Overview

What the MapFlow Zapier integration actually does

The MapFlow Zapier integration links your MapFlow account to Zapier, a tool that runs automations between apps. MapFlow plans and tracks delivery, intervention and sales routes; Zapier reads what changes in it, or writes into it, so the records your routes depend on stop being typed by hand.

Three results you can build with the 63 operations. First, a ready-to-route delivery location: when New Delivery Location picks up a fresh address, Create Opening Hours adds the days it can be visited, one record per day of the week. Second, a customer created in one go: Create Global Customer writes the customer, its location and its contact in a single action, which saves you chaining three steps. Third, a container that matches reality: Get Container Contents reads what a pallet or package holds, and Add Content to Container or Remove Content From Container adjusts the quantities.

What Zapier does not do for MapFlow: none of the 9 triggers is instant, so every one of them waits for Zapier's next check. There is no find-or-create shortcut either, so a missing record means a search, then a separate create. And a Zap ignores everything that existed in MapFlow before you switched it on.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does once started: the step that writes, sends or moves something for you, here inside MapFlow.
Task
The unit Zapier bills. One action your Zap completes successfully counts as one task, and your plan is a number of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer for anything new. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found, such as a record ID.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.

What a MapFlow Zap really costs

MapFlow is not a premium app on Zapier, so it works on the free plan. The bill is counted in tasks, and only finished actions count.

The trigger never costs a task, and neither does Zapier checking MapFlow for new items, however often it looks. Each action that succeeds is one task, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to all 9 MapFlow triggers, since they all poll.

Connect your MapFlow account to Zapier

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your MapFlow account linked once, then reused by every step that touches MapFlow.

    Pick MapFlow

    Type MapFlow in the search box of the dialog that opens, select it in the results, then click Add connection. A new browser tab opens on the MapFlow side for the next step.

  3. 03

    Sign in and grant access

    Sign in to MapFlow in that tab and allow Zapier to reach the account. You need a MapFlow account of your own, plus read or write access to any data you do not own and want the Zap to touch.

First Zap

Your first MapFlow Zap, step by step

GoalGive every new delivery location its opening hours, but only for the locations you pick with a filter.

    Build: start with the trigger

    Create a Zap, choose MapFlow as the app that starts it and New Delivery Location as the event, then select your MapFlow connection.

    Test the trigger

    Run the test. Zapier brings back the three most recent delivery locations of your account, so you map the next steps on a real one.

  3. 03

    Add the filter

    From the plus icon, add Filter. Set the field to look at, the rule and the value. Pick a text rule for text and a number rule for numbers, or the filter never passes.

  4. 04

    Add the MapFlow action

    Add Create Opening Hours. Map the location's ID from the trigger into Location if the test shows one, and set Day of Week, where 0 is Monday and 6 is Sunday.

  5. 05

    Test, then publish

    Test the action and check the new record in MapFlow. Then publish the Zap to switch it on. A filter makes this Zap multi-step, so it needs a paid plan.

Puts an item with a quantity into a container, a pallet or a package.

When to use it
packing is recorded somewhere else and MapFlow should know what each container holds.
Watch out
if the item is already inside, its quantity is updated rather than added twice; quantity must be at least 1.

Attaches a person to one or more delivery locations, with a first name and a last name.

When to use it
a site gets a new on-site contact and drivers should see who to ask for.
Watch out
Location IDs takes a comma-separated list of location IDs, so a search step usually has to find them first.

Adds a customer to MapFlow, typed as Individual or Company, which is the only field it insists on.

When to use it
a signup or an order elsewhere should turn into a MapFlow customer you can route to later.
Watch out
this creates the customer alone; a location and a contact are separate actions unless you use Create Global Customer.

Watch out
Color is a hex code such as #FF0000, not a color name; a plain word will not do.

a customer is erased from your records and must not stay routable.
Watch out
MapFlow warns that this also deletes all the customer's locations and contacts, so put a filter in front to target only the right customers.

MapFlow searches on Zapier

15 search steps look for data that already exists in MapFlow, so a later step can use it.

A search step finds a MapFlow record that already exists and passes it to the next steps, which is how you get the IDs most MapFlow actions ask for. In the action list, searches sit at the bottom under their own SEARCH heading. Three settings decide what happens when the result is not a clean single match.

Looks up a location contact by ID or by search criteria, and can narrow to primary or active contacts.

When to use it
before Update Contact or Delete Contact, to get the ID they need.
Watch out
whether the search wants an exact value or a close one is decided by MapFlow; check at test.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create on some apps. None of the 15 MapFlow searches offers it, so a missing record means a separate create action.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When a MapFlow Zap breaks

Zapier attaches no help article to MapFlow, and no MapFlow-specific limit is documented. What breaks first are the general Zapier rules below.

  • Older records never come through

    A Zap only reacts to what happens after you switch it on. Customers, visits or vehicles that already existed are not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

    A Zap that writes where its own trigger looks, such as New Tag feeding Create Tag, can start again and again and burn through your tasks fast.
  • A bulk import gets held back

    When a trigger suddenly returns a huge batch, after an import of visits or locations, Zapier's flood protection can hold the run back.
  • The same record only fires once

    On a polling trigger Zapier remembers what it has already seen, so the same record does not start the Zap twice.

MapFlow Zapier integration: questions people ask

01Is the MapFlow Zapier integration free?
Yes. MapFlow is not a premium app on Zapier, so it works on the free plan. That plan gives you 100 tasks a month and as many Zaps as you like, each limited to two steps: one trigger and one action. As soon as you want a filter, a search step or a second action, the Zap becomes multi-step and needs a paid plan. With MapFlow that can come quickly: updates and deletions ask for an ID, and a search step to find it makes the Zap multi-step.
02How many tasks does a MapFlow Zap use?
One task per action that completes successfully. The trigger is free, and so are Zapier's checks for new MapFlow records, however often they run. A Zap that creates a visit and then adds two products to it uses three tasks per run. An action that fails is not counted. Keep in mind that New Visit Product starts a run per product, so a visit with many lines can add up across several runs.
03Do MapFlow triggers fire in real time?
No. All 9 MapFlow triggers are polling triggers: Zapier asks MapFlow for new items on a timer and keeps what it has not seen yet. The interval depends on your plan, every 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. On paid plans you can change how often the check runs, and you can also run a check by hand from the editor while you build. The only way to react sooner is a faster plan, since the type of a trigger cannot be changed from the editor.
04What does connecting MapFlow to Zapier require?
A MapFlow account, plus read or write access to any data you do not own yourself and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, pick MapFlow, sign in in the tab that opens and grant access. The connection is then reused by every MapFlow step in every Zap. Several actions, such as Create Visit, ask for the ID of a record that already exists in MapFlow.
05Why did deleting one MapFlow customer remove its locations too?
Because that is how Delete Customer works: MapFlow warns that deleting a customer also deletes all its associated locations and contacts. The warning sits on the Customer ID field itself, so one wrong ID can wipe a whole site list along with its contacts. Put a filter in front so only the records you mean go through, and use Update Customer to set the customer inactive if you would rather keep the record.
06What if the MapFlow operation you want is not listed?
First check whether a search followed by an action covers it: Find Visit then Update Visit, or Find Opening Hours then Update Opening Hours. The search hands the ID to the action after it, so the update lands on the right record. The 63 visible operations cover customers, locations, contacts, opening hours, visits, products, items, containers, drivers, vehicles, warehouses and tags.
