What the Novacal Zapier integration does with your bookings
Novacal is a scheduling tool where people book meetings with you. The Novacal Zapier integration passes each booking, cancellation or change to your other apps without code, so your CRM, your spreadsheet and your team chat always match the real calendar.
Three results come back most often. A CRM that knows who booked: Booked Event creates or updates the contact in your sales tool the moment the slot is taken. No-shows that stop surprising you: Canceled Event warns the person who was preparing the meeting, and can free up the time in a shared planning sheet. Records that follow the new date: Rescheduled Event pushes the new slot wherever the old one was written.
All three triggers are instant. Novacal reports each change to Zapier itself, so the plan's checking interval never delays these Zaps, even on the free plan.
What the integration does not do matters too. Zapier cannot book, cancel or move a meeting in Novacal: there is no action. It cannot look up an existing booking either: there is no search. Novacal only speaks; the other apps act, so every change you want has to land in a tool other than Novacal. If you are comparing tools, start with the Make vs Zapier and n8n vs Zapier comparisons.
Zapier vocabulary in one minute
Seven words to read once. The rest of the page builds on them.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a meeting booked in Novacal. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, always in another app here.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app as soon as it happens. All Novacal triggers are instant.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
- Connection
- Your Novacal account linked to Zapier once, then reused by every Zap that starts from a booking.
What a Novacal Zap really costs
A booking that starts the Zap costs nothing. Only what the Zap then does in another app is billed.
- Free plan100 tasks a month, two-step Zaps only
- TriggerNever costs a task
- Premium appNo, available on every plan
Each action that succeeds is one task; a failed one is not counted. Novacal is not a premium app, so it runs on the free plan, with one catch: two steps only, one trigger and one action. A filter that keeps only some meeting types, or a second action, makes the Zap multi-step, and that needs a paid plan. The interval grid below concerns polling triggers. Novacal has none, so your plan never slows these Zaps.
Connect Novacal to Zapier in three steps
- 01
Open the connections page
In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box: type Novacal and pick it from the list of results.
- 02
Sign in to Novacal
Click Add connection. A tab opens on Novacal: sign in with the account whose bookings the Zaps should follow. For a colleague's calendar, you also need access to it.
- 03
Grant access
Allow Zapier to reach the account. The connection is saved and offered to every Zap that starts from Novacal, so you set it up once and simply pick it afterwards.
Your first Novacal Zap: warn the team when a demo is canceled
GoalWhen a meeting that matches your condition is canceled, the team chat hears about it at once, so the rep can offer the slot to someone else.
- 01
Create the Zap
Start a new Zap, choose Novacal as the app that starts it and Canceled Event as the event. Pick the connection you just added.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent cancellations of your account, so you map the next steps on a real meeting rather than a blank one.
- 03
Add the filter
Click the plus icon and add Filter. Choose a field of the meeting, a rule and a value. Use a text rule on text: a rule of the wrong type never lets anything pass.
- 04
Add the message
Add your chat app and choose its message action. Put the guest's name and the canceled slot in the text, taken from the trigger, then test this step.
- 05
Publish
Click Publish to switch it on. The filter makes it a multi-step Zap, so it needs a paid plan. On the free plan, drop the filter and keep two steps.
The 3 Novacal triggers
3 events start a Zap when something happens in Novacal, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
Booked Event
Instant triggerIn Zapier“Triggers when a new event is booked.”
Starts your Zap each time someone takes a new slot in your Novacal calendar. It is the entry point for most setups, because a booking is usually the first real sign of interest from a prospect or a client.
Canceled Event
Instant triggerIn Zapier“Triggers when an event is canceled in Novacal.”
Fires when a meeting in Novacal is called off. Cancellations are easy to miss in a busy week, and this trigger turns each one into a signal that some other tool can act on.
Rescheduled Event
Instant triggerIn Zapier“Triggers when an event is rescheduled in Novacal.”
Reacts when a guest or a host moves an existing meeting to another slot. It keeps every other tool on the new date without anyone having to update it by hand.
When a Novacal Zap breaks
Zapier links no help article to Novacal, so these are the general traps that hit a booking flow hardest.
Most broken Novacal Zaps fall into one of these three cases, each with its fix. If one keeps resisting, head to the Zapier troubleshooting page.
Past bookings never come through
A Zap only reacts to what happens after it is switched on. Meetings booked before that stay in Novacal; copying them elsewhere is a separate job.A wave of bookings gets held back
If a campaign fills dozens of slots at once, Zapier's flood protection can hold the batch back instead of running the Zap for every booking.A filter or second action needs a paid plan
On the free plan a Zap has two steps. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan.
