Overview

What the Close Zapier integration actually does for a sales team

The Close Zapier integration links your Close account to Zapier so that something happening in Close (a new lead, a call, an email, a status change) starts an automation, or so that another step writes into Close for you. No code, and the free plan is enough to start, because Close is not a premium app.

Three outcomes come up again and again. First, no lead without a next step: New Lead fires, Create Task or Create Call Task puts the follow-up on a rep's list. Second, a pipeline that reacts on its own: New Opportunity in Status catches a deal moving stage and Subscribe Contact to Workflow enrolls the buyer in the right sequence. Third, numbers without opening a dashboard: Run Opportunity Report or Run Sent Email Report returns the figures so a later step can pass them on.

Speed is rarely the issue here. 22 of the 25 triggers are instant: Close warns Zapier itself, so the Zap starts at once even on the free plan. Only New Contact in Contact Smart View, New Lead in Smart View and New Note wait for a timed check. When you hesitate between New Lead and New Lead in Smart View, the first one is the faster of the two.

What Zapier does not do for Close: it does not replay your history. A Zap only sees what happens after you publish it, so the leads already sitting in Close stay where they are. It also cannot reach anything outside what the 85 visible operations cover, except through API Request (Beta), which stays limited to Close's own domains.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in Close that starts the Zap, such as a new lead or a sent SMS. Once the Zap is on, Zapier waits for it.

Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.

Filter
A step that lets the Zap carry on only when what arrived matches the condition you set, and stops it otherwise.
Search step
A step that looks up something already in Close, a lead or a task, so the steps after it can reuse what it found.

Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter, a search step or a second action and you have a multi-step Zap, which needs a paid plan. Close itself is not premium, so it works on the free plan.

    In your Zapier account, go to Apps and click + Add connection. You need a Close account, plus access to anything you do not own and want the Zap to touch.

    Pick Close

    Type Close in the search box of the dialog and select it in the results, then click Add connection. A new browser tab opens on the Close side, where the login happens.

    Sign in and grant access

    Log in to Close in that tab and allow Zapier to use the account. From then on, every Close step of every Zap you build reuses this one connection, so you only do this once.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and the dependent steps are skipped. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find or create: the setting above disappears and the fields needed to create the missing item show up.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Close Zap breaks

Zapier's help center links one article to Close, How to get started with Close on Zapier, and no limit specific to the app is recorded for it. The traps below come from Zapier's general rules and from the Close fields themselves.

Several of these show no error at all: the Zap runs, just not the way you expected. Our Zapier troubleshooting page is there when a run does fail.

  • Your existing leads are ignored

    A Zap reacts only to what happens after you publish it. Leads, deals and notes already in Close are never picked up; moving that backlog is a separate job.
  • The Zap keeps setting itself off

    New Note with Create Note, or New Contact with Create Contact, on the same records: the Zap writes where it watches and burns tasks fast.
  • A bulk import is held back

    After a big import or a migration in Close, a trigger can return a huge batch at once, and Zapier's flood protection may hold it back.
  • A merge deleted a lead

    Merge Two Leads deletes the source lead, and on conflicting names, statuses or custom fields it keeps the destination's data only.
  • An SMS or email really went out

    Create SMS sends for real with status outbox and source Close; Create Email sends with outbox. Use draft or sent to record without sending.
  • A polling trigger seems silent

    On the three polling triggers, Zapier remembers what it has seen, so the same lead never starts the Zap twice, and it only checks every 15 minutes on Free.

Close Zapier integration: your questions

01Is the Close Zapier integration free?
Yes, you can start on the free plan, because Close is not a premium app on Zapier. The free plan gives you 100 tasks a month and as many Zaps as you like. The catch is the shape of those Zaps: each one is limited to two steps, one trigger and one action. As soon as you add a filter, a search step such as Find Lead, or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Close Zap use?
Only actions that succeed are counted. The trigger, for instance New Lead or New SMS, never costs a task, and Zapier checking for new data is free too, however often it looks. A Zap that creates a task and then a note in Close uses two tasks per run, a Zap with three actions uses three. An action that fails is not counted against your plan. A few apps and actions can take more than one task, so count your actions before you publish.
03Is Close real time in Zapier?
Mostly, yes. 22 of the 25 Close triggers are instant: Close tells Zapier the moment the event happens, so the Zap starts right away whatever your plan. The three exceptions are New Contact in Contact Smart View, New Lead in Smart View and New Note. On those, Zapier checks at a fixed interval that depends on the plan: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. An instant Zap shows a lightning bolt in the editor, which is the quickest way to check.
04What does it take to connect Close to Zapier?
A Close account, plus access to whatever you want the Zap to read or change if you do not own it. The connection itself happens in three moves: on the Apps page of Zapier, click + Add connection, search for Close and pick it, then sign in to Close in the tab that opens and let Zapier use the account. Some actions also expect things to exist in Close beforehand, such as opportunity statuses or custom activity types, so set those up in Close settings first.
05Can a Zap send an SMS or email from Close by mistake?
Yes, and the status field is the reason. Create Email only logs or prepares a message unless its status is outbox, in which case it really sends it. Create SMS goes further: with status outbox and source Close, the text leaves through the Close telephony system. To record a message that already exists, choose sent or inbox. Point the first test at your own number or address, so a real prospect never receives a draft.
06What if the Close action you need is not listed?
Look first at API Request (Beta). It is an advanced action that sends a raw HTTP request to Close using the connection you already authorized, so no new login is needed. It only reaches domains that belong to Close, and the Stop on error setting decides whether a failed request halts the Zap. Before going there, check New Event among the triggers: it covers object types and actions that no dedicated trigger handles. If neither fits, the operation is not available through Zapier today.
07Zapier, Make or n8n for Close?
