What the Mobilize Zapier integration does

It connects Mobilize, a platform for running communities, to the rest of your tools. A Zap, the automation you build on Zapier, can start when a member joins a group, is created or is updated in Mobilize. It can also add someone to a group or update a member from data held in another app.

A welcome that goes out once someone is accepted. Group Member Added fires when a person joins a group or gets approved into it, and the Zap hands them to your email tool.

Group members straight from a sign-up form. Add Member takes each new entry from another app and places the person in the Mobilize group you pick. Group is the only field marked as required.

A contact sheet that follows the community. Member Updated sends each change to a spreadsheet, while Update Member does the reverse when a detail changes outside Mobilize, as long as you know the member's group.

Three instant triggers. Mobilize tells Zapier itself, so even on the free plan these Zaps do not wait for a timed check.

Each action that succeeds is one task, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each capped at two steps: one trigger, one action. A filter or a second action makes the Zap multi-step, which needs a paid plan. A few apps and actions take more than one task. The interval grid below does not apply to the three Mobilize triggers, which are instant; it only matters when a Zap starts on another app's polling trigger before Add Member or Update Member.     Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box where you find any app Zapier supports by its name.

    Pick Mobilize and confirm

    Type Mobilize, select it in the results, then click Add connection. A new tab opens, where you sign in to Mobilize with the account that runs your community.

    Grant access

    Allow Zapier to access the account. You need an account on Mobilize, plus read or write access on anything you do not own yourself and want the Zap to touch. Every Mobilize step then reuses this connection.

First Zap

    Create the Zap and pick the trigger

    Create a Zap, choose Mobilize as the trigger app and Group Member Added as the event, then pick the Mobilize connection you made earlier.

    Test the trigger

    Run the test. Zapier brings back the three most recent items from the connected account, so you build the welcome on a real member rather than a blank one.

  3. 03

    Add the filter

    Click the plus icon, add Filter and fill its three boxes: field, rule, value. Use a text rule for text and a number rule for numbers. A filter step needs a paid plan.

    Add the email step

    Add your email tool and its send action, then map the member's details from the trigger into the recipient and the message. Read the trigger test to see which fields are there.

    Test and publish

    Test the email step and read what came back. Then click Publish: from now on, each arrival that passes the filter starts the Zap right away.

Group is required and takes the ID of a group that already exists in your Mobilize account, so set the group up before you build the Zap.

When to use it
a person corrects their information in another tool and the community record should follow.
Watch out
even for an update, the Group field is required, so know which group the member belongs to before mapping, and check at test that the right person changed.
When it breaks

When a Mobilize Zap breaks

Zapier attaches no help article to Mobilize, so the cases below are the general limits every Zap runs into.

  • No backlog pickup

    A Zap only reacts to what happens after you switch it on. Members who joined before are never sent on; moving them is a separate job.
  • A Zap that sets itself off

    A Zap that writes into the place its own trigger watches can start itself again and again and burn through tasks. Keep the trigger's source apart from where it writes.
  • Bulk batches held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • A filter that never passes

    Filter rules are typed: a text rule only works on text and a number rule only on numbers. Picking the wrong one is why a filter never lets anything through.

Mobilize and Zapier: frequent questions

01Is the Mobilize Zapier integration free?
Yes. Mobilize is not reserved for paid plans, so it runs on the free plan: 100 tasks a month and an unlimited number of Zaps, each limited to two steps, one trigger and one action. Member Created followed by a new row in your spreadsheet fits that limit. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Because the three Mobilize triggers are instant, the free plan does not make them wait either.
02How many tasks does a Mobilize Zap use?
One task per action that succeeds. A member joining a group costs nothing on its own, since the trigger is free; the email, the row or the update your Zap carries out next is what counts. A Zap with two actions uses two tasks per run when both work. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so watch your count after the first runs.
03Does Mobilize work in real time with Zapier?
Yes, for everything that starts in Mobilize. Group Member Added, Member Created and Member Updated are all instant triggers: Mobilize tells Zapier the moment the event happens and the Zap starts right away, whatever your plan, with a lightning bolt in the editor. The 15-minute interval of the free plan does not apply to them. It only comes into play when another app's polling trigger starts a Zap that then runs Add Member or Update Member.
04What does connecting Mobilize to Zapier require?
An account on Mobilize, plus read or write access on anything you do not own yourself and want the Zap to touch. You make the connection once from the Apps page with + Add connection, sign in to Mobilize in the tab that opens and grant Zapier access. Every Mobilize step reuses it afterwards. If you plan to add or update members, the group they belong to must already exist in that account, since Group is required on both actions.
05Group Member Added or Member Created: which trigger to pick?
The only difference Zapier states is about approval: Group Member Added also covers the moment a request to join gets approved, while the description of Member Created mentions a new member added to a group and nothing more. Both are instant. So if approval is what should start your Zap, Group Member Added is the one that names it. For anything finer, test each trigger on your own account and read what comes back before you publish. Two Zaps, one on each, would bill every action that succeeds in both.
06What if the Mobilize operation you need is not available?
Open the Mobilize page on Zapier, which shows the current operations: three member triggers and two member actions, with no search and no way to remove someone. If the event you want to react to is not a member event, Zapier cannot start from Mobilize for it. Work from the other end where you can: the tool where the information first appears starts the Zap, and Add Member or Update Member carries the result into Mobilize.
07Zapier, Make or n8n for Mobilize?
Pick by criterion rather than by brand. On Zapier, Mobilize offers five operations, all built around members, with three instant triggers that ignore the plan interval and billing per successful action. The free plan covers simple two-step Zaps; a filter or a second action needs a paid plan. For Make or n8n, the first question is whether either one offers a Mobilize connector with the member events you rely on; this page only covers Zapier.
