Overview

What the Pembee Zapier integration can and cannot do

Pembee handles bookings for classes, courses, workshops, clubs and camps, along with registrations and payments. On Zapier it exposes one event about the people on your site: a user created, updated or deleted. Your other apps then decide what to do with it.

Three outcomes fit that single trigger. A parent or member list that fills itself: every user who signs up on your Pembee site lands in your mailing tool, ready for the next term's newsletter. A contact record kept current: when someone edits their details, the CRM copy follows. A clean-up signal: when a user is deleted on Pembee, a row in a sheet tells the office to remove them elsewhere too. All three come from User Event.

The limits are just as clear. Zapier offers no Pembee action and no search, so no Zap can create a booking, add a user or look one up in Pembee. Nothing in the integration covers bookings or payments as events either; only users. And since creation, update and deletion arrive through one event, telling them apart is your job in the Zap.

The trigger works by polling, so the plan you pick decides how fast it reacts. Before committing, the Zapier review and the Zapier alternatives page give the wider picture.

Vocabulary

Zapier terms, explained for Pembee

Six words that appear in the editor, each defined once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event that starts the Zap. With Pembee there is exactly one: User Event. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: it writes, sends or moves something. Pembee has none, so actions run in your other apps.
Task
What Zapier bills: one action completed successfully. The number in your plan is a count of those, nothing else.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items and keeping only those it has not seen yet. User Event is one.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise. It needs a paid plan.
Cost

What a Pembee Zap costs

Watching Pembee is free. Acting on it is where tasks go.

  • Cost of the Pembee trigger0 tasks
  • Free plan100 tasks a month, unlimited Zaps
  • Free plan check interval15 min
  • Steps per Zap on the free plan2
  • Paid plan required for PembeeNo

The User Event trigger never costs a task, however often Zapier checks the site. Each action after it that succeeds costs one; a failed action costs nothing. The free plan gives 100 tasks a month, unlimited Zaps and a check every 15 minutes, but each Zap is limited to two steps: one trigger, one action. A filter to keep only new users, or a second action, makes it a multi-step Zap that needs a paid plan. Pembee itself is open to the free plan. Paid plans check more often, as the grid shows.

Connect

Connect Pembee to Zapier in 3 steps

  1. 01

    Open Apps

In Zapier, open the Apps page of your account and click + Add connection. A connection is your Pembee account linked once, then reused by every Zap that needs it.

  2. 02

    Select Pembee

Search for Pembee in the dialog, select it and click Add connection. You need a Pembee account with access to the site whose users you want to follow.

  3. 03

    Sign in and authorise

Log in to Pembee in the tab that opens, then grant Zapier access to the account. Back in Zapier, the connection appears in your list and in the trigger step.

First Zap

Your first Pembee Zap

GoalCopy each Pembee user event into a Google Sheet the office can work from, and warn the office by email.

  1. 01

    Pick User Event

Create a Zap, choose Pembee as the starting app and User Event as the event, then select your Pembee connection. No other setting is required.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from the site, so you can see how a new, edited or deleted user actually looks.

  3. 03

    Add the sheet row

Add a Google Sheets step and map the user values from the test into the columns of your sheet. One row per user event, nothing more.

  4. 04

    Add an email (paid plan)

Optionally add a Gmail step that warns the office. With two actions the Zap becomes multi-step and needs a paid plan. Skip it to stay free.

  5. 05

    Test and publish

Test each action, check the row and the email, then click Publish. From that moment, Zapier checks Pembee at your plan's interval.

Triggers

The Pembee trigger

1 event starts a Zap when something happens in Pembee. Zapier checks for them at the interval your plan allows.

1

User Event

Polling trigger

In Zapier“Triggers when a user is created, updated, or deleted on a Pembee site.”

Picks up any change to the people on your Pembee site: a user created, a user updated, or a user deleted. One event, three situations, which makes it the only door between Pembee and the rest of your tools.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
keep a mailing list or a CRM in line with who is registered on your booking site.
Watch out
creations and deletions arrive through the same trigger, so read a test result before adding a filter that keeps only the case you want.
When it breaks

When a Pembee Zap breaks

Zapier attaches no help article and no documented limit to Pembee.

What goes wrong therefore follows Zapier's general rules, applied to a polling trigger. Three cases cover the ground. For anything else, start with the Zapier troubleshooting page.

  • Existing users never come through

A Zap only reacts to what happens after it is published. Users already on your Pembee site stay out, and moving them is a separate job.
  • Deleted users land in your list

User Event covers deletions as well as sign-ups. A Zap that adds every event to a mailing list will also add people who just left. Filter first.
  • A big import can be held back

If a bulk import suddenly creates many users, the trigger can return a huge batch at once, and Zapier's flood protection may hold those runs back.

FAQ

Pembee Zapier integration: questions people ask

01Is the Pembee Zapier integration free?
Yes. Zapier does not reserve Pembee for paid plans, so the User Event trigger works on the free plan. That plan includes 100 tasks a month and unlimited Zaps, with two limits worth knowing: each Zap is one trigger plus one action, and Zapier checks Pembee every 15 minutes. A filter that keeps only new users, or a second action such as an email after the sheet row, turns the Zap into a multi-step one that needs a paid plan.
02How many tasks does a Pembee Zap use?
The trigger itself uses none, even though Zapier checks Pembee again and again. Every action after it that succeeds uses one task, and a failed action is not counted. A Zap that writes a sheet row for each user event uses one task per event. Remember that updates and deletions are events too, so a site where people often edit their profile will consume more tasks than the number of sign-ups suggests.
03Is the Pembee trigger real time?
No. User Event is a polling trigger: Zapier asks Pembee for new items at a fixed interval and keeps what it has not seen yet. On the free plan that check runs every 15 minutes; on Professional every 2 minutes, and every minute on Team and Enterprise. The type is set by the app and cannot be switched from the editor. On paid plans you can also run a check by hand from the editor when you need it.
04What does it take to connect Pembee to Zapier?
A Pembee account with access to the site whose users the Zap should follow. In Zapier, open Apps, click + Add connection, search for Pembee and click Add connection, then sign in to Pembee in the new tab and grant access. The same connection is reused by every Pembee Zap afterwards. There are no mandatory fields to fill on the trigger, so once connected you can test straight away. Testing brings back the three most recent items.
05Why did a deleted Pembee user reach the mailing list?
Because User Event fires for users created, updated and deleted, all through the same trigger. A two-step Zap that sends every event to a mailing tool cannot tell them apart, so it adds people who just left as well as people who just joined. The fix is a filter between the trigger and the action, built on what the test result shows for each case. A filter makes the Zap multi-step, so it needs a paid plan.
06What if the Pembee operation you need does not exist?
Then Zapier cannot do it with Pembee today. The integration has one trigger, User Event, and no action or search: creating a booking, registering someone or looking up an attendee from a Zap is not possible. Booking and payment events are not exposed either. The workable route is to start from User Event and do the rest in other apps, while anything that must change inside Pembee stays a manual step in Pembee itself.
07Zapier, Make or n8n for Pembee?
Choose on criteria rather than brand. On Zapier, Pembee gives one polling trigger about users, no action and no search, runs on the free plan with a 15-minute check, and needs a paid plan once you add a filter. If following registered users is enough, Zapier covers it. If you need booking events, faster checks without paying, or writing back into Pembee, compare what each platform offers for this specific app before you build.
