OBVIO Zapier integrationAutomate OBVIO with Zapier.

The OBVIO Zapier integration gives you 4 triggers and 2 actions, with no search step. All four triggers are instant: a check-in, a new attendee, a ticket sale or a tag reaches Zapier as it happens, even on the free plan, since OBVIO is not a premium app.

Overview

What the OBVIO Zapier integration actually does

OBVIO runs virtual events, from a few hundred attendees up to very large audiences. Zapier is the tool that watches it for you. The integration links the two: when something happens to an attendee in OBVIO, Zapier can react, and it can also add, update or remove attendees in OBVIO when something happens elsewhere.

Three results people build first. A live attendance log: Attendee Checked In fires the moment someone enters the event, so your follow-up list is built while the session is still running. A sales feed: Attendee Ticket Purchased hands each buyer to the next step, a sheet, a CRM or a thank-you message. Registration kept in sync: Create or Update Attendee(s) matches people by email, so a sign-up form elsewhere adds them to OBVIO, and a second submission updates them instead of creating a twin.

Tags are the trigger most teams overlook. Attendee Tagged lets your team tag someone by hand in OBVIO (VIP, speaker, refund) and let the Zap do the rest.

Now, what Zapier does not do here. No search step exists for OBVIO, so a Zap cannot look up an attendee before acting. Tagging, checking in, selling a ticket? No action covers them: those stay inside OBVIO. And both actions know a single key, the email address, which leaves any attendee without one out of reach.

Vocabulary

Zapier words, in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does once it has started: the step that writes, sends or removes something on your behalf.
Task
What Zapier bills. One task is one action that completed successfully, and your plan counts those.
Instant vs polling
An instant trigger is reported by the app itself the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. OBVIO offers none.
Connection
Your OBVIO account linked to Zapier once, then reused by every step of every Zap that touches OBVIO.
Cost

What an OBVIO Zap really costs

The trigger is free. Watching OBVIO costs nothing either. You pay only when an action finishes its job.

  • TriggerNever costs a task
  • Successful action1 task each
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, OBVIO works on the free plan

Each action that succeeds counts as one task, and an action that fails is not counted. A Zap with three actions uses three tasks per run, so a busy ticket launch adds up quickly. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below applies to polling triggers only: all four OBVIO triggers are instant, so none of them waits for it.

Connect

Connect your OBVIO account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OBVIO account first, plus access to any event you do not own yourself but want the Zap to work on.

  2. 02

Find OBVIO and start the link

Type OBVIO in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the OBVIO side, ready for your login.

  3. 03

    Sign in and grant access

Log in to OBVIO in that tab and allow Zapier to reach the account. The connection then shows up in your Apps list, and every Zap that uses OBVIO picks it from there.

First Zap

Your first Zap: clear test sign-ups automatically

GoalEvery time someone registers to an OBVIO event with a test address, remove them before the real audience list gets messy.

  1. 01

    Create the Zap

Start a new Zap. Pick OBVIO as the trigger app and Attendee Created as the event, then choose the connection you set up earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent attendees of the account, so you build the rest on a real record rather than a guess.

  3. 03

    Add the filter

From the plus icon, add Filter. Pick the email field, a text rule, and the domain your team uses for tests. A number rule would never pass here.

  4. 04

    Add the action

Pick OBVIO again, then Delete Attendee(s), and map the email from the trigger into the Email field. Test the step on a dummy attendee, never a real one.

  5. 05

    Publish

Click Publish to switch it on. This Zap has a filter, so it is multi-step and runs on a paid plan. On the free plan, drop the filter and pick a different action.

Triggers

The 4 OBVIO triggers

4 events start a Zap when something happens in OBVIO, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Attendee Checked In

Instant trigger

In Zapier“Triggers when an attendee is checked into an Obvio event.”

Starts the Zap as soon as a registered person walks into one of your OBVIO events. You get who actually showed up, not who signed up, which is the list sales and support care about after the session.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
send a same-day replay or survey only to people who were really in the room, and leave no-shows to a different message.
Watch out
the Zap only sees check-ins made after it is published, so turn it on before doors open.
2

Attendee Created

Instant trigger

In Zapier“Triggers when a new attendee is created in an Obvio event.”

Fires each time a new attendee record appears in an OBVIO event, whatever brought it there: a registration page, a manual add by your team, or another Zap writing into OBVIO.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
push every new registrant to your CRM or newsletter tool while the interest is fresh, and confirm by email from there.
Watch out
if a Zap of yours uses Create or Update Attendee(s), each new person it creates starts this trigger too, so check you are not building a loop.
3

Attendee Ticket Purchased

Instant trigger

In Zapier“Triggers when ticket is purchased by attendee.”

Kicks off when an attendee buys a ticket. This is the one paid events lean on, because it separates buyers from people who only registered for free content.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
log each sale in a shared spreadsheet for finance, or alert the sales channel when a buyer comes from a target account.
Watch out
a launch with a burst of sales triggers one run per buyer, and each action in the Zap bills one task per run.
4

Attendee Tagged

Instant trigger

In Zapier“Triggers when an Attendee is tagged in an Obvio event.”

Runs when someone on your team applies a given tag to an attendee in OBVIO. You turn a simple label into a workflow: tag a person VIP and the Zap handles the rest, no export needed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
hand speakers or sponsors to a dedicated onboarding sequence the second a coordinator tags them.
Watch out
the Tag Label field is mandatory, so agree on the exact tag name with the team before you build the Zap.
Actions

The 2 OBVIO actions

OBVIO gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Attendee(s)

Action

In Zapier“Creates or updates (by email) attendees in an Obvio event”

Adds a person to an OBVIO event, or updates them if that email is already there. One action covers both cases, so repeat sign-ups do not create duplicates.

When to use it
a webinar form or a payment page outside OBVIO registers people without anyone copying names by hand.
Watch out
the email is the only key and it is mandatory, so a typo creates a brand new attendee.
2

Delete Attendee(s)

Action

In Zapier“Deletes Attendees in an Obvio Event.”

Removes an attendee from an OBVIO event, found by email address. It is the cleanup step: refunds, cancellations, or test records you do not want in the final count.

When to use it
a refund marked in your payment tool takes the person off the event list on its own.
Watch out
the Zap removes whoever matches the email it receives, so test it on a dummy attendee before you publish.
When it breaks

When an OBVIO Zap breaks

Zapier lists no OBVIO-specific help article and no rate limit for this app. What breaks is the general Zapier behaviour, and with attendee data it shows up fast.

Four cases come back again and again. If the symptom is not here, our Zapier troubleshooting page covers the usual suspects.

  • Past attendees never show up

A Zap only reacts to what happens after you switch it on. People who registered last week are not picked up; moving that backlog is a separate job.
  • A loop through Attendee Created

A Zap that creates attendees with Create or Update Attendee(s) while another listens on Attendee Created sets itself off again and again, and burns tasks.
  • A bulk import gets held back

Importing a large attendee list at once can return a huge batch on a trigger. Zapier's flood protection may hold that batch back instead of running it.
  • The Zap will not publish on free

A filter or a second action turns the Zap into a multi-step Zap. On the free plan it stays at one trigger and one action, so publishing asks for a paid plan.

FAQ

OBVIO and Zapier, the questions people ask

01Is the OBVIO Zapier integration free?
Yes, on Zapier's free plan. OBVIO is not a premium app, so you can connect it without paying Zapier. The free plan gives you 100 tasks a month and as many Zaps as you like, but each Zap is limited to two steps: one trigger and one action. The moment you need a filter, a second action or a search, the Zap becomes multi-step and you need a paid plan. Your OBVIO subscription is a separate matter that this page does not cover.
02How many tasks does an OBVIO Zap use?
One task per action that succeeds, and nothing for the trigger. So a Zap that adds every ticket buyer to a sheet costs one task per sale. A Zap with three actions costs three tasks per run. An action that fails is not counted. Watching OBVIO for new attendees, check-ins or tags costs nothing, however many events you run. Keep an eye on launches: a hundred sales in a day means a hundred runs, and that alone uses the whole free monthly allowance.
03Do OBVIO triggers run in real time?
Yes, all four of them. Attendee Checked In, Attendee Created, Attendee Ticket Purchased and Attendee Tagged are instant triggers: OBVIO tells Zapier the moment the event happens, and the Zap starts right away. The polling interval of your plan, 15 minutes on the free plan, does not apply to any of them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it.
04What does it take to connect OBVIO to Zapier?
An OBVIO account, and access to the events you want the Zap to touch if someone else owns them. In Zapier you open Apps, click + Add connection, search OBVIO, click Add connection, sign in on the OBVIO tab that opens and grant access. That connection is then reused by every Zap that uses OBVIO. For the actions, keep in mind that each attendee is found by email address, and that field is mandatory.
05Can Create or Update Attendee(s) start another Zap by accident?
Yes, and it is the trap to check first. When the action creates a new attendee, OBVIO reports it like any other sign-up, so a Zap listening on Attendee Created starts too. If that second Zap writes back into OBVIO, you have a loop that runs again and again and eats your task count. Keep the trigger and the action on different events, or add a filter that skips records your own Zap created.
06What if the OBVIO operation for a given job does not exist?
Then that job stays in OBVIO or goes through another route. The integration has six operations: four triggers and two actions, with no search. There is no Zapier action to tag an attendee, check them in or sell a ticket, and no way to look up an attendee before acting. When the operation you need is missing, the usual options are doing that part by hand in OBVIO, or asking OBVIO whether it plans to add it to its Zapier app.
07Zapier, Make or n8n for OBVIO?
It depends on your criteria, not on a winner. If you want a ready OBVIO connection with instant triggers and no setup beyond a login, Zapier covers it with six operations. If your Zaps keep growing into many steps, compare how each tool counts usage, since Zapier bills every successful action. If you need an OBVIO operation Zapier lacks, check what the other tools offer for this app before choosing. The deciding question is usually volume against budget.
