What Map My Customers and Zapier do together

Map My Customers is a sales CRM designed to be used from a phone, by reps who spend their day on the road. Zapier links it to the rest of your apps. The integration sends new CRM records out to other tools, and lets those tools create or update companies, people, deals and activities inside Map My Customers.

A CRM that other apps keep current. Create or Update Company, Create or Update Person and Create or Update Deal work from a Unique ID: an existing record is updated, a new one is created otherwise. One action covers both cases.

A log of completed field work. New Activity can be limited to completed or public activities, so only finished work reaches a spreadsheet or a report.

Records sorted without clicks. Add Record to Group places a company, a person or a deal in a group, and Add File or Create Note attaches the context that came from elsewhere.

What Zapier does not do here: all five triggers are polling, so a new record reaches Zapier on the next check, never the instant it is saved. No trigger reacts to a record that changes, only to new ones. Nothing deletes a record, and users can be looked up but not written. Each action that works counts as one task, and each counts on its own: finding a company and then adding a note to it uses one task for the note, and the search sits in the Zap as an extra step. A failed action is not billed. Map My Customers is not a premium app, so the free plan accepts it, with 100 tasks a month and unlimited two-step Zaps. Find User

Search

In Zapier“Find a User in Map My Customers.”

Returns a user of your Map My Customers organization, meaning a teammate.

When to use it
fetching a rep's details to fill a field in another app.
Watch out
this is the only search without a find-or-create variant, so a missing user simply stops the Zap unless you allow empty results.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this box turns the search into a find-or-create: it drops the setting above and asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Map My Customers Zap breaks

Zapier attaches no help article to Map My Customers, and no limit specific to the app is on record. What breaks is what breaks on any Zap, plus the Unique ID.

  • Old records are not picked up

    A Zap only reacts to records added after you publish it. Earlier companies, people or deals never start it; moving that backlog is a separate job.
  • The Zap keeps setting itself off

    A Zap that writes where its own trigger watches can start itself again and burn through your tasks. Test any such Zap on one record before you publish.
  • A sudden batch is held back

    When a trigger returns a huge batch at once, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • Duplicates instead of updates

    The create-or-update actions update only when the Unique ID already exists. An ID that changes between runs creates a new record every time.

01Is the Map My Customers Zapier integration free?
Yes, on Zapier's side. Map My Customers is not a premium app, so the free plan accepts it, with 100 tasks a month and unlimited Zaps. The catch is the shape: two steps, one trigger and one action. New Deal followed by Create Note fits. Add Find Company to put the note on the right account, or a filter, or a second action, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Map My Customers Zap use?
One per action that succeeds, per run. The five triggers cost nothing, and neither do Zapier's regular checks for new records. A Zap that creates or updates a company and then adds it to a group uses two tasks per run. A failed action is not billed. To keep the count down, use the Completed? and Public? options on New Activity, and put any filter right after the trigger, before the billed steps.
03Do Map My Customers triggers run in real time?
No. All five triggers are polling: Zapier checks Map My Customers at an interval set by your plan, 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. A record saved just after a check waits for the next one. The type of trigger is decided by the app and cannot be changed in the editor. On paid plans the interval can be adjusted, and a check can be run by hand from the editor.
04What do you need to connect Map My Customers to Zapier?
A Map My Customers account, plus access to any record you do not own yourself and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Map My Customers, click Add connection, then sign in in the tab that opens and grant access. The connection is reused by every step of the app. Before testing the create-or-update actions, decide which identifier will serve as the Unique ID.
05How does the Unique ID decide between create and update?
The four create-or-update actions, for companies, people, deals and activities, all require a Unique ID. If a record with that ID already exists, the action updates it; if not, it creates a new record carrying that ID. So the ID must be stable: take the identifier the source app gives to the record, not a value built at each run. Test once with a known ID and once with a new one to see both outcomes.
06What if the Map My Customers operation you need is missing?
Start from the seventeen visible operations: five triggers, seven actions and five searches. Many needs are combinations. Find Person then Add Record to Group sorts a known contact; Find Deal then Add File files a document on the right deal. Each extra step makes the Zap multi-step. Deleting a record or reacting to an update is not offered. If no combination covers the need, Zapier cannot do it for Map My Customers today.

Choose by criteria, not by reputation. First, the triggers: on Zapier all five are polling, so check whether the delay your plan gives suits your sales process.
