The LiveWebinar Zapier integration links LiveWebinar, a platform for running webinars, trainings and team meetings, to Zapier, a service that passes data from one app to the next. LiveWebinar reports what happens around your events, and Zapier can also write back into it: register someone, or schedule a new webinar.

Registrants who reach your CRM by themselves. New Registrant fires for every sign-up, and the next step creates the contact in your CRM. Nobody exports a list after the event any more.

Recordings that do not sit forgotten. Webinar Recording Ready tells Zapier when a recording has been processed and can be downloaded, so a step can file it or send the link to the people who missed the session.

Sign-ups taken anywhere. Create New Registrant registers someone from another tool, a form on your site for instance. LiveWebinar then fires its own New Registrant event, as if the person had signed up directly.

On timing, all thirteen triggers are instant: LiveWebinar tells Zapier as soon as the event happens, on every plan, the free one included.

What Zapier does not do here: it cannot look anything up in LiveWebinar, since the app has no search. It cannot edit or delete a webinar either. The two actions only create, a registrant or a webinar, and everything else stays in LiveWebinar itself.

A LiveWebinar trigger never costs a task. Each action that succeeds afterwards counts once, so a Zap that creates a CRM contact and then sends a team message uses two tasks per registrant. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps: one trigger, one action. A filter or a second action turns it into a multi-step Zap, which needs a paid plan. The grid below shows how often Zapier checks polling triggers on each plan; it does not apply to the thirteen LiveWebinar triggers, which are all instant.

Fires once LiveWebinar has finished processing the recording of a webinar and the file can be downloaded. Before that point there is nothing to fetch, which is why this trigger waits for the end of processing rather than the end of the session.

When it breaks

When a LiveWebinar Zap breaks

Zapier attaches no help article to LiveWebinar, so the cases below are the general limits that apply to its triggers and actions.

  • Past registrants never arrive

    A Zap only reacts to what happens after it is switched on. People who registered before you published stay in LiveWebinar; moving them is a separate job.
  • A Zap that keeps calling itself

    Creating a registrant fires New Registrant, and creating a webinar fires Webinar Create. A Zap built on one of those that writes the same thing back sets itself off again and burns tasks.
  • A wave of sign-ups held back

    If a trigger suddenly sends a huge batch, after a bulk import for instance, Zapier's flood protection can hold those items back instead of running every one.
  • A filter needs a paid plan

    On the free plan a Zap stops at one trigger and one action. A filter or a second action makes it multi-step, and that requires a paid plan.

01Is the LiveWebinar Zapier integration free?
Yes. LiveWebinar is not a premium app, so the free Zapier plan can use it, with 100 tasks a month and unlimited Zaps. The catch is the size of each Zap: one trigger and one action. Sending each new registrant to your CRM fits. Sending them to your CRM and posting a team message takes two actions, which makes a multi-step Zap and needs a paid plan. You also need your own LiveWebinar account.
02How many Zapier tasks does a LiveWebinar Zap use?
One per successful action, and nothing for the trigger. A Zap that turns every new registrant into a CRM contact uses one task per sign-up, so a busy webinar can eat a good share of a 100-task month. Watch Sub-Account Update and Webinar Update too: each edit is an event, and each event runs the actions behind it. A failed action is not counted against your plan. A Zap with two actions doubles that count.
03Does LiveWebinar trigger Zaps in real time?
Yes, on all thirteen triggers. LiveWebinar tells Zapier the moment a webinar is created, changed or cancelled, a recording is ready, a lead or registrant comes in, or a sub-account changes, and the Zap starts right away. This holds on every plan, the free one included. The polling interval grid of Zapier plans does not apply to this app, so a free plan loses nothing on reaction time here. In the editor, a Zap built on one of these triggers shows a lightning bolt.
04What do you need to connect LiveWebinar to Zapier?
A LiveWebinar account with access to the webinars and sub-accounts you want to automate. In Zapier, open the Apps page, click + Add connection, pick LiveWebinar, sign in on the tab that opens and grant access. The connection is saved once and reused by every LiveWebinar step. For the registrant action, also have at least one webinar with registration enabled, otherwise the webinar list in the step stays empty. Creating a webinar, on the other hand, asks for a name and a start date in a fixed format.
05Why does the LiveWebinar Zap run twice for one registrant?
Usually because two Zaps feed each other. Create New Registrant also fires the New Registrant trigger. If one Zap registers people from a form and a second one starts on New Registrant, every sign-up goes through both, which is expected. The problem starts when a Zap built on New Registrant registers someone again: it fires itself, again and again, and spends a task each time. Create New Webinar and Webinar Create behave the same way.
06What if the LiveWebinar operation you need is not available?
Then Zapier cannot do it for this app, because the 13 triggers and 2 actions are the whole offer: no search, no edit, no delete, and no raw request step. Check first whether a close operation covers the need: someone who fills in the lead form before entering arrives through New Lead, not New Registrant. If nothing fits, the change has to be made in LiveWebinar by hand, or another automation tool has to be compared.
