What the My PT Hub Zapier integration does for you
My PT Hub gathers your training clients, the programs and content you send them, and the progress they log. Linked to Zapier, it reports 24 kinds of events the moment they happen, from a new client to a finished workout, and it lets another tool invite a customer into your account.
A renewal reminder before a package runs out. Client Package Expires in One Week starts a Zap ahead of the expiry. Send the client an email and log it in a sheet in the same Zap (two actions, so a paid plan).
Sales that land in your books. Package Purchased, Package Purchase With Voucher and Purchase Package Cancelled each feed a spreadsheet or a bookkeeping tool, so purchases and cancellations stay visible outside the app.
Clients invited from wherever they sign up. Invite Customer takes a name and an email from a form or another tool and sends the invitation from My PT Hub, without you opening the app.
What Zapier does not do here: there is a single action and no search, so a Zap cannot create a program, book a session or look up a client in My PT Hub. - Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a client completing a workout. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something in an app for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Instant vs polling
- An instant trigger is reported by the app the moment the event happens; a polling one is checked by Zapier on a timer. All 24 here are instant.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.

The trigger never costs a task, however many check-ins or workouts come in. Each action that succeeds counts once, so a two-action Zap uses twice what a one-action Zap uses, and an action that fails is not counted. The free plan stops at two steps: a filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below is Zapier's rule for polling triggers; it does not apply to the 24 My PT Hub triggers, which are all instant.
Connect My PT Hub to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a My PT Hub account, plus read or write access on anything you do not own yourself and want the Zap to touch.

Pick My PT Hub
Type My PT Hub in the search box of the dialog, select it, then click Add connection. A new tab opens on the My PT Hub side, where the rest of it happens.

Sign in and grant access
Sign in to My PT Hub in that tab and allow Zapier to reach the account. After that, the connection is saved once and reused by every step that touches My PT Hub.
Your first Zap: remind clients before their package expires

Create the Zap and pick the trigger
Start a new Zap, choose My PT Hub and Client Package Expires in One Week, then select your connection. The trigger is instant: there is no interval to set.

Test the trigger
Run the test. Zapier brings back the three most recent items of the account, so pick a real one and map the next steps on it.

Write the reminder email
Add your email tool with its send action. Map the recipient and write the message around the fields of the package. Check at the test what each field holds.

Add your spreadsheet with its new-row action and map the columns. With two actions the Zap is multi-step, so it needs a paid plan.

Run each step once, read the email and the row, then click Publish to switch the Zap on for every package that comes up.

Client Booked Into Event

Package Purchased
