Clientjoy keeps an agency's leads, proposals, clients and invoices in one place. Zapier is the service that watches it and reacts for you: when a proposal is accepted or a payment lands, it can create, convert or update records in Clientjoy without you opening the app.

Three outcomes cover most of what a small studio wants from it.

An invoice ready the minute a deal is signed. Proposal Is Accepted starts the Zap, Convert Proposal to Invoice does the paperwork. Nobody copies line items by hand.

A pipeline that stays tidy. When a lead reaches a stage you pick, Lead Stage Is Changed fires and Convert Lead to Client or Update Lead moves the record along.

Leads from elsewhere, landed in Clientjoy. A form tool or ad platform starts the Zap, Create Lead files the prospect in the right stage with an owner.

What it does not do: there is no step that deletes a lead, client or invoice. All 12 triggers are instant, so the plan's checking interval never slows them down.

    In your Zapier account, go to Apps and click + Add connection. A connection is your Clientjoy account linked once, then reused by every step that needs it.

    Pick Clientjoy

    Search for Clientjoy by name in the dialog, select it, then click Add connection. A new tab opens for the sign-in, and you finish the connection there.

    Sign in and grant access

    Log in to Clientjoy in that tab and let Zapier access the account. You need a Clientjoy account, plus read or write rights on anything you do not own yourself and want the Zap to touch.

    In the editor, choose Clientjoy as the app that starts the Zap and Proposal Is Accepted as the event. Pick your connection.

    Choose the workspace

    The trigger asks for the workspace to watch. Test it: Zapier brings back the three most recent items from the connected account, so you map fields from a real one.

    Add the invoice step

    Add Convert Proposal to Invoice, select the same workspace, and map the proposal that came in from the trigger, so the invoice is built from it.

A search step looks up a record that already exists, so a later step can use it. In the editor, searches sit at the bottom of the Action event list under SEARCH, and some fields offer + Add search step to insert one right there. Three settings decide what happens when the lookup goes sideways.

Finds an existing lead from the field you pick. Its twin entry, Find or Create Lead, is this same search with creation switched on.

When to use it
before Update Lead or Convert Lead to Client, grab the right record from what the trigger carries.
Watch out
with creation on, a typo in the search value quietly adds a fresh lead.

Find Team Member

Search

In Zapier“This will action will fetch you the team member by their email id or full name”

Returns a member of your team from the email or full name registered in Clientjoy.

When to use it
assign the owner on Create Lead when your form only gives you the rep's email.
Watch out
the name or email must match what is registered in Clientjoy, not a nickname.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there, and the steps that relied on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create. The setting above disappears, and the step asks for the fields it needs to create the missing item.
  3. If multiple search results are found?
    Three ways out: keep the first match, which is the default, stop the Zap, or pass all the matches on at once.
When it breaks

Where a Clientjoy Zap breaks

Zapier attaches no help article to Clientjoy and lists no rate limit for it. What breaks comes from Zapier's general rules and from a few required fields.

  • Nothing from before the switch-on

    A Zap only reacts to what happens after you publish it. Proposals accepted last week stay where they are; moving that backlog is a separate job.
  • A Zap that triggers itself

    Lead Is Updated plus Update Lead on the same workspace: each edit fires the Zap, which edits again. It loops and burns tasks fast.
  • Bulk imports held back

    Importing a big batch of leads at once can trip Zapier's flood protection, which holds the runs instead of firing them all.
  • Meetings at the wrong hour

    Add a New Activity reads start and end times in GMT. Feed it local time and the meeting lands hours off.
  • Clients you did not plan

    Create Invoice makes a new client when the recipient email is unknown. One typo and the client exists twice.
  • Leads that appear from proposals

    Create Proposal adds a new lead for an unknown recipient, which can also set off any Zap watching New Lead Is Added.

Clientjoy Zapier integration: common questions

01Is the Clientjoy Zapier integration free?
Yes, on the free plan, because Clientjoy is not a premium app. That plan gives you 100 tasks a month and Zaps of two steps, one trigger and one action. Converting a proposal and booking a meeting in the same Zap means two actions, which makes it a multi-step Zap and needs a paid plan. Search steps and filters have the same effect: as soon as you add one, you are past the free plan's two-step limit. A one-trigger, one-action Zap stays free.
02How many tasks does a Clientjoy Zap use?
One task per action that goes through, and nothing for the trigger. A Zap that fires on Proposal Is Accepted and runs Convert Proposal to Invoice uses one task per accepted proposal. Add a meeting step and it is two. Actions that fail are not counted. Watch triggers that fire often, like Payment Is Added on installment plans, because each payment runs the actions again and bills them again. Counting your triggers per month gives a fair estimate of the tasks you will need.
03Does Clientjoy trigger Zaps in real time?
Yes. All 12 Clientjoy triggers are instant: Clientjoy tells Zapier as soon as the event happens, and the Zap starts at once whatever your plan. The 15-minute check of the free plan only applies to polling triggers, and Clientjoy has none. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it. Nothing to tune, nothing to upgrade for speed.
04What does it take to connect Clientjoy to Zapier?
A Clientjoy account, plus read or write rights on anything you do not own and want the Zap to change. You add it from the Apps page with + Add connection, sign in to Clientjoy in the tab that opens and grant access. Each step then asks for a workspace, so the connected account must be able to reach the workspace you plan to automate. Test a trigger once to make sure the right data comes back.
05Why does a Clientjoy meeting show up at the wrong time?
Because Add a New Activity reads its start and end times in GMT. If you pass a local time, or a relative one like tomorrow morning, the meeting is shifted by your time zone offset. Convert the time to GMT before it reaches that step, then check the first few activities the Zap creates. The field notes in the editor give the same warning for both the start and the end.
06What if the Clientjoy action you need is not there?
Then Zapier cannot do it with Clientjoy today. The list holds 9 actions and 3 searches: there is no step to delete a lead, client or invoice. Sometimes a workaround exists, such as Update Lead to move a record to another pipeline stage instead of removing it. If no combination of the existing steps gets you there, the gap is real and worth knowing before you build. Note too that Update Lead needs the lead's ID, which a Find Lead step placed just before it can supply.
07Zapier, Make or n8n for Clientjoy?
It depends on your criteria, not on a winner. On Zapier, every trigger here is instant. Cost is counted in tasks, one per successful action.
