What the NoteForms Zapier integration does
NoteForms lets you publish forms whose answers land in a Notion database. The answer already reaches Notion without Zapier. What Zapier adds is everything else: one trigger, New Submission, that reports each answer the moment it is sent, so a chat, an inbox or a CRM can react to it too.
Three results come up often. A team alert: New Submission posts each answer of a contact or request form to a chat channel, so someone picks it up while the person is still waiting. A CRM entry: the same trigger sends the name and email of a lead to your sales tool, which Notion alone does not feed. A personal confirmation: an email tool sends the respondent a follow-up right after they submit.
What Zapier does not do here is just as clear. NoteForms has no action and no search on Zapier: a Zap cannot create a form, change a submission or look one up. The integration only works outwards, from a submitted answer to other tools. It also only listens to one form per Zap, the one you pick when you set the trigger, so three forms means three Zaps.
Because New Submission is instant, the free plan's checking interval never delays it. If you are still choosing an automation tool, our Make vs Zapier comparison lays out the criteria.
Zapier vocabulary in one minute
Seven words cover this page. Each keeps the meaning given here from now on.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new form submission.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, in another app here.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app itself as it happens. New Submission is instant.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
- Connection
- Your NoteForms account linked to Zapier once, then reused by every Zap that starts from NoteForms.
What a NoteForms Zap really costs
NoteForms is not a premium app, so it works on the free plan. New Submission never costs a task: only the action that follows, in the other tool, is billed when it succeeds.
- New Submission trigger0 tasks
- Each successful action1 task (a few actions count more)
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger, one action. One form feeding one chat channel fits. Add a filter, say only requests marked urgent, or a second action, and the Zap becomes multi-step, which needs a paid plan. A failed action is not counted. The interval grid below concerns polling triggers only; New Submission is instant and never waits for it.
Connect NoteForms to Zapier in 3 steps
- 01
Open your apps
In Zapier, go to the Apps page of your account and click + Add connection. You need a NoteForms account first, with access to the workspace that holds your forms.
- 02
Pick NoteForms
Type NoteForms in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the NoteForms side to start the link between both accounts.
- 03
Sign in and allow access
Sign in to NoteForms in that tab and grant Zapier access to the account. The connection is saved once, and every Zap that starts from NoteForms picks it from a list afterwards.
Your first Zap: alert the team on every urgent request
GoalEach time someone submits the support request form, keep only the urgent ones and post them to the team channel.
- 01
Create the Zap and pick the trigger
Start a new Zap, choose NoteForms as the app and
New Submissionas the event, select your connection, then the Workspace and the Form to listen to. - 02
Test the trigger
Run the test: Zapier brings back the three most recent submissions, so you map from a real answer. If the form is new, submit it once yourself first.
- 03
Add the filter
Click the plus icon, add Filter, then set the field to check, the rule and the value. The priority answer is text, so pick a text rule.
- 04
Add the message
Add the chat app and its message action, choose the channel and map the requester's name and request into the message. Test it and read what came back.
- 05
Publish
Click Publish to switch the Zap on. With a filter it is multi-step and needs a paid plan; on the free plan, drop the filter and post every request.
The NoteForms trigger
1 event starts a Zap when something happens in NoteForms, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Submission
Instant triggerIn Zapier“Triggers when a new submission is created.”
Starts your Zap each time someone sends one of your NoteForms forms, and hands the answers to the steps that follow. The answer still lands in Notion as usual; this trigger lets other tools hear about it at the same time.
When a NoteForms Zap breaks
Zapier ties no help article to NoteForms and documents no app-specific limit. What breaks comes from how Zapier works in general, applied to a form trigger.
Four cases cover most problems. If a Zap still stalls after these checks, the Zapier troubleshooting guide walks through the diagnosis step by step.
Past answers never arrive
A Zap only reacts to submissions sent after it is published. Answers already in Notion are not picked up; moving them is a separate job.Wrong form selected
New Submission requires a Workspace and a Form. Pick a test copy instead of the live form and the Zap stays silent while real answers come in.Filter that never passes
Filter rules are typed. A number rule on a text answer, or a text rule on a numeric one, stops every run even when the data looks right.Flood after a campaign
A sudden wave of submissions, after a big mailing for example, can be held back by Zapier's flood protection instead of running at once.
