Overview

What the Mold Ninja Zapier integration actually does

It lets the estimates and jobs you schedule in Mold Ninja set off work in your other apps. You build a Zap (an automation with one starting event and one or more steps after it), and Zapier runs it each time that event happens. Mold Ninja is the starting point; everything after it happens elsewhere.

A calendar that matches the schedule. New Scheduled Estimate fires when an estimate is booked, so a calendar app can get it at once, where your team already plans its days.

Paperwork that starts when the work ends. New Completed Job fires when a job is completed. Put your invoicing tool behind it and the invoice draft is waiting before anyone thinks of it.

A shared record of booked jobs. New Scheduled Job. sends each newly booked job onward, for instance into a spreadsheet your team uses to see what is coming.

What Zapier does not do for Mold Ninja. There is no action: a Zap cannot create an estimate, book a job or change anything inside Mold Ninja. There is no search step either, so a Zap cannot look up an older job. And the three triggers cover scheduling and completion only; nothing is offered for a cancelled or moved appointment.

Vocabulary

Zapier vocabulary in one minute

Eight words come back all through this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Mold Ninja offers three.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, always in another app here.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked on a timer. All three here are instant.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Connection
Your Mold Ninja account linked to Zapier once, then reused by every Zap that starts from Mold Ninja.
Cost

What it really costs in tasks

Mold Ninja is not a premium app, so it works from the free plan. Since it only starts Zaps, every task is spent in the apps that come after it.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Trigger cost0 tasks
  • Mold Ninja triggersAll 3 instant, the grid does not apply

The three triggers never cost a task. Each action that succeeds after them counts once, so a Zap that creates a to-do and then a spreadsheet row uses two tasks per estimate. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each held to two steps: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. The grid below is how often Zapier checks polling triggers on each plan; it does not apply to Mold Ninja, whose three triggers are instant and fire straight away on every plan.

Connect

Connect your Mold Ninja account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an account on Mold Ninja, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick Mold Ninja

Search for Mold Ninja by name in the dialog, select it, then click Add connection. A new tab opens so you can sign in with the account that holds your estimates and jobs.

  3. 03

    Grant access

Sign in to Mold Ninja in that tab and allow Zapier to use the account. The connection is saved once, then reused by every Zap that starts from one of the three Mold Ninja triggers.

First Zap

Your first Zap: turn selected estimates into to-dos

GoalEach estimate scheduled in Mold Ninja that meets your condition becomes a to-do in your task app.

  1. 01

    Build: set the trigger

Create a Zap, pick Mold Ninja as the starting app and New Scheduled Estimate as the event, then choose your connection. The trigger is instant, so no interval applies.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent scheduled estimates of the connected account, so you map the next steps on a real one. See which fields come back.

  3. 03

    Add the filter

Click the plus icon and add Filter. Fill the three boxes: the field to look at, the rule, the value. The filter makes this a multi-step Zap, which needs a paid plan.

  4. 04

    Add the task action

Add your task app and its create-task action, then map the estimate fields from the test into the to-do. Test the step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. Estimates scheduled before that moment create nothing; only the ones scheduled from then on go through.

Triggers

The 3 Mold Ninja triggers

3 events start a Zap when something happens in Mold Ninja, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Scheduled Estimate

Instant trigger

In Zapier“Triggers when a new estimate is scheduled.”

Starts your Zap when an estimate is put on the schedule in Mold Ninja, and passes it to the steps that follow. This is the earliest moment the integration offers, before any job exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
when your team wants upcoming estimates in a calendar or a task app, outside Mold Ninja.
Watch out
check in the test which fields come back before you map them into another app.
2

New Completed Job

Instant trigger

In Zapier“Triggers when job is completed.”

Fires when a job is completed in Mold Ninja. Of the three triggers, it is the one tied to the end of the work rather than to planning, which makes it the natural start for anything that follows delivery.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to prepare an invoice in your billing tool, or to tell your team in its chat tool.
Watch out
jobs completed before you publish the Zap never reach it, and moving those is a separate job.
3

New Scheduled Job.

Instant trigger

In Zapier“Triggers when new job is scheduled.”

Hands each newly booked job to your Zap. Zapier shows this trigger's name with a full stop at the end, so look for it exactly like that in the event list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to log every booked job in a shared spreadsheet, or to warn your team in the chat tool it already reads.
Watch out
a scheduled estimate is a different event, with its own trigger.
When it breaks

When a Mold Ninja Zap breaks

Zapier ties no help article to Mold Ninja and lists no limit specific to it. What can go wrong is what goes wrong on any Zap.

  • Earlier estimates and jobs never arrive

A Zap only reacts to what happens after you switch it on. Anything scheduled or completed before publishing is not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the very place its own trigger watches can start itself again and again, and burn through your tasks.
  • A sudden huge batch

If a trigger suddenly returns a very large batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.

FAQ

Mold Ninja Zapier integration: frequent questions

01Is the Mold Ninja Zapier integration free?
Yes. Mold Ninja is not a premium app, so its three triggers work on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, each with two steps: one trigger and one action. Sending every completed job to your invoicing tool fits. Sending only some of them does not, because the filter makes the Zap multi-step, and multi-step Zaps need a paid plan. The trigger itself never uses a task.
02How many tasks does a Mold Ninja Zap use?
One task for each action that completes after the trigger. New Scheduled Estimate, New Completed Job and New Scheduled Job. cost nothing themselves. A Zap that creates one to-do per estimate spends one task per estimate; if it also adds a spreadsheet row, it spends two. An action that fails is not counted against your plan. Multiply the estimates and jobs you expect by the number of actions behind each trigger, and you have your monthly count.
03Does Mold Ninja send events to Zapier in real time?
Yes. All three triggers are instant: the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan. The polling interval grid does not apply to them, and a Zap built on one shows a lightning bolt in the editor. For this app, the free plan is as quick as the paid ones. The type of a trigger is set by the app itself and cannot be changed from the editor.
04What do you need to connect Mold Ninja to Zapier?
An account on Mold Ninja, plus read or write access on anything you do not own yourself and want the Zap to touch. Start from the Apps page of your Zapier account, click + Add connection, search for Mold Ninja, then sign in in the tab that opens and grant access. Connect the account that holds the estimates and jobs you want to follow; one connection then serves all three triggers and every Zap you build on them.
05Can a Zap book a job or an estimate in Mold Ninja?
No. Mold Ninja offers three triggers and no action on Zapier, so a Zap can react to what is scheduled or completed, but it cannot create an estimate, book a job or update one. Every step after the trigger has to belong to another app. If bookings arrive through a form or an email, someone still enters them in Mold Ninja; the Zap takes over from the moment the estimate or job is on the schedule.
06What if the Mold Ninja operation you want is not available?
Then no Mold Ninja step can do it in a Zap. Today the editor shows three triggers for this app, New Scheduled Estimate, New Completed Job and New Scheduled Job., and nothing else. The Mold Ninja page on Zapier shows the current list, so check it there before you build around a missing step. A cancelled or rescheduled appointment, for example, has no trigger of its own, so that part of the follow-up stays manual.
07Zapier, Make or n8n for Mold Ninja?
Decide on criteria, not on a ranking. First, check that the other tool has a Mold Ninja connector at all, since this page only covers the Zapier one. Second, count your steps: on Zapier, a trigger plus one action runs on the free plan, and the three Mold Ninja triggers are instant there. Third, look at which apps must come after each event and whether each tool connects to them. Fourth, decide who will look after the automation once it is published.
