Nitro PDF Services Zapier integration: 0 triggers, 29 actions, 0 searches. Nitro never starts a Zap by itself. Another app hands it a file, and Nitro converts, shrinks, locks, redacts or reads that file before passing the result to the next step.

Beta app Zapier still marks this integration as beta.

Overview

What the Nitro PDF Services Zapier integration really does

The integration plugs Nitro's PDF engine into Zapier, the tool that chains apps together without code. Every Nitro operation is an action: a file comes in from an earlier step, and Nitro returns a converted, protected or analysed version. Nothing on the Nitro side can start the automation, so another app always goes first.

Three results come up again and again. First, a clean PDF out of whatever lands in a shared folder: Microsoft Office to PDF, Image to PDF or CSV, XML, HTML to PDF, followed by Compress PDF so the file stays light. Second, a document that is safe to send outside: Smart PII Detection finds personal data, Redact PDF blacks it out, Password Protect PDF locks the result. Third, data you can actually use: Parse Invoice, Table Extract and Text Extract turn a PDF into values the next step can write somewhere else.

What Zapier does not do here matters just as much. Nitro has no trigger, so a new PDF created inside Nitro will never set a Zap off. It has no search step either, so a Zap cannot look up an existing Nitro document. And most of these chains need two Nitro actions in a row, which means a paid Zapier plan (the free one stops at one trigger and one action).

Weighing other tools for the same job? The n8n vs Zapier comparison sets out the criteria, and the Zapier review covers the platform as a whole.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here is what each one means in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. With Nitro, it always comes from another app, such as a new file in a folder.
Action
What the Zap does once it has started. Each of the 29 Nitro operations is an action that works on a file.
Task
The unit Zapier bills: one action that completes successfully. The number on your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your Nitro account linked to Zapier once, then reused by every Nitro step in every Zap you build.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What it costs in tasks

Nitro is not a premium app, so it works on the free plan. Zapier marks it as beta.

  • Free plan100 tasks a month
  • Zaps on the free planUnlimited, two steps each
  • Premium appNo (beta)
  • BilledEach successful action

Each Nitro action that succeeds counts as one task. A failed action is not billed, and the trigger never costs anything, however often Zapier checks for new files. A Zap that converts then compresses uses two tasks per file, so a folder that receives a lot of documents adds up quickly. The catch: the free plan only builds two-step Zaps, so that two-action chain already needs a paid plan, and so does any filter.

Connect

Connect your Nitro account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Nitro PDF Services account first, plus access to any file you did not create yourself.

  2. 02

    Pick Nitro PDF Services

Type the app's name in the search box of the dialog, select Nitro PDF Services in the results, then click Add connection. A new browser tab opens on the Nitro side.

  3. 03

    Sign in and grant access

Log in to Nitro in that tab and let Zapier act on the account. The connection then shows up in the list, and every Nitro step of every Zap can reuse it.

First Zap

Your first Zap: Word files to protected PDFs

GoalEvery Word document dropped in a shared folder comes out as a password-protected PDF.

  1. 01

    Create the Zap

Start a new Zap and pick the storage app and its new-file event as the trigger, since Nitro cannot start the Zap itself.

  2. 02

    Test the trigger

Zapier brings back the three most recent files of the connected account. Pick a real Word document so the next steps are mapped on actual data.

  3. 03

    Add the conversion

Add Nitro PDF Services with Microsoft Office to PDF. Map the file from the trigger, choose the original format, then pick an output type.

  4. 04

    Lock the result

Add a second Nitro step, Password Protect PDF, and map the PDF from the step above. Two actions make this a multi-step Zap, so a paid plan is required.

  5. 05

    Test, then publish

Run each step once and open what came back before going further. When the PDF looks right, click Publish to switch the Zap on.

Actions

The 29 Nitro PDF Services actions, grouped by job

Nitro PDF Services gives you 29 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Compress PDF

Action

In Zapier“Reduce a PDF's file size using a single automatic compression setting.”

Shrinks a PDF with a single automatic setting, no tuning needed.

When to use it
attachments bounce because the files from your design team are too heavy for email.
Watch out
there is nothing to adjust here; for a precise target, use Optimize PDF instead.
2

Add Fillable Form Fields

Action

In Zapier“Add fillable form fields to a PDF document based on detected field locations.”

Adds real form fields to a PDF at the positions you give it.

When to use it
right after Smart Detect Form Fields, mapping its page, type, name and box outputs one to one.
Watch out
pages, types, names and boxes need the same number of entries, or the step fails.
3

Delete PDF Pages

Action

In Zapier“Delete specific pages from a PDF document.”

Removes chosen pages and keeps the rest of the document intact.

When to use it
an exported report always opens on a blank cover page nobody needs.
Watch out
pages are numbered from zero, so the first page is 0, not 1.
4

Form Extract

Action

In Zapier“Extract form field values from a PDF document.”

Collects the values typed into a fillable PDF form.

When to use it
applicants return a PDF form by email and their answers belong in your CRM.
Watch out
a flattened or scanned form has no fields left to read, so this step returns nothing useful.
5

Parse Invoice

Action

In Zapier“Extract structured invoice or receipt data from a PDF document.”

Reads an invoice, receipt, purchase order or expense report and returns structured data from it.

When to use it
finance wants every supplier invoice turned into a row before anyone types it by hand.
Watch out
it expects a PDF; a photographed receipt needs Image to PDF before this step.
6

Smart PII Detection

Action

In Zapier“Detect Personal Identifiable Information (PII) in a PDF document and return bounding box locations.”

Spots personal data in a document, such as names or contact details, and returns where each item sits.

When to use it
as the step right before Redact PDF, so anonymisation runs without anyone marking zones.
Watch out
it only finds the data; hiding it is a second action and a second task.
7

Table Extract

Action

In Zapier“Extract tables from a PDF document.”

Finds the tables inside a PDF and returns their content as data.

When to use it
a logistics partner sends weekly stock levels as a PDF table and you want the numbers, not the picture.
Watch out
check the output on a real file during the test, as layouts vary between senders.
8

Text Bounding Box Extract From PDF

Action

In Zapier“Find the page location of specific text in a PDF, using a literal string or regular expression.”

Locates where given words sit on each page, by plain text or by regular expression.

When to use it
every account number must be hidden, and you need its exact position to redact it.
Watch out
the values to look for are a comma-separated list, and each one runs as its own query.
9

Text Extract

Action

In Zapier“Extract all readable text content from a PDF document.”

Pulls all readable text out of a PDF so another step can store or analyse it.

When to use it
incoming contracts should be searchable in your knowledge base.
Watch out
a scanned page has no text layer; run Ocr PDF first, or this step comes back empty.
10

Fill PDF Form

Action

In Zapier“Fill a fillable PDF form with field values from a CSV, JSON, XFDF, or FDF data file, or from inline field/value pairs.”

Fills a fillable PDF template with values from a data file or from pairs you type in.

When to use it
each new signed deal should produce a completed order form without retyping.
Watch out
with Strict Mode on, one unknown field name makes the step fail; off, unknown fields are silently skipped.
11

Flatten PDF

Action

In Zapier“Convert form fields, annotations, and other interactive elements in a PDF into static, non-editable content.”

Freezes form fields, comments and other interactive parts into plain content nobody can edit.

When to use it
a filled-in application form must be filed exactly as submitted.
Watch out
once flattened, the fields are gone for good, so keep the original if you may need to refill it.
12

Get PDF Properties

Action

In Zapier“Get metadata and document properties from a PDF document.”

Reads the metadata and document properties of a PDF so later steps can use them.

When to use it
a filter should only let through files whose properties match a rule you set.
Watch out
adding a filter after this step makes the Zap multi-step, so it needs a paid plan.
13

Image to PDF

Action

In Zapier“Convert any image file to PDF.”

Wraps a photo or a scan saved as an image into a PDF file, ready to archive or attach.

When to use it
field technicians snap delivery slips on their phone and the office wants PDFs only.
Watch out
the original image format is a required setting, so set it to match what the trigger actually sends.
14

Merge PDFs

Action

In Zapier“Merge multiple PDF documents into a single PDF.”

Stitches several PDFs into a single document, in the order you list them.

When to use it
a proposal is assembled from a cover letter, a quote and the general terms.
Watch out
order matters, so map the files in the sequence the reader should see them.
15

CSV, XML, HTML to PDF

Action

In Zapier“Convert CSV, XML, or HTML documents to PDF.”

Renders a CSV export, an XML file or an HTML page as a readable PDF.

When to use it
a monthly CSV report from your accounting tool needs to reach the board as a document, not a spreadsheet.
Watch out
declare the right input format, since the action does not guess it from the file.
16

Microsoft Office to PDF

Action

In Zapier“Convert a Microsoft Office document to PDF, including Word, Excel, PowerPoint, and Outlook.”

Turns a Word, Excel or PowerPoint file into a PDF, so a draft becomes something you can send without it shifting on the other side.

When to use it
a sales rep saves a quote in Word and the client must receive a PDF.
Watch out
you must state the original Office format, and picking the wrong one breaks the conversion.
17

Ocr PDF

Action

In Zapier“Apply OCR to a scanned PDF to make text searchable and selectable.”

Recognises the text on a scanned PDF and makes it searchable and selectable.

When to use it
paper archives are being scanned and nobody can search them yet.
Watch out
by default the text stays an invisible layer; switch the editable option on if people must change it.
18

Optimize PDF

Action

In Zapier“Reduce a PDF's file size to meet specific criteria, e.g., web, print, archive, or minimum size. Offers more control than Compress PDF.”

Reduces file size against a profile you pick, such as web, print, archive or smallest possible.

When to use it
the same catalogue must exist as a light web version and a print-ready one.
Watch out
the profile is required, and it changes the result far more than the compression action does.
19

PDF to Image

Action

In Zapier“Convert any PDF file to an image.”

Exports the pages of a PDF as images, either as one file or as a list of links.

When to use it
marketing wants a preview of a brochure's cover to post next to the download link.
Watch out
a list of links and a single file feed the next step very differently, so pick the output on purpose.
20

PDF to Microsoft Office

Action

In Zapier“Convert a PDF file to a Microsoft Office document, including Word, Excel, and PowerPoint.”

Goes the other way: a PDF becomes a Word, Excel or PowerPoint file you can edit again.

When to use it
a supplier sends a price list as PDF and your buyer wants to rework it in Excel.
Watch out
the target Office format and the output type are two separate required settings, so set both before the test.
21

PDF to PDF/A

Action

In Zapier“Convert any PDF document into PDF/A archival format.”

Converts a document to PDF/A, the format built for long-term archiving.

When to use it
signed contracts have to be stored in a format that will still open years from now.
Watch out
the accessible levels require tagged PDFs; the app itself suggests level 2b for the widest compatibility.
22

Password Protect PDF

Action

In Zapier“Protect a PDF document with passwords and permissions.”

Locks a document with passwords and permissions before it leaves your team.

When to use it
payslips or HR letters go out by email and must not open for the wrong person.
Watch out
the Zap has to get the password from somewhere, so plan where it lives before you build.
23

Redact PDF

Action

In Zapier“Apply one or more redaction boxes to a PDF document.”

Blacks out zones of a document so the hidden content cannot be read.

When to use it
case files are shared with a partner and client names must disappear first.
Watch out
the zones come as coordinates, which is why this action is usually fed by Smart PII Detection or the text location action.
24

Rotate PDF

Action

In Zapier“Rotate one or more pages in a PDF document.”

Turns one or more pages so a sideways scan reads straight.

When to use it
landscape tables keep coming out of the scanner on their side.
Watch out
one rotation value applies to every listed page; several values must match the number of pages listed.
25

Set Properties

Action

In Zapier“Update metadata properties of a PDF document.”

Rewrites a document's metadata so every outgoing PDF carries consistent information.

When to use it
files exported from different tools must carry the same metadata before they are published.
Watch out
this changes the description of the file, not its visible content.
26

Smart Detect Form Fields

Action

In Zapier“Identify where fillable form fields should be placed, based on layout.”

Looks at a flat PDF's layout and suggests where fillable fields should go.

When to use it
old paper forms are being turned into PDFs people can fill in on screen.
Watch out
it only proposes positions; Add Fillable Form Fields does the actual work.
27

Split PDF

Action

In Zapier“Split a PDF document into multiple new PDFs, using specific page numbers or page ranges.”

Cuts one PDF into several new ones, using groups of pages you define.

When to use it
a scanner produces one long file for a whole batch of forms and each form must stand alone.
Watch out
page groups count from zero, and the result arrives as a ZIP archive or as a list of links.
28

Unprotect PDF

Action

In Zapier“Remove password protection from a PDF document. Requires the document's current password.”

Removes the password from a protected file so later steps can process it.

When to use it
bank statements arrive locked and you want to extract their tables automatically.
Watch out
it only works with the document's current password; a wrong or outdated one stops the step.
29

Watermark PDF

Action

In Zapier“Apply an image watermark to a PDF document.”

Stamps an image, such as a logo or a draft mark, on the pages of a PDF.

When to use it
every quote sent before approval must carry a visible draft stamp.
Watch out
PNG, JPEG, TIFF, GIF and SVG images work; WebP does not.
When it breaks

When a Nitro PDF Zap breaks

Zapier attaches no help article to this app, so the cases below come from the fields of its actions and from Zapier's general limits.

Most failures here are not Nitro being down. They come from a file that is missing, a setting that does not match, or a Zap that reacts to its own output. A quick look at the Zapier troubleshooting guide helps when the cause is not on this list.

  • Strict Mode rejects the form

With Strict Mode on, Fill PDF Form fails when a field name does not exist in the PDF or a required field is missing.
  • Lists that do not line up

Add Fillable Form Fields and Rotate PDF need lists of the same length. One extra field name or rotation value and the step stops.
  • The watermark image is refused

Watermark PDF accepts PNG, JPEG, TIFF, GIF and SVG. A WebP logo is not supported, so convert it before it reaches the step.
  • Old files are never processed

A Zap only reacts to what happens after it is published. PDFs already sitting in the folder stay untouched; moving that backlog is a separate job.
  • The Zap feeds itself

If Nitro's output is saved back into the folder the trigger watches, each new PDF starts the Zap again and burns through your tasks fast.
  • A bulk drop is held back

Copy hundreds of files into the watched folder at once and Zapier's flood protection can pause the trigger before Nitro sees a single file.

FAQ

Nitro PDF Services Zapier integration: FAQ

01Is the Nitro PDF Services Zapier integration free?
Yes, as far as Zapier is concerned: Nitro PDF Services is not a premium app, so it runs on the free plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to one trigger and one action. A single conversion fits. Converting then compressing, or adding a filter, makes the Zap multi-step and needs a paid plan. Zapier also lists the app as beta, so expect it to keep evolving.
02How many tasks does a Nitro PDF Zap use?
One task per Nitro action that completes, per file. A Zap that converts a Word document then protects it uses two tasks every time a file comes in. The trigger costs nothing, and the checks Zapier runs to find new files cost nothing either. An action that fails is not billed. So the bill depends on how many Nitro steps you chain and how many files flow through, not on how often Zapier looks. Count your steps before you build long chains.
03Does Nitro PDF Services work in real time with Zapier?
It depends on the app that starts the Zap, because Nitro has no trigger of its own. If that app uses an instant trigger, it tells Zapier as soon as the event happens and Nitro runs straight away. If it uses a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. A Zap built on an instant trigger shows a lightning bolt in the editor. On paid plans, the polling interval can be changed, and a check can also be run by hand from the editor.
04What does it take to connect Nitro PDF Services to Zapier?
A Nitro PDF Services account and a Zapier account. From the Apps page of Zapier, click + Add connection, pick the app, sign in to Nitro in the tab that opens and allow access. If the files you want to process belong to a colleague or sit in a shared space, you also need read or write rights on them. The connection is made once and every Nitro step in every Zap reuses it.
05Why does Fill PDF Form reject the whole form?
Because Strict Mode is on. In that mode, the action refuses the whole request if a field name you send does not exist in the PDF template, or if a required field is left empty. With Strict Mode off, which is the default, unknown fields are simply ignored and the form is filled with what matches. Turn it on when a half-filled form would be a real problem, and check field names carefully during the test.
06What if the Nitro action you need is not in Zapier?
Work with what the 29 actions allow. Many jobs are two actions chained: Smart PII Detection then Redact PDF, or Smart Detect Form Fields then Add Fillable Form Fields. If an operation is truly missing, for instance starting a Zap when Nitro creates something, Zapier cannot offer it, since the app exposes no trigger. In that case another tool or a direct connection to Nitro's own service is the route, which is a bigger build than a Zap.
07Zapier, Make or n8n for Nitro PDF Services?
Judge on criteria, not on a ranking. Zapier wins on setup speed: the 29 actions are ready, and the connection takes three steps. The trade-offs are task billing per action and the paid plan needed as soon as you chain two Nitro steps. Make and n8n bill or host differently, and suit long document pipelines when they offer the same operations, which is worth checking app by app. Volume of files and number of steps per file are the two numbers to compare.
