Any.do Workspace Zapier integrationAutomate Any.do Workspace with Zapier.
The Any.do Workspace Zapier integration gives you 13 triggers and 9 actions. Twelve of those triggers are instant, one checks on a timer, and none of it needs a paid plan to start. Here is what each one does, what it costs and where it trips people up.

What the Any.do Workspace Zapier integration actually does
It lets Zapier listen to what happens in your Any.do Workspace boards (a task created, moved, tagged, assigned, archived or due) and react by writing back into Any.do. You pick one event, Zapier runs the follow-up for you, every time, without anyone opening the board.
Three results people build first. Tasks that route themselves: New Workspace Task starts the Zap and Assign Task hands it to the owner, so nothing sits unclaimed. A board that reacts to labels: Tag Added to Workspace Task fires the moment a label goes on, and Move Task drops the card into the section that label stands for. Boards that start from the same mould: Create a Board From a Template spins up a new board from a predefined template, titled and placed in the workspace you choose.
What Zapier does not do here matters just as much. There is no search step for this app, so a Zap cannot look up an existing task by its title; it can only act on a task that an earlier step already handed over. Seven of the nine actions work on a task that already exists, and each of them asks for its ID. There is also no action to delete a task: Archive Task is the closest you get.
If you are still weighing tools, the Make vs Zapier comparison is the place to start, and our Zapier review covers the platform itself.
Zapier vocabulary in one minute
Seven words you will meet on this page and in the editor. Each one is explained once here, then used as is.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in Any.do Workspace that starts the Zap. Once the Zap is switched on, Zapier waits for it and nothing else.
- Action
- What the Zap does after it starts: the step that creates, moves, tags or comments on something for you in the app.
- Task
- The unit Zapier bills: one action that completes successfully. Your plan is a monthly count of those, nothing more.
- Instant vs polling trigger
- An instant trigger is pushed by the app the moment the event happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it quietly otherwise.
- Connection
- Your Any.do account linked to Zapier once, then reused by every step of every Zap that talks to Any.do Workspace.
- Multi-step Zap
- Anything beyond one trigger and one action. A second action or a filter makes the Zap multi-step, and that needs a paid plan.
What it really costs
Any.do Workspace is not a premium app on Zapier, so it works on the free plan. The bill is counted in tasks, and only some steps count.
- Free plan100 tasks a month, unlimited Zaps
- Steps on the free planTwo: one trigger, one action
- Premium appNo, available from the free plan
- Instant triggers12 of 13, no waiting on any plan
The trigger never costs a task, and neither does Zapier checking for new items, however often it looks. Every action that succeeds is counted on its own: a Zap that assigns a task and then comments on it uses two tasks per run. An action that fails is not counted. The free plan stops at two steps, one trigger and one action, so adding a filter or a second action moves you to a paid plan, whatever the app.
Connect your Any.do Workspace account
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. Have your Any.do login at hand: the connection is made once, then every Zap that uses Any.do Workspace reuses it.
- 02
Pick Any.do Workspace
Type the app name in the search box of the dialog, select Any.do Workspace, then click Add connection. A new browser tab opens on the Any.do side for you to sign in.
- 03
Sign in and grant access
Log in to Any.do in that tab and allow Zapier to reach the account. You need an Any.do account, plus access to the boards you do not own yourself and want the Zap to read or change.
Your first Zap: route every new task to its owner
GoalEach task created on a board gets an assignee and a comment explaining who picked it up, without anyone doing it by hand.
- 01
Build: set the trigger
Create a Zap, choose Any.do Workspace as the trigger app and New Workspace Task as the event. Pick the account you connected, then the workspace whose boards you want to watch.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent tasks of the connected account, so you map the next steps on a real task rather than a blank one.
- 03
Add Assign Task
Add an action, keep Any.do Workspace, choose Assign Task. Map the task from the trigger step, set the workspace and pick the member who should own new tasks.
- 04
Add Comment on a Task
Add a second action, Comment on a Task, map the same task and write the comment text. Two actions make this a multi-step Zap, so it needs a paid plan.
- 05
Test, then Publish
Test each action and check the task in Any.do: assignee set, comment posted. Then click Publish. Each new task now costs two tasks on your plan.
The 13 Any.do Workspace triggers
13 events start a Zap when something happens in Any.do Workspace, and 12 of them are instant: the app calls Zapier straight away, whatever your plan.
Board Activity
Instant triggerIn Zapier“Triggers when an activity update is reported on one of the boards in your workspace (note: this includes some updates to tasks in that board).”
Starts a Zap whenever Any.do reports an activity update on one of the boards of a workspace. Some changes made to tasks on that board count as board activity too, so it catches more than board edits.
Task Activity
Instant triggerIn Zapier“Triggers when an activity update is reported on one of the tasks in your workspace.”
The widest task-level trigger of the app: any activity update reported on a task of the chosen workspace sets it off. It is the one to pick when no narrower event fits what you are tracking.
Workspace Task Archived
Instant triggerIn Zapier“Triggers when a task is archived in one of your workspaces.”
Fires when someone archives a task in one of your workspaces. Archiving is usually the last gesture on a piece of work, which makes this a clean signal that something is finished.
File Attachment Added to Workspace Task
Instant triggerIn Zapier“Triggers when a file attachment is uploaded to a task in one of your workspaces.”
Reacts each time a file is uploaded to a task in a workspace. The task carrying the file becomes the starting point of the Zap, so later steps can act on that same task.
Workspace Task Due
Polling triggerIn Zapier“Triggers when a task's due date has arrived in one of your workspaces.”
Goes off when the due date of a task arrives in one of your workspaces. It is the only trigger of this app that runs on a timer, which changes how quickly a Zap reacts on the free plan.
Task Moved Between Sections
Instant triggerIn Zapier“Triggers when a task is moved to a different section in one of your workspaces.”
Triggers when a task changes section on a board. If your sections stand for stages (to do, in progress, review, done), each move becomes an event a Zap can answer.
Workspace Task Assigned
Instant triggerIn Zapier“Triggers when a task is assigned to a member in one of your workspaces.”
Runs as soon as a task gets a member assigned in one of your workspaces. It tells you who just inherited a piece of work, at the moment they inherit it.
Workspace Task Assignee Removed
Instant triggerIn Zapier“Triggers when a task is unassigned from a member in one of your workspaces.”
The mirror of the previous one: it fires when a member is taken off a task. A task that loses its owner is often a task about to be forgotten, and this is how you catch it.
Tag Added to Workspace Task
Instant triggerIn Zapier“Triggers when a tag is added to a task in one of your workspaces.”
Watches labels: the Zap starts when a tag is put on a task in a workspace. Tags are the quickest thing a person adds by hand, which makes them a handy switch for automations.
Comment You Were Mentioned In
Instant triggerIn Zapier“Triggers when you are mentioned in a comment on a task in Any.do Workspace.”
Personal rather than team-wide: it fires when someone mentions you in a comment on a task. It follows the person behind the connected account, not a board.
New Board
Instant triggerIn Zapier“Triggers when a new board is created in one of your workspaces.”
Fires when a new board is created in the workspaces you select. Zapier highlights it as one of the app's main triggers, and it is the natural start for anything that sets up a project.
New Workspace Task
Instant triggerIn Zapier“Triggers when a new task is created in one of your workspaces.”
Zapier puts this one forward among the app's triggers: a task created in one of your workspaces. Whoever creates it, by hand or through another tool, the Zap gets the task right after.
User Notification
Instant triggerIn Zapier“Triggers when a notification is sent to you on Any.do.”
Follows your own notifications: the Zap runs each time Any.do sends you one. An optional setting narrows it to notifications set to raise an alert, such as a push or an email.
The 9 Any.do Workspace actions
Any.do Workspace gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Tags to Task
ActionIn Zapier“Add tags to an existing task.”
Puts one or more tags on a task that already exists. Card ID and Workspace are required, so the task has to come from an earlier step.
Archive Task
ActionIn Zapier“Archive a workspace task.”
Archives a workspace task, taking it off the active board. Only the task ID is required, and it is the strongest clean-up step this app offers, since there is no delete action.
Assign Task
ActionIn Zapier“Assign an existing task to one of the members of the board.”
Hands an existing task to one of the board's members. The task ID and the workspace are required, so the task usually comes from the trigger step.
Create a Board From a Template
ActionIn Zapier“Adds a board in your Any.do Workspace using a predefined template.”
Builds a whole board from a predefined template, so every project starts from the same mould. You give it a title and a workspace, and can mark the board private.
Create Workspace Task
ActionIn Zapier“Adds a task to a board in your Any.do Workspace.”
Puts a new task on a board of your Any.do Workspace, with the title you map in. Title and workspace are the two required fields.
Comment on a Task
ActionIn Zapier“Write a comment on a task.”
Writes a comment on an existing task. You need the task's ID and the text of the comment, both required, and the text can mix fixed words with data from earlier steps.
Move Task
ActionIn Zapier“Move a workspace task to a different section.”
Shifts a task into another section of its board. With sections used as stages, this is how a Zap pushes work forward without anyone dragging cards.
Remove Tags From Task
ActionIn Zapier“Remove tags from a task.”
Clears tags from a task, with the task ID as the only required field. It is the clean-up half of Add Tags to Task.
Un-Assign Task
ActionIn Zapier“Remove assignees from a task.”
Takes the assignees off a task, leaving it unowned. Only the task ID is required, which makes this one of the simplest actions to set up.
When it breaks
Zapier ties no help article to this app and lists no limit of its own. What goes wrong comes from how Zaps work in general, and it shows up fast on an app with this many triggers.
Four cases, all tied to how Zaps work rather than to Any.do itself. If a Zap misbehaves anyway, our Zapier troubleshooting page is the next stop.
The Zap feeds itself
A Zap that writes into the workspace its own trigger watches sets itself off again: a new task creating a task, a move answering a move. It loops and burns tasks fast.Nothing from before
A Zap only reacts to what happens after you publish it. Tasks created, tagged or archived earlier are never picked up, and moving that backlog is a separate job.A bulk change gets held back
Import a pile of tasks or reorganise a big board at once and the trigger can return a huge batch. Zapier's flood protection may then hold the runs back.Due tasks are seen once
Workspace Task Due is checked on a timer, and Zapier remembers what it already saw. The same due task will not start the Zap twice, and on the free plan it is only seen at the next check, every 15 minutes.
