Overview

What the NioLeads Zapier integration does for your prospecting

NioLeads is a prospecting tool for B2B sales and marketing teams: it builds lead lists by tracking down work email addresses. Connecting it to Zapier lets those addresses flow into your CRM, your sheets or your outreach tool on their own, and lets other apps ask NioLeads to find or check an email for them.

Three results come up again and again. An enriched lead list: a form or a CRM passes a full name and a company domain, and Find Email returns the business address that goes with them. A cleaner sending list: Verify Email checks whether an address can actually receive mail before your sequence tool tries it. A CRM that fills itself: New Contact starts a Zap every time NioLeads finds a new email, so the address lands where your reps work.

What Zapier does not do here is just as useful to know. The single trigger is checked on a timer, so a found email waits for the next check before anything moves. There is no search step for this app, nothing to edit or delete a contact, and nothing that reacts to a bounce. And a Zap ignores the contacts you found before you switched it on.

If you are still picking a tool, the NioLeads Make integration covers the same app on Make, and Make vs Zapier sets the two tools side by side.

Vocabulary

The Zapier words used on this page

Seven terms, one line each, so the rest reads without a dictionary.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, here a new email found by NioLeads. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or checks something for you, like verifying an address.
Task
The unit Zapier bills: one action your Zap completes successfully. The quota on your plan counts exactly those.
Polling vs instant
Polling means Zapier checks the app on a timer. Instant means the app tells Zapier right away. NioLeads only has polling.
Filter
A step that lets the Zap go on only when the data meets your condition, and stops it there when it does not.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
Cost

What a NioLeads Zap really costs

NioLeads is not a premium app, so it runs on the free Zapier plan. You pay in tasks, and only actions that succeed are counted.

  • Paid plan requiredNo, free plan is enough
  • Free plan100 tasks a month, two-step Zaps
  • Trigger checksNever billed
  • Find then verifyTwo tasks per run, paid plan

The trigger is free, and so is every check Zapier runs on NioLeads, however often. Each successful action counts on its own: find an email then verify it, and that run costs two tasks. A failed action costs nothing. The free plan gives you 100 tasks a month and Zaps of two steps only, one trigger and one action. Chaining Find Email and Verify Email, or adding a filter, turns it into a multi-step Zap that needs a paid plan.

Connect

Connect your NioLeads account in three steps

  1. 01

    Open the connections page

In your Zapier account, open Apps and click + Add connection. A connection is your NioLeads account linked once, then reused by every step that calls NioLeads.

  2. 02

    Pick NioLeads

Type NioLeads in the search box of the dialog that opens, select it from the results, then click Add connection. A new browser tab appears on the NioLeads side.

  3. 03

    Sign in and allow access

Log in to NioLeads in that tab and let Zapier reach your account. All you need is a NioLeads account, plus access to any shared list you did not create yourself but want the Zap to use.

First Zap

Your first Zap: check every new NioLeads email before anyone writes to it

GoalEach email NioLeads finds goes straight through Verify Email, so your team knows which addresses can receive mail before the first message goes out.

  1. 01

    Create the Zap

In Zapier, start a new Zap. It reads from top to bottom: the event that starts it, then what it does. Two steps, so it fits the free plan.

  2. 02

    Set the trigger

Pick NioLeads as the app and New Contact as the event, then choose your connection. Test it: Zapier brings back the three most recent contacts so you map real data.

  3. 03

    Add the verification

Add a step, pick NioLeads and Verify Email. Map the Email field, its only required field, to the address that came from the trigger.

  4. 04

    Test the action

Run the step once and read what came back for that real address before you go further. A test that fails here costs no task.

  5. 05

    Publish

If the result looks right, click Publish to switch the Zap on. From then on, each email NioLeads finds is checked once, and each check counts as one task.

Triggers

NioLeads trigger

1 event starts a Zap when something happens in NioLeads. Zapier checks for them at the interval your plan allows.

1

New Contact

Polling trigger

In Zapier“Triggers when a new email is found.”

Starts your Zap whenever NioLeads finds a new email address. The contact it found, with its address, becomes available to every step that follows, so you can send it straight to a CRM, a sheet or an outreach tool without exporting a list by hand.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an SDR builds a list of target accounts in NioLeads during the morning and wants each found address in the CRM before calling.
Watch out
addresses found before the Zap was switched on never come through; moving them is a separate job.
Actions

NioLeads actions

NioLeads gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Find Email

Action

In Zapier“Find business email address from full name and website domain.”

Takes a person's full name and their company's website domain, and returns the business email that goes with them. Both fields are required.

When to use it
a webinar sign-up only gave you a name and a company site, and sales wants a work address to follow up.
Watch out
a missing name or domain on the incoming data makes the step fail, so filter those out first.
2

Verify Email

Action

In Zapier“Verifies deliverability of an email”

Checks whether an address can actually receive mail, before you spend a send on it. The only required field is the Email itself.

When to use it
cleaning a list imported from a trade show before it goes into your cold email sequence.
Watch out
chained after Find Email, it adds a second task to every run and makes the Zap multi-step.
When it breaks

When a NioLeads Zap breaks

Zapier lists no help article and no rate limit specific to NioLeads. What goes wrong is the general set of Zapier limits, which hit prospecting lists harder than most.

Four cases cover most problems. If your Zap is still stuck after checking them, the Zapier troubleshooting guide goes further.

  • Past contacts never come through

A Zap only reacts to what happens after you switch it on. Emails NioLeads found earlier are not picked up, and moving that backlog is a separate job.
  • A Zap that triggers itself

If a Zap writes back into the very place its own trigger watches, every run starts the next one, and your monthly task count drains fast.
  • A huge list gets held back

Find hundreds of emails in one go and the trigger suddenly returns a big batch. Zapier's flood protection can hold that batch back instead of running it.
  • The same contact never runs twice

Zapier remembers what it has already seen on a polling trigger, so a contact that went through once is skipped on later checks.

FAQ

NioLeads Zapier integration: frequent questions

01Is the NioLeads Zapier integration free?
Yes. NioLeads is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. New Contact followed by Verify Email fits. Chaining Find Email and Verify Email, or adding a filter, makes the Zap multi-step, and that needs a paid plan. The plan grid changes often, so check it before a large run.
02How many tasks does a NioLeads Zap use?
One task per action that succeeds, nothing more. The New Contact trigger is free, and so are the checks Zapier runs on your NioLeads account, however often they happen. A Zap that verifies each new email uses one task per contact. One that finds an email and then verifies it uses two. A failed action is not billed. On a prospecting list of several hundred names, that difference decides which plan you need.
03Does NioLeads send new contacts to Zapier in real time?
No. New Contact is a polling trigger: Zapier asks NioLeads for new emails at a fixed interval and keeps only what it has not seen yet. On the free plan that check runs every 15 minutes, on Professional every 2 minutes, and on Team and Enterprise every minute. The trigger type comes from the app and cannot be switched from the editor. On paid plans, you can also run a check by hand while testing.
04What does it take to connect NioLeads to Zapier?
A NioLeads account, and access to any list you did not create yourself but want the Zap to use. You link it once from the Apps page of your Zapier account with + Add connection: search for NioLeads, sign in on the tab that opens and grant access. After that, every NioLeads step in every Zap reuses that same connection, so there is nothing to sign in to again. To check the link, test a New Contact trigger: Zapier brings back your three most recent contacts.
05Why does Find Email fail in a NioLeads Zap?
Most of the time, one of its two required fields is empty. Find Email needs the person's Full Name and the company Domain together, and many forms or CRMs only store an email or a company name. Map both fields from the earlier step and test with a real record. If some of your rows lack a domain, a filter placed before the step skips them, though that makes the Zap multi-step and paid.
06What if the NioLeads operation you need is not there?
Then Zapier cannot do it with NioLeads today. The editor offers 1 trigger and 2 actions for this app: New Contact, Find Email and Verify Email. There is no search step, nothing to update or delete a contact, and no trigger for a verification result. In that case, look at what the same app offers on Make or n8n, or check whether another step in your Zap can cover the gap.
07Zapier, Make or n8n for NioLeads?
It depends on the criterion that matters to you. Zapier is the fastest to pick up, and its NioLeads app runs on the free plan, but the trigger is polled and a find-then-verify chain needs a paid plan. Make often suits longer scenarios with branches. n8n suits teams willing to host the tool themselves. None wins on every point, so weigh your list volume, your budget and who will maintain it.
