What the Nutcache Zapier integration does for you
It lets Nutcache announce what happens in your projects to the rest of your tools. A trigger (the Nutcache event that starts the automation) fires on invoices, projects and time entries. The action (the step that writes something for you) always sits in another app, since Nutcache offers none on Zapier.
A timesheet that builds itself. New Time Entry and Time Entry Changes copy every logged hour, and every correction, into a sheet or a reporting tool, so the numbers you review match what the team actually entered.
Invoices your bookkeeping sees at once. New Invoice and Invoice Changes pass each invoice, and each edit to it, to your accounting tool or to the person who chases payments.
A kickoff that never gets forgotten. New Project tells your chat, your file storage or your CRM that a project exists, so the folders and the welcome message are ready on day one.
What Zapier does not do here: it cannot write anything into Nutcache. No project, no invoice, no time entry gets created or edited from a Zap, and nothing can be looked up there either. The flow only goes out of Nutcache. If you want to see how other tools handle this, n8n vs Zapier and Make vs Zapier set Zapier side by side with each of them.
Zapier vocabulary in one minute
Seven words come back all over this page. Here they are in plain English.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The Nutcache event that starts the Zap, such as a new invoice. Once the Zap is switched on, Zapier waits for it.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, here always in another app.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan counts those, and only those.
- Polling vs instant
- Polling: Zapier checks the app on a timer. Instant: the app calls Zapier the moment the event happens. All Nutcache triggers are instant.
- Filter
- A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it the rest of the time.
- Connection
- Your Nutcache account, linked to Zapier one time, then reused by every step in every Zap that reads Nutcache data.
What a Nutcache Zap really costs
Zapier bills tasks, and only actions create them. Nutcache brings only triggers, so the bill sits in your other apps.
- Trigger0 tasks
- Successful action1 task
- Failed action0 tasks
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
The trigger never costs a task, however many hours get logged. Each action that succeeds in the next app counts once; one that fails counts nothing. The free plan gives 100 tasks a month and Zaps of two steps: one trigger, one action. A filter or a second action makes the Zap multi-step, which needs a paid plan. Nutcache is not a premium app, so it runs on the free plan. The interval grid below is for polling triggers, and no Nutcache trigger uses it.
Connect your Nutcache account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. Before you go further, check that you can sign in to Nutcache and that you can see the projects and invoices the Zap should follow.
- 02
Pick Nutcache
Type Nutcache in the search box, select it in the list, then click Add connection. Zapier opens a new tab where Nutcache asks for your usual login to finish the link.
- 03
Sign in and grant access
Log in to Nutcache in that tab and allow Zapier to reach the account. The connection then sits on your Apps page, and every Zap that uses Nutcache reuses it, so you do this once per account.
Your first Zap: billable hours in a shared sheet
GoalCopy every new Nutcache time entry that matches your rule into a Google Sheets row.
- 01
Create the Zap and pick the trigger
Start a new Zap, choose Nutcache as the app and New Time Entry as the event, select your connection, then pick the Company to follow. The trigger is instant, so the editor shows a lightning bolt on it.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent time entries of that company. Pick a real one: its fields are what you will map later on.
- 03
Add the filter
Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on text and a number rule on numbers, or it never passes. The filter makes this a paid, multi-step Zap.
- 04
Add the action in your sheet
Add Google Sheets as the next app, pick your file and map the fields of the time entry into the columns. This step is the one that costs a task each time it succeeds.
- 05
Test, then publish
Test the action and read what Zapier returns before going further. Then click Publish. From now on, each new entry goes through; hours logged before stay out of the sheet.
Nutcache triggers: five instant events
5 events start a Zap when something happens in Nutcache, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.
Invoice Changes
Instant triggerIn Zapier“Triggers when a new invoice is updated.”
Reacts each time an existing invoice is edited in Nutcache, so a corrected amount or a changed line reaches your other tools without a manual export.
New Invoice
Instant triggerIn Zapier“Triggers when a new invoice is created.”
Starts the Zap as soon as an invoice is created in Nutcache, which is the earliest point where finance can know about it.
New Project
Instant triggerIn Zapier“Triggers when a new project is created.”
Fires when someone opens a project in Nutcache, giving every other tool the cue that a new piece of work has begun.
New Time Entry
Instant triggerIn Zapier“Triggers when a new time entry is created.”
Picks up every hour a team member logs in Nutcache, which turns the timesheet into a live source for your reports.
Time Entry Changes
Instant triggerIn Zapier“Triggers when a time entry is updated.”
Catches edits to time already logged, such as a duration fixed after the fact.
When a Nutcache Zap breaks
Zapier links no help article to Nutcache, so the cases below are the general ones, applied to how teams use Nutcache.
Most surprises come from timing, settings and volume, not from the connection. If a Zap stops for no clear reason, the Zapier troubleshooting page is the next place to look.
No backlog when you publish
A Zap only reacts to what happens after you switch it on. Old invoices, projects and hours stay where they are; moving them is a separate job.The wrong Company
Each trigger watches the single Company set in its settings. Events from any other company in your account never reach the Zap.Bulk imports and flood protection
Importing a large batch of time entries at once can hand Zapier a huge load in one go, and its flood protection may hold those events back.Edits that multiply runs
Invoice Changes and Time Entry Changes fire on every edit. A busy week of corrections can cost far more tasks than the entries themselves.
