What the Noota Zapier integration does after each meeting
The Noota Zapier integration takes what Noota produces after a meeting (the report, the transcript, the summary, the scorecard, the recording) and moves it into the tools where your team actually works. A meeting ends, Noota finishes its report, and Zapier carries the result to your CRM, your drive or your chat without anyone copying notes.
Three results teams build first. A meeting recap posted in the team channel: New Report fires and the summary, which already comes with the trigger, goes straight to chat. A transcript file archived in your shared drive: Export Transcript as PDF or Export Transcript as DOCX turns the meeting into a document you can file next to the deal or the project. A follow-up email drafted for the client: Get Email Content pulls the email Noota already wrote for that meeting, ready for your mail tool to send.
What Zapier does not do for Noota: it cannot start a recording, invite Noota to a call, edit a transcript or delete a report. Every action and every search needs the Record ID of a meeting, so in practice everything starts from New Report. There is no way to search meetings by title, date or attendee.
If you are comparing tools, our n8n vs Zapier and Make vs Zapier pages lay out the criteria side by side, without naming a winner.
Zapier vocabulary in one minute
Eight words you will meet in the Zapier editor, in plain English. The rest of the page uses them without defining them again.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap, here a Noota report being ready. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once started: the step that writes, sends or creates something for you, like a PDF of a transcript.
- Task
- The unit Zapier bills. One task is one action the Zap completed successfully, and your plan counts those per month.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment it happens.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and quietly stops it the rest of the time.
- Search step
- A step that looks up something already stored in an app, such as the clips of a meeting, so later steps can use it.
- Connection
- Your Noota account linked to Zapier once, then reused by every step of every Zap that touches Noota.
What a Noota Zap really costs
Noota is not a premium app, so it works on the free plan. The New Report trigger never costs a task, and Zapier waiting for reports costs nothing.
- Free plan100 tasks per month, unlimited Zaps
- Free plan Zap sizeTwo steps: one trigger, one action
- Noota premium? No, available on the free plan
- Noota triggerInstant, no polling delay
Each action that succeeds counts as one task; a failed one is not billed. The free plan gives 100 tasks a month, but only for two-step Zaps: one trigger, one action. That matters here: an export followed by an upload, or any of the seven searches, makes the Zap multi-step, which needs a paid plan. The interval grid below applies to polling triggers only; New Report is instant, so it never waits on it.
Connect your Noota account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a Noota account, plus access to any meeting you did not record yourself but want the Zap to read.
- 02
Pick Noota
Type Noota into the search box of the dialog, select it, then click Add connection. A new tab then opens on the Noota side, and the last step of the connection happens there.
- 03
Sign in and grant access
Log in to Noota in that tab and let Zapier reach your account. The connection then shows on the Apps page, and every later Zap that uses Noota picks it up without asking again.
Your first Zap: every transcript filed as a PDF
GoalEach time Noota finishes a meeting report, export the transcript as a PDF and save it in a shared drive folder.
- 01
Build: pick the trigger
Create a Zap, choose Noota and the
New Reportevent, then your Noota connection. The trigger is instant, so the editor marks it with a lightning bolt. - 02
Test the trigger
Run the test. Zapier brings back the three most recent reports of the connected account, so you map fields from a real meeting. No report yet? Record a short test meeting first.
- 03
Add the export
Add Noota again, event
Export Transcript as PDF, and map the Record ID from the New Report step. This second action makes the Zap multi-step, so it needs a paid plan. - 04
Add the upload
Add your drive app and its upload action, pick the folder, then map the file returned by the export. Use the meeting title from the trigger as the file name so the folder stays readable.
- 05
Test, then publish
Run each step once and open the PDF in the folder. When it looks right, click Publish. Only reports finished after that moment will be filed.
The Noota trigger
1 event starts a Zap when something happens in Noota, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Report
Instant triggerIn Zapier“Triggers when a new meeting report is ready in Noota. Includes the transcript, summary, scorecard, and audio link.”
Noota finishes processing a meeting and its report is ready: that is the moment this trigger hands over to Zapier. The report already carries the transcript, the summary, the scorecard and a link to the audio, so a simple two-step Zap can use all of it without a single search.
The 3 Noota actions
Noota gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Export Transcript as DOCX
ActionIn Zapier“Creates and returns a downloadable DOCX file of a transcript.”
Turns the transcript into a Word file that someone can open and rework. Handy when the meeting notes are the first draft of a document, not the final record.
Export Transcript as PDF
ActionIn Zapier“Creates and returns a downloadable PDF file of a transcript.”
Produces a downloadable PDF of a meeting transcript, ready for a later step to upload or attach. Pick it when the file is for reading, not editing.
Export Transcript as Text
ActionIn Zapier“Creates and returns the plain text content of a transcript.”
Returns the raw words of the meeting as plain text, with no file around them. That text can be dropped directly into a note, a database field or another tool's prompt.
The 7 Noota searches
7 search steps look for data that already exists in Noota, so a later step can use it.
A Noota search reads one piece of a meeting and passes it to the next steps. In the action-event list, the seven searches sit at the bottom under SEARCH, and each one asks for the Record ID of the meeting. Three settings decide what happens when a lookup goes wrong.
Get Audio/Video File Action
SearchIn Zapier“Get Audio/Video File for a given record ID.”
Fetches the recording of a meeting, sound or video, so a later step can store or share the file itself.
Get Clips
SearchIn Zapier“Get all clips for a specific meeting.”
Collects all the clips cut from a given meeting, the short extracts someone flagged as worth keeping.
Get Email Content
SearchIn Zapier“Get a pre-generated AI email for a specific meeting.”
Retrieves the follow-up email that Noota's AI already drafted for a meeting, so your mail tool can send or save it.
Get Public Link
SearchIn Zapier“Gets a public sharing link for a given record id.”
Returns a public sharing link for one meeting, the address you can hand to people outside your Noota workspace.
Get Report
SearchIn Zapier“Get a specific meeting report by its ID.”
Loads a full meeting report from its ID, which helps when the Zap starts somewhere other than New Report.
Get Scorecard
SearchIn Zapier“Get scorecard data for a specific meeting.”
Pulls the scorecard data of a meeting, the evaluation Noota attaches to the conversation.
Get Transcript
SearchIn Zapier“Get a specific meeting transcript by its ID.”
Reads the transcript of a specific meeting from its ID and passes the words to the next step, without producing a file.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips every step depending on it. Switch it on and the Zap continues empty-handed.
- Create X if it doesn't exist yet? This box turns a search into find-or-create. Noota has no such variant, so it does not appear on any of the seven searches.
- If multiple search results are found?Keep the first result (the default), stop the Zap, or pass every result on. It matters most for Get Clips, where a meeting may hold several clips.
When a Noota Zap breaks
Zapier attaches no help article to Noota, and no Noota-specific limit is documented. What breaks follows Zapier's general rules, with a few twists tied to meeting reports.
Four cases cover most surprises. If yours is not here, our Zapier troubleshooting page walks through the checks in order.
Old meetings never come through
A Zap only reacts to what happens after you publish it. Reports finished earlier are ignored, and exporting that history is a separate job.A search stops the whole Zap
A search that finds nothing for the Record ID, a missing scorecard for instance, halts the run by default and skips the steps after it.The free plan refuses the Zap
An export plus an upload, or any search, makes three steps or more. The free plan only builds two-step Zaps, so this one needs a paid plan.A batch of reports is held back
If many reports arrive at once, after a bulk upload for example, Zapier's flood protection can hold the batch instead of running the Zap on each.
