Overview

What the Moverbase Zapier integration actually does

The Moverbase Zapier integration links your Moverbase account (the software that runs a moving company's operations) to the other tools you use. Zapier watches Moverbase for new clients, jobs and leads, and it can also create clients and leads in Moverbase when something happens elsewhere. You pick the pairing, Zapier repeats it.

Three outcomes show what it can do. First, a heads-up for every fresh lead: New Lead picks up the lead and a second app posts it where your team already talks, so nobody has to refresh Moverbase to know a new enquiry came in.

Second, leads that fill themselves in: a form or another tool starts the Zap, and Create Lead writes the enquiry into Moverbase with the name, phone and job date it needs. No more copying from an inbox.

Third, a running log of booked work: New Job sends each new job to a spreadsheet you already keep, one row per job, ready to sort or share.

Now the limits, because they shape what you can plan. Zapier offers no search step for Moverbase, so a Zap cannot look up a client that already exists before acting. It cannot update or delete anything in Moverbase either: the two actions only create. And none of the three triggers is instant, so every one of them waits for Zapier's next check.

Vocabulary

The Zapier words you need, in one minute

Seven terms come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event that starts a Zap, such as a new lead in Moverbase. Once the Zap is on, Zapier waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What a Moverbase Zap really costs

Moverbase is not a premium app, so it runs on Zapier's free plan. The bill is counted in tasks, and only actions make them.

  • Trigger0 task
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on the free plan

The trigger never costs a task, and neither does each check Zapier runs on Moverbase. Every action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Add a filter or a second action and you need a paid plan.

Connect

Connect Moverbase to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Moverbase account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find Moverbase and add it

Type Moverbase in the search box of the dialog, pick it from the results, then click Add connection. A new tab opens so you can finish the link on the Moverbase side.

  3. 03

    Sign in and grant access

Sign in to Moverbase in that tab and grant Zapier access to the account. From then on, every step that uses Moverbase reuses this connection, so you set it up only once.

First Zap

Your first Zap: only serious leads reach the team chat

GoalEvery new Moverbase lead that matches a condition you choose gets posted in your team chat.

  1. 01

    Pick the trigger

Create a Zap, choose Moverbase as the app and New Lead as the event, then select the Moverbase connection you added earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent leads of your account, so you map the next steps on a real one rather than on a blank.

  3. 03

    Add the filter

Click the plus icon and add Filter. Set the field to look at, the rule and the value to compare with. A filter makes this a multi-step Zap, so it needs a paid plan.

  4. 04

    Add the message

Add your chat app as the action and map the lead details from the trigger into the message. Test this step once and read what came back before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. From that point, each lead that passes the filter is posted, and each successful post counts as one task.

Triggers

Moverbase triggers

3 events start a Zap when something happens in Moverbase. Zapier checks for them at the interval your plan allows.

1

New Client

Polling trigger

In Zapier“Triggers when a new client is created.”

This trigger starts your Zap each time a client is created in Moverbase, and hands the new client record to the steps that follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want each new client copied into a tool outside Moverbase, for instance a spreadsheet your office keeps, without anyone retyping the name.
Watch out
a Zap only reacts to clients created after you publish it. Clients already in Moverbase stay where they are, and moving that backlog is a separate job.
2

New Job

Polling trigger

In Zapier“Triggers when a new job is created.”

Use this one when the event that matters is a booked job rather than a person: the Zap starts on each job created in Moverbase.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you keep a log of jobs in a spreadsheet, or you want a notice sent somewhere each time work is added to the schedule.
Watch out
when you test the trigger, Zapier fetches the three most recent jobs of the account. Pick one of them so the next steps are mapped on real values rather than on a blank.
3

New Lead

Polling trigger

In Zapier“Trigger when a new lead is created.”

Each enquiry recorded as a lead in Moverbase can open a Zap here, which makes it the natural starting point for follow-up work.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
the team should hear about every new lead in the chat they already watch, instead of checking Moverbase by hand.
Watch out
on the free plan this Zap can only have one action. Narrowing it to some leads with a filter turns it into a multi-step Zap, which needs a paid plan.
Actions

Moverbase actions

Moverbase gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Client

Action

In Zapier“Add a new Client to your Moverbase account.”

Adds a client to your Moverbase account from data that started somewhere else, so the record exists before anyone opens the job.

When to use it
a customer signs up or pays in another tool and should appear in Moverbase as a client.
Watch out
the first name and last name are required, with Moverbase capping them at 20 and 25 characters. Check at the test what a longer value gives.
2

Create Lead

Action

In Zapier“Add a new Lead to your Moverbase account.”

Writes a new lead into Moverbase, which is how an enquiry received outside the software lands in your pipeline without retyping.

When to use it
a form on your site collects enquiries, and each answer should become a lead.
Watch out
four fields are required here: job date, first name, last name and phone (15 characters at most). Make sure your source collects a phone before you map it.
When it breaks

When a Moverbase Zap breaks

Zapier attaches no help article of its own to Moverbase, so the traps below are the general ones of any Zap.

Read these four cases before you publish. If something still behaves oddly afterwards, our Zapier troubleshooting page is the next stop.

  • Nothing from before the Zap

A Zap only reacts to what happens after it is switched on. Clients, jobs and leads already in Moverbase are never picked up by the trigger.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches can start itself again and again, and burn through your task count fast.
  • A sudden big batch

If a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.
  • The same item twice

Zapier keeps track of what it has already seen on a polling trigger, so the same client, job or lead does not start the Zap twice.

FAQ

Moverbase Zapier integration: your questions

01Is the Moverbase Zapier integration free?
Yes, it works on Zapier's free plan, because Moverbase is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like. The catch is size: each Zap stops at two steps, one trigger and one action. As soon as you want a filter or a second action, for example to post a lead and also log it, you need a paid plan. So the free plan suits one simple pairing per Zap, such as each new job sent to a spreadsheet.
02How many tasks does a Moverbase Zap use?
One task per action that completes successfully, and nothing for the trigger. Zapier checking Moverbase for new clients, jobs or leads costs nothing, however often it looks. If your Zap runs one action, each new item costs one task; with three actions, it costs three. An action that fails is not counted against your plan. On the free plan, that means 100 successful actions a month in total, shared across all your Zaps.
03Does Moverbase trigger Zaps in real time?
No. All three Moverbase triggers are polling triggers: Zapier goes and looks at regular intervals, and how often depends on your plan. The grid is 15 minutes on Free, 2 on Professional, and 1 on Team and Enterprise. On paid plans you can also change how often a trigger checks, and run a check by hand from the editor when you are testing. If timing matters for your leads, the plan you pick is what decides it.
04What do you need to connect Moverbase to Zapier?
A Moverbase account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection itself happens from the Apps page of your Zapier account: you add a connection, search Moverbase, sign in on the tab that opens and grant Zapier access. You do it once, and every Moverbase step in every Zap reuses that same connection afterwards. If you work on clients you do not own yourself, ask for that access before you start.
05Why does Create Lead ask for a phone number?
Because Moverbase marks it as required, along with the job date, the first name and the last name. The phone field also has a cap of 15 characters, the first name 20 and the last name 25. If the tool that starts your Zap does not collect a phone, this action has nothing to put there, so plan your form or source around those four fields first. Run the action test with a real entry and check what Moverbase gives back before you publish.
06What if the Moverbase operation you need is not there?
Then Zapier cannot do it with Moverbase today. The integration offers three triggers (New Client, New Job, New Lead) and two actions (Create Client, Create Lead), with no search and nothing that updates or deletes. Moverbase's page on Zapier shows the current list of operations, so check there before you design a Zap around a step that does not exist. If the missing piece is central, compare what other automation tools offer for Moverbase.
07Zapier, Make or n8n for Moverbase?
It depends on your criteria, not on a ranking. On Zapier, Moverbase connects from the Apps page, runs on the free plan and covers new clients, jobs and leads plus two create actions. The limits to weigh are the two-step cap on the free plan and the fact that every trigger is polled, at an interval set by your plan. Check whether Make or n8n list Moverbase at all, and compare what each tool charges for the volume of actions you expect.
