A campaign, an order or a payment on HelloAsso becomes the starting point of an automation, and one action lets Zapier open a checkout on HelloAsso for you.

    If a Zap writes into the very place its own trigger watches, it sets itself off again and again and eats through your monthly tasks fast.
  • A sudden flood is held back

    After a bulk import or a migration, a trigger that returns a huge batch at once can be paused by Zapier's flood protection, so the run does not go through in one go.

01Is the HelloAsso Zapier integration free?
Yes, to start. HelloAsso is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and lets you build Zaps of two steps: one trigger and one action. As soon as you add a filter, a second action or any extra step, the Zap becomes multi-step and needs a paid plan. HelloAsso itself states its tools are free for associations, so the cost question is really about Zapier.
02How many tasks does a HelloAsso Zap use?
One per successful action, and none for the trigger. A Zap that turns each new order into a spreadsheet row uses one task per order. Add a Slack message and it uses two. An action that fails is not counted against the plan, and Zapier watching HelloAsso costs nothing either. So the count follows the number of orders or payments multiplied by the number of actions in the Zap, nothing more.

For a treasurer on the free plan, that means a payment shows up in the spreadsheet without waiting for any check.
04What does it take to connect HelloAsso to Zapier?
A HelloAsso account and a Zapier account. You add the connection from the Apps page, sign in to HelloAsso in the tab that opens, and grant Zapier access. If the campaigns belong to an organisation you do not own, you also need access to it on HelloAsso, otherwise Zapier cannot see its orders or payments. Once added, the same connection serves every Zap that uses HelloAsso, so you only do this once.
05Can you run several Zaps on the same HelloAsso trigger?
No. The help notice built into each HelloAsso trigger says you can create only one Zap per trigger type: one on New Payment, one on New Order, one on New Campaign. To run several things from the same event, the notice points to Zapier Paths inside that single Zap. Paths add steps, so this route needs a paid plan. In practice, sketch every reaction to a payment before building, then put them all in one Zap.
06What if the HelloAsso operation you want is not on Zapier?
Then it is not available through this integration today. The app offers three triggers and one action, with no search, no update and no refund step. A Zap cannot look up an existing HelloAsso order or change one. The usual workaround is to send the data elsewhere, a spreadsheet or a CRM, and do the follow-up work there, or to handle that part by hand in HelloAsso.
