Needle Zapier integrationAutomate Needle with Zapier.

The Needle Zapier integration has 0 triggers, 0 actions and 1 search. Inside a Zap that starts elsewhere, Search Collection asks a Needle collection a question and passes the matching chunks to the next step. Here is how to set it up and what it costs.

Overview

What the Needle Zapier integration does for you

Needle searches by meaning across loose content such as PDFs, documents and emails, grouped in collections. On Zapier it exposes one step, a search: a Zap that starts in another app can query a Needle collection mid-way and use the chunks it returns in the steps that follow.

Answers pulled from your own documents. A question typed into a form becomes the Search Term of Search Collection, and the chunks that come back can be posted to your team chat for someone to use.

Context added to a record. When a new row appears in a spreadsheet, the Zap can search a collection for related passages and add them as a new row in a second sheet, so nobody digs through files by hand.

A draft that starts from real material. The chunks returned by Needle can feed an email or a note in another tool, as raw material that a person then checks.

One collection per search. Each Search Collection step points at a single collection through its Collection ID, so the Zap searches exactly the set of documents you chose.

What Zapier does not do here: Needle has no trigger and no action on Zapier. Nothing that happens in Needle can start a Zap, and a Zap cannot add or change content in a collection. If you also use Make, see our Needle Make integration page. For the wider picture, see our Zapier review.

Vocabulary

The Zapier words, in one minute

Eight words carry the rest of the page. Each one keeps this meaning from here on.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it and nothing runs before it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens, so nothing waits for a scheduled check.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the ones it has not seen.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it needs a paid plan.
Cost

What a Needle Zap really costs

Needle is not a premium app. But its only operation is a search, and a Zap with a search is a multi-step Zap, so any Needle Zap needs a paid plan in practice.

  • Free plan100 tasks a month, Zaps of two steps, no room for a search
  • Search CollectionMakes the Zap multi-step, so a paid plan
  • Failed actionNot counted against the plan
  • Premium appNo

The free plan stops at two steps, one trigger and one action, so it cannot hold a search. On a paid plan, the trigger in your other app never costs a task, and each action that succeeds after the search counts on its own. An action that fails is not counted, and a three-action Zap uses three times more than a one-action Zap. The interval grid below concerns the trigger of the other app only, when that trigger is a polling one.

Connect

Connect your Needle account

  1. 01

    Open your connections

In your Zapier account, open the Apps page and click + Add connection. A connection is your Needle account linked once, then reused by every step that uses the app.

  2. 02

    Find Needle

Type the app name in the dialog, pick Needle, then click Add connection. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

A new tab opens on Needle. Sign in there, then grant Zapier access to the account. Once the tab closes, the account can be picked in the Search Collection step.

First Zap

Your first Zap: answer form questions from a collection

GoalEach question sent through your form is searched in a Needle collection, and the matching chunks reach your team chat so someone can reply.

  1. 01

    Create the Zap

Start a new Zap and pick your form tool as the app that starts it, with its new-entry event. Needle has no trigger, so the Zap always starts elsewhere.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent entries, so you map fields from a real one. Read what came back before going further.

  3. 03

    Add the search

Add Needle with Search Collection. Paste the Collection ID, then map the form's question into Search Term. A search makes this a multi-step Zap, so it needs a paid plan.

  4. 04

    Post the chunks

Add your team chat as the action and build the message from the chunks the search returned. Test it and read the message before going further.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, every new entry runs the search, and each message that goes through is one task.

Searches

The Needle search

1 search step looks for data that already exists in Needle, so a later step can use it.

In the editor, Needle's search sits at the bottom of the Action event list, under SEARCH. How close a match has to be is decided by Needle, not by Zapier. Three settings decide what happens next.

1

Search Collection

Search

In Zapier“Searches a Needle collection and returns a list of chunks.”

Runs a search by meaning inside one Needle collection and returns a list of chunks, the passages that match your term.

When to use it
when a question or a keyword arrives from another app and the next step needs matching passages from your documents.
Watch out
Collection ID and Search Term are both required; the ID comes from your Needle collection page.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking this box turns a search into a find-or-create. Needle exposes no find-or-create variant on Zapier, so you will not see this box on Search Collection.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Needle Zap breaks

Zapier attaches no help article to Needle, so the cases below come from how every Zap behaves, plus the two required fields of its search.

Keep these four cases in mind before you publish. When something does go wrong, see our Zapier troubleshooting guide.

  • A search that comes back empty

On its default setting, a Search Collection that finds nothing stops the Zap, and the message or row that depended on it never gets written.
  • A Collection ID that does not match

The Collection ID is required and comes from your Needle collection page. Copy it from there, and check the connected account can reach that collection.
  • An empty Search Term

Search Term is required. Map it to a field the trigger always carries, and read the test result to confirm a real term went through.
  • Earlier items stay out

A Zap only reacts to what happens after you switch it on. Entries sent before that moment are never searched; handling them is a separate job.

FAQ

Needle and Zapier: common questions

01Is the Needle Zapier integration free?
Not in practice, and for one reason only: the single Needle operation on Zapier is a search. Needle itself is not a premium app, but a Zap with a search is a multi-step Zap, and the free plan stops at two steps, one trigger and one action. Search Collection has no room there, so a Needle Zap needs a paid plan. The free plan itself gives 100 tasks a month and unlimited Zaps of two steps each. No price is quoted on this page, since plan grids change too often.
02How many tasks does a Needle Zap use?
The trigger in your other app never costs a task, and every action that succeeds after the search counts as one. In the form-to-chat Zap on this page, each message posted is one task. Add a second action, a spreadsheet row for instance, and each successful one counts on its own. An action that fails is not counted against your plan. Before you publish, multiply the number of entries you expect by the number of actions placed after the search.
03Can a Needle Zap start in real time?
Needle cannot start a Zap: it has no trigger on Zapier. The Zap starts in another app, and its speed depends on that trigger. If it is an instant trigger, the app tells Zapier the moment the event happens, whatever your plan. If it is a polling trigger, Zapier checks on a timer: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Since a Needle Zap needs a paid plan anyway, the shorter intervals apply.
04What do you need to connect a Needle account?
An account on Needle, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection is made once from the Apps page of Zapier with + Add connection: you pick Needle, sign in to it in the tab that opens, then grant Zapier access. Search Collection then asks for a Collection ID, which you find on your Needle collection page, so the account you connect must be able to open that collection.
05Where do you find the Needle Collection ID?
On your Needle collection page. It starts with clt_ followed by a string of characters, and Search Collection will not run without it. Copy it from there and paste it into the Collection ID field rather than typing it by hand. Search Term is the other required field: map it to a value the trigger always carries. Then test the step and read the chunks that come back before you add what follows.
06What if the Needle operation you need is not there?
Then this integration cannot do it, and no setting will add it. The current list is the one shown on the Needle page of Zapier: today it holds one search, Search Collection, and no trigger or action. Adding documents to a collection, or starting a Zap from something that happens in Needle, has no step here. The honest options are to keep Needle as the lookup in the middle of the Zap, or to check what Make or n8n offer for Needle.
07Zapier, Make or n8n for Needle?
It depends on how you weigh the criteria. Zapier gives you one Needle step, a search, which is enough to bring passages from a collection into another tool, but it always needs a paid plan. If a Needle Zap would run very often, compare how each tool counts usage, since Zapier bills every successful action. If you need more Needle operations than a search, check what the Make and n8n integrations offer before deciding. None of the three wins on every count.
