What the Google Business Profile Zapier integration does
Linking Google Business Profile to Zapier lets you build a Zap: an automation that starts on one event, then runs one or more steps for you. Here, the starting events are reviews on one of your locations, and the steps either answer them or publish a post on the profile people see in Search and Maps.
Three results come out of it. No review left unanswered: New Review hands the review to Zapier at once, and Create Reply posts an answer under it. A second look when a customer changes their mind: Updated Review fires when someone edits an existing review, so a softened or harsher rating gets attention too. Posts without opening the dashboard: Create Post publishes an update on a location from whatever your Zap received.
What Zapier does not do here: there is no search step, so a Zap cannot look up a past review or a location by itself. Nothing edits the profile's hours or details, and there is no trigger for new questions or photos. The API Request (Beta) action exists for the rest, but it is a raw request, for people who know the app's interface.
To compare the same app elsewhere, the Google Business Profile n8n integration and the Google Business Profile Make integration list what those two tools offer.
Zapier words, explained once
The page uses eight Zapier terms. Read these lines once and the rest goes faster.
- Zap
- The automation you build: one trigger, then one or more actions that run every single time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. After you switch the Zap on, Zapier waits for that event and nothing else.
- Action
- The work done after the start: the step that writes, posts or sends something in an app on your behalf.
- Task
- What Zapier bills you for. One action completed successfully equals one task, and plans are sized in tasks.
- Instant trigger
- A trigger the app reports on its own, calling Zapier as soon as the event happens, so nothing waits for a check.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a set interval and skipping what it already saw.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition. Otherwise, the run stops there.
- Connection
- Your Google Business Profile account linked to Zapier once, then reused by every step that needs it.
What a Google Business Profile Zap costs
Google Business Profile is not a premium app, so the free plan can run it. You pay in tasks, and the review triggers cost nothing.
- New Review or Updated Review0 tasks
- Each reply or post that succeeds1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
Each action that completes counts as one task: one reply posted, one task. A reply that fails is not billed. Waiting for reviews costs nothing, however many arrive. The catch is the free plan's size: two steps only, one trigger and one action. Put a filter in front of Create Reply and you have a multi-step Zap, which needs a paid plan. The interval grid only concerns polling triggers; both review triggers here are instant, so it never slows them down.
Connect Google Business Profile in three steps
- 01
Go to Apps
In Zapier, open Apps and click + Add connection. Have your Google account ready, with access to the locations you manage, including ones owned by someone else that the Zap must touch.
- 02
Select the app
Type Google Business Profile in the dialog's search box, pick it, then click Add connection. Google opens a sign-in tab so you can choose the right account.
- 03
Sign in and allow access
Log in with the Google account that manages your profile and grant Zapier access. The connection then appears in your list, ready for every Google Business Profile step.
Your first Google Business Profile Zap
GoalAnswer the new reviews of a location that pass your condition, without opening the profile.
- 01
Start a new Zap
Create a Zap from your dashboard. With a filter in it, this one is multi-step, so it needs a paid plan; drop the filter to stay on the free one.
- 02
Pick New Review
Choose Google Business Profile, then
New Review, your connection and the Location to watch. The card shows a lightning bolt because the trigger is instant. - 03
Test with real reviews
Run the test: Zapier brings back the three most recent reviews of the account. Pick a real one so the next steps are set on actual text.
- 04
Set the filter
Click the plus icon, choose Filter, and set the field, the rule and the value. Use a number rule on a number and a text rule on text, or it never passes.
- 05
Add Create Reply
Pick
Create Replyand write Your Reply. It shows publicly on Google, so keep it short, polite and inside Google's local content policies. - 06
Test, then publish
Test the action on that sample review and check the answer on the profile. When it reads well, click Publish to switch the Zap on.
The 2 Google Business Profile triggers
2 events start a Zap when something happens in Google Business Profile, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.
New Review
Instant triggerIn Zapier“Triggers when a new review is created.”
Hands each fresh review of the chosen location to Zapier, so your Zap can answer it, forward it to the team, or log it while the customer still remembers the visit.
Updated Review
Instant triggerIn Zapier“Triggers when an existing review is updated. New reviews do not trigger this; use New Review for that.”
Reacts when a customer edits a review they had already left, so the change does not go unseen.
The 3 Google Business Profile actions
Google Business Profile gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Create Post
ActionIn Zapier“Creates a post for a specified location.”
Publishes a post on one location of your profile, with a summary and a topic type that decides how Google lays it out.
Create Reply
ActionIn Zapier“Creates a reply for a specified review or updates the reply if one already exists. This action is best used with the Google My Business New Review trigger.”
Posts your answer under a review, or replaces the answer if one is already there, which makes it safe to run twice on the same review.
API Request (Beta)
ActionIn Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”
Sends a raw HTTP request to the app with your connection's sign-in already attached, for the cases the two other actions do not cover.
When a Google Business Profile Zap breaks
Zapier links no help article to this app, so the cases below come from its general rules and from the fields the operations require.
Three cases come from the fields and rules of the operations themselves, the others from the general rules of every Zap.
Old reviews stay unanswered
A Zap only reacts to what happens after you publish it. Reviews already on the profile never reach it; answering the backlog is a separate job.Updated Review ignores new reviews
Only edits to an existing review start Updated Review. If you built on it alone, first-time reviews slip through: add a New Review Zap too.The reply gets cut
Your Reply may be truncated when it runs too long. Keep the text tight, and test the action on a real review before you publish the Zap.A post type is refused
Create Post requires a Topic Type, and the Alert type only supports Covid-19 posts at this time. Choose another type for regular announcements.A burst of reviews is held
When a trigger suddenly returns a large batch, for instance after a migration, Zapier's flood protection can hold the runs instead of firing them all.No location in the dropdown
Location is mandatory on both triggers and on Create Post. If the list is empty, check that the connected Google account has access to that location.
