Whether you teach music on your own or run a school, My Music Staff is where your lessons, family payments, attendance and messages live. Linked to Zapier, it reports eight kinds of events the moment they happen, adds payments and students, updates student details and looks up students, parents, events and attendance.

A thank-you that follows each payment. Payment Added starts a Zap when a payment is recorded in a Family Account. Add Find Parent and an email step, and the family gets a note without you writing it (search plus action: a paid plan).

A student list that stays current elsewhere. New Student and Student Updated copy each change to your spreadsheet or mailing tool, so nobody re-types a phone number or an email address in a second place.

The trigger never costs a task. Each action that succeeds counts once, so a three-action Zap uses three times what a one-action Zap uses, and an action that fails is not counted. The free plan stops at two steps: a filter, a search or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below is Zapier's general rule for polling triggers; it does not apply to the eight My Music Staff triggers, which are all instant.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switch it on and the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
    Ticking this box turns a search into a find-or-create, asking for the fields needed to create the missing item. My Music Staff has no such variant on Zapier.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.

05Where do you find the Student ID or Event ID for My Music Staff Zaps?
In the address bar of My Music Staff. The Student ID is the id parameter in the URL when you view a student's page, and the Event ID is the id parameter when you edit an event in the calendar. Find Attendance Records and Update Student require a Student ID, and Find Event requires an Event ID. Inside a Zap, a Find Student step can supply the Student ID instead of typing it.
