Overview

What the NOAN Zapier integration actually does

NOAN is an AI assistant built as a business partner for founders: it keeps your projects, contacts, notes and knowledge in one place. Connecting it to Zapier lets that workspace fill itself from your other tools, and lets what you produce in NOAN travel back out, without copying and pasting between tabs.

Three results people usually build first. A contact history that writes itself: a form or a booking tool hands a name to Find Contact, then Add Memo to Contact stores what was said, so NOAN knows each person's story. A to-do list fed from outside: Create Task turns a client email or a support ticket into a task inside the right project. An alert when content is ready: Created or Updated Asset watches what you produce in Create Mode and tells the team on Zapier's next check.

What the official page leaves out. There is only one trigger, and it covers assets: a new contact, task or note in NOAN never starts a Zap. Several actions need an ID you do not see on screen, the Contact ID above all, which is why the searches matter. And a memo stops at 5000 characters, spaces and line breaks included, so a long transcript has to be trimmed first.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Here they are in everyday English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. As soon as the Zap is on, Zapier waits for that event.
Action
What the Zap does after it starts: the step that creates, writes or updates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself as soon as the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, a contact for instance, so later steps can use it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it needs a paid plan.
Cost

What a NOAN Zap really costs

NOAN runs on the free Zapier plan: Zapier does not keep it for paying customers. You pay in tasks, and the searches change the maths.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month
  • Free plan Zap size2 steps
  • Search stepMakes the Zap multi-step

The trigger never costs a task, and Zapier checking NOAN for new assets is free however often it looks. Each action that succeeds counts as one task, and in a Zap with three actions every success counts on its own. A failed action is not billed. The free plan gives 100 tasks a month and Zaps of two steps only. Adding a search, like Find Contact before a memo, or a filter makes the Zap multi-step, and that needs a paid plan.

Connect

Connect your NOAN account in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your NOAN account linked to Zapier once, then reused by every Zap that touches NOAN.

  2. 02

    Pick NOAN

Type NOAN in the dialog's search box, select it and click Add connection. You need a NOAN account, plus access to any project you do not own but want the Zap to write into.

  3. 03

    Sign in and grant access

A tab opens on NOAN. Sign in with the account that holds your projects and allow Zapier to act on it. Back in Zapier, the connection appears in the list, ready for any NOAN step.

First Zap

Your first Zap with NOAN

GoalEach time a Create Mode asset changes, open a review task in NOAN and ping the team on Slack.

  1. 01

    Create the Zap

Start a new Zap, choose NOAN as the app that starts it and Created or Updated Asset as the event, then pick the connection you just set up.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent assets of your account, so you map a real one in the following steps rather than a guess.

  3. 03

    Add the task

Add NOAN again with Create Task. Map the asset's name into the task title, since the title is the only required field and should carry the context.

  4. 04

    Add the message

Add Slack and write the channel message with the asset's details. A second action makes this a multi-step Zap, which runs on a paid plan.

  5. 05

    Test, then publish

Run each action once and read what came back in NOAN and in Slack. When both look right, click Publish to switch the Zap on.

Triggers

The NOAN trigger

1 event starts a Zap when something happens in NOAN. Zapier checks for them at the interval your plan allows.

1

Created or Updated Asset

Polling trigger

In Zapier“Triggers when some assets from Create Mode are created or updated.”

Starts your Zap whenever an asset produced in NOAN's Create Mode appears or changes. A brand-new piece and an edit to an existing one both count, so the same asset can start the Zap more than once over its life.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you draft content in Create Mode and want the team pinged, or a copy filed in your shared drive, without exporting it by hand.
Watch out
since edits count too, a Zap that posts each change can send several messages for one asset you tweak a few times.
Actions

The 6 NOAN actions, by intention

NOAN gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Memo to Contact

Action

In Zapier“Adds a new memo to an existing contact.”

Attaches a fresh memo to an existing contact, keeping earlier memos in place.

When to use it
call notes, form answers or email replies should pile up on the person they concern.
Watch out
a memo holds 5000 characters at most, spaces and line breaks included. A long transcript has to be trimmed first.
2

Create Contact

Action

In Zapier“Creates a Contact in a project.”

Adds a person to the network of a NOAN project, from nothing more than a full name.

When to use it
a prospect books a call or fills in a form, and you want them in NOAN before the meeting.
Watch out
when the person may already exist, use Find Contact with its create option instead, so the Zap checks before it adds.
3

Create Block Fact Entry

Action

In Zapier“Adds a new fact entry to a block, automatically linking it to the most recent fact if one exists.”

Adds a fact to one of your knowledge blocks, and NOAN links it to the latest fact already there.

When to use it
a new pricing decision or a customer insight should enrich the block NOAN draws on, such as a customer profile.
Watch out
the block is named by its slug, the short identifier like customer-profile, not by its display title.
4

Create Note

Action

In Zapier“Creates a Note in a project.”

Writes a new note into a project, with Markdown formatting kept, so headings and lists survive.

When to use it
meeting summaries from your call recorder, or an investor update drafted elsewhere, should live next to the project.
Watch out
there is no action to edit a note, so a corrected summary lands as a second note next to the first.
5

Create Task

Action

In Zapier“Creates a Task in a project.”

Opens a task in a NOAN project from a title, so follow-ups stop living in your inbox.

When to use it
a client email tagged as urgent, or a new support ticket, should become a to-do inside the right project.
Watch out
only the title is required. Map the useful context into the title itself if nothing else gets filled.
6

Update Contact

Action

In Zapier“Updates an existing contact within a project network.”

Changes the details of a person already in a project network.

When to use it
your CRM records a new role or company for someone, and NOAN should not keep the old version.
Watch out
it requires the Contact ID. Without a Find Contact step before it, the update has nothing to aim at.
Searches

The 2 NOAN searches

2 search steps look for data that already exists in NOAN, so a later step can use it.

A search step finds something that already exists in NOAN and passes it to the steps that follow. In the editor, both sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not clean.

1

Find Block

SearchFind or create

In Zapier“Finds a block in a stack.”

Locates one of the knowledge blocks of a stack and hands it to the next step.

When to use it
before adding a fact, when the Zap only knows which topic it concerns and must land on the right block.
Watch out
the editor also shows Find or Create Block. It is this same search with the create box ticked, not a separate operation.
2

Find Contact

SearchFind or create

In Zapier“Finds a contact from a project network.”

Looks up a person in a project network from a name, an email address or an alias, and returns their Contact ID.

When to use it
right before a memo or an update, so the Zap writes on the right person.
Watch out
Find or Create Contact is this search with the create box ticked. Use it when newcomers should be added instead of stopping the Zap.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing item.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a NOAN Zap breaks

Zapier attaches no help article to NOAN, so the cases below come from how every Zap behaves, plus one limit written into a NOAN field.

One thing works in your favour: on a polling trigger, Zapier remembers the assets it has already seen, so the same item does not start the Zap twice as a new one. The rest needs watching. If a run fails, start with our Zapier troubleshooting guide.

  • The Zap writes where it watches

A Zap that changes the very assets its trigger watches sets itself off again and again, and burns through your tasks quickly.
  • Older items are left behind

A Zap only reacts to what happens after you publish it. Assets and contacts that already existed never come through; moving them is a separate job.
  • A big import gets held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back.
  • The memo is too long

Add Memo to Contact takes 5000 characters at most, spaces and line breaks included. A full call transcript mapped as is will not fit.

FAQ

NOAN Zapier integration: frequent questions

01Is the NOAN Zapier integration free?
Yes, for simple Zaps. NOAN is not reserved for paid plans, so a two-step Zap, one trigger and one action, runs on the free Zapier plan with its 100 tasks a month. The limit shows up quickly with NOAN, though: most useful Zaps put Find Contact before a memo or an update, and a search makes the Zap multi-step, which needs a paid plan. Your NOAN subscription is a separate matter this page does not cover.
02How many tasks does a NOAN Zap use?
One task for each action that succeeds, and nothing for the trigger. Zapier checking NOAN for new or changed assets is free however often it looks. A Zap that creates a task from an email uses one task per run; a Zap that finds a contact and adds a memo counts each successful step. Failed actions are not counted. Since edits also fire the asset trigger, a piece you rework often can start several runs.
03Does NOAN trigger Zaps in real time?
No. Created or Updated Asset is a polling trigger: Zapier asks NOAN at a fixed interval what has changed since its last visit. That check runs every 15 minutes on the free plan, every 2 minutes on Professional and every minute on Team or Enterprise. Paid plans also let you run a check by hand from the editor. The actions and searches, on the other hand, run as soon as the Zap starts.
04What does it take to connect NOAN to Zapier?
A NOAN account, plus access to any project you want to write into if someone else owns it. In Zapier, open the Apps page, click + Add connection, choose NOAN, sign in on the tab that opens and grant access. Then plan your IDs: memos and updates need a Contact ID, which Find Contact supplies, and facts need the slug of the block, the short identifier rather than the title. Keep those values at hand before you build.
05Why does Add Memo to Contact fail?
Usually for one of two reasons. Either the Contact ID is missing, because no Find Contact step looked it up first, or the memo is too long: NOAN caps it at 5000 characters, spaces and line breaks included. Call transcripts and long email threads go past that easily. Trim the text in an earlier step, or send only a summary. A failed action does not cost a task, and the Zap history shows which run stopped.
06What if the NOAN operation you need does not exist?
Then Zapier cannot do it for NOAN today. The integration offers one trigger on assets, six actions on contacts, notes, tasks and facts, and two searches. A new contact or task in NOAN does not start a Zap, for example. The usual workaround is to trigger from the other app where the event begins. To reach a contact or a block that already exists, Find Contact and Find Block do the lookup, but a search makes the Zap multi-step, so it needs a paid plan.
07Zapier, Make or n8n for NOAN?
It depends on your criteria rather than on a winner. Zapier has a ready NOAN integration with a trigger, six actions and two searches, and the find-then-write pattern is quick to build. Because a search makes a Zap multi-step, most NOAN workflows need a paid plan, which is where comparing the pricing models of Make and n8n makes sense. If nobody on your team codes, a ready connector often counts for more than price.
