Novi AMS is membership software for associations that keep their books in QuickBooks: members, orders, events. Zapier is a tool that links apps together without code. Connected, a new member, an order or a registration in Novi AMS can start work elsewhere, and other tools can update member records or log activity in Novi AMS.

Retrieves a registration from its unique ID or the attendee's full name, and can be narrowed to one event.

When to use it
a payment arrives elsewhere and you need the registration it belongs to.
Watch out
searching by full name can match two people at different events; narrow by event whenever you can.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this turns the search into a find-or-create: it asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Keep the first match (the default), stop the Zap, or hand all matches on at once.
When it breaks

When a Novi AMS Zap breaks

Zapier links no help article to Novi AMS and lists no specific limit for it. What breaks is what breaks on any Zap.

  • Past members and orders are never sent

    A Zap only reacts to what happens after you publish it. Records already in Novi AMS stay untouched, and moving that history is a separate job.

  • The Zap feeds itself

    Updates Member on records that Member Updated watches, or Creates Member Activity under Member Activity Created, can loop and burn tasks fast.

  • A renewal wave gets held back

    When a bulk import or a renewal campaign creates many records at once, Zapier's flood protection can hold the batch back instead of running everything.

  • The update has no Unique ID

    Updates Member stops when the Unique ID is missing. Outside tools rarely know it, so a Find Member step usually has to come first.

01Is the Novi AMS Zapier integration free?
Yes, for simple Zaps. Novi AMS is open to free Zapier accounts, and the free plan gives you 100 tasks a month with unlimited Zaps. The limit is the shape: one trigger and one action per Zap. Many useful Novi AMS flows need a search first, for example Find Member before Updates Member, and a search makes the Zap multi-step, which requires a paid plan. Simple notifications on new members or orders stay free.
02How many tasks does a Novi AMS Zap use?
One per action that succeeds, per run. The trigger never costs anything, and an action that fails is not counted. A Zap that posts each new registration to a team channel uses one task per registration. Add a second action and it becomes two. Watch Event Registration Updated in particular: every edit runs the Zap again, so a registration changed three times costs three runs. Multiply the actions by a typical month of sign-ups and compare with your plan.

04What do you need to connect Novi AMS to Zapier?
An existing Novi AMS account, with access to the members, orders and events the Zap should read or change. The connection takes three gestures: open the Apps page in Zapier, add a connection and pick Novi AMS, then sign in and grant access in the tab that opens. Every Zap then reuses it. Use an account with enough rights, since the Zap acts in its name each time it updates a member.
05Why does Updates Member fail on Novi AMS?
Most often because the Unique ID is missing. The action needs it to know which member to change, and tools outside Novi AMS rarely carry it. The fix is to add Find Member just before, search by email or name, and map the ID it returns into the update. That search makes the Zap multi-step, so plan for a paid plan if you rely on this pattern. Test it once with a known member before you publish.
06What if the Novi AMS operation you need does not exist?
Then the Zap cannot do it directly. The integration offers 2 actions and 2 searches: no action to create an order or a registration, and no delete. Find Member with its create option can still add a missing member. Otherwise, reverse the flow: let Novi AMS start the Zap and do the work in the other app. If neither fits, the job may need another automation tool or a manual step.
07Zapier, Make or n8n for Novi AMS?
