasks per month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. Posting each highlight to your team chat fits. Pulling a summary or a transcript first does not: a search adds a step, the Zap becomes multi-step, and that needs a paid plan.
02How many tasks does a Meetgeek.ai Zap use?
One per successful action, and none for the triggers. A finished meeting or a new highlight starts the Zap for free; the CRM note, the message or the upload that follows costs one task if it works, nothing if it fails. Every extra action counts on its own, so a Zap that writes a note and also sends a message uses two tasks per meeting. Zapier's published rules bill completed actions and say nothing specific about Meetgeek's searches: confirm how they count on a test run.
03Is Meetgeek.ai on Zapier real time?
Yes for both triggers. New Highlight and New Meeting are instant: Meetgeek reports the event to Zapier itself, and the Zap starts straight away on any plan. The polling interval grid, 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise, does not apply to them. Keep in mind what New Meeting waits for: it fires when a meeting is finished, not when it starts. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What do you need to connect Meetgeek.ai to Zapier?
A Meetgeek account, and share or view access to any team whose meetings the Zap should read. In Zapier, go to the Apps page, click + Add connection, search for Meetgeek.ai, click Add connection, sign in on the tab that opens and grant access. That is not quite all: each action and search also asks for your Meetgeek key in a required field, and both triggers ask for a Flow name. Prepare those before building the first Zap.
05Why does every Meetgeek.ai step ask for a key?
Because each of the two actions and six searches has a required key field of its own, on top of the account you connected. The connection alone is not enough for those steps to run. Zapier's page points to a guide from Meetgeek on where to find that key; this page does not reproduce it. In practice, have the key at hand before the first test, paste it in every Meetgeek step, and check at test that each step accepts it.
06What if the Meetgeek.ai operation you need is missing?
Then this integration cannot do it today. Meetgeek.ai on Zapier is two triggers, New Highlight and New Meeting, two actions and six searches. There is no action to edit, rename or delete a meeting, and no trigger for a new transcript or a new team. Several reads exist in more than one form, so check first whether a search already covers your case. This list was read from version MeetgeekAiCLIAPI@2.4.3 of the app in October 2026. If a gap remains, compare other automation tools before building.
07Zapier, Make or n8n for Meetgeek.ai?
Look at what your flows read before you pick. Pushing highlights or finished meetings into another app takes two steps, so Zapier's free plan runs it, with instant triggers. Pulling a summary or a transcript needs a search, which makes the Zap multi-step and paid, and every Meetgeek step there also wants your key: price that and compare it with what Make and n8n offer for Meetgeek. Then ask who will fix a Zap when a key or a meeting ID goes missing.
