Overview

What the Offboard Zapier integration actually does for you

Offboard is an AI retention tool: it runs exit interviews with customers who are leaving and pulls out what they say. Connecting it to Zapier means each of those moments can start an automation elsewhere, in your CRM, your inbox or a shared sheet, without anyone exporting anything by hand.

Three outcomes cover most of what people build. First, a churn alarm your team cannot miss: New Abnormal Churn Alert fires when finished interviews over the last day climb past twice the rolling 7-day daily average, so a sudden wave of departures reaches someone who can act on it. Second, a customer record that knows why the account left: New Interview fires each time an exit interview ends, which lets you push the outcome to the place your account managers work. Third, a weekly digest that lands on its own: New Weekly Report fires when Offboard generates its weekly interview summary, on Mondays at 09:00 UTC.

Now the limits, because they shape everything. Offboard on Zapier is a one-way street: it only has triggers. Zapier cannot start an interview, change a customer in Offboard or look anything up there. Offboard is always the first step of your automation, never a later one. The app is also flagged as beta by Zapier, so expect the catalog to move.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
What Zapier bills you for: one action that your Zap completes successfully. Your plan allowance counts these.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer instead.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it quietly otherwise.
Connection
Your Offboard account linked to Zapier once, then reused by every Zap and every step that needs Offboard.
Cost

What it really costs

Good news first: Offboard is not a premium app, so it works on the free plan. And its triggers never cost a task.

  • Premium appNo, works on the free plan
  • Trigger cost0 tasks
  • Free plan100 tasks a month, two-step Zaps
  • Offboard triggers3 instant, 0 polling

You pay only for actions that go through: each successful action counts once, a failed one does not. The free plan gives you 100 tasks a month and Zaps of two steps only, one trigger plus one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not apply here, since all three Offboard triggers are instant. Offboard's own subscription is a separate matter.

Connect

Connect Offboard to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need an Offboard account first, with access to whatever you want the Zap to touch.

  2. 02

    Pick Offboard

Type Offboard in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the Offboard side for the sign-in.

  3. 03

    Sign in and allow access

Log in to Offboard in that tab and grant Zapier access to the account. The connection now shows on your Apps page, ready for every Zap you build next.

First Zap

Your first Zap: completed interviews to your sales chat

GoalEach completed exit interview posts to a Slack channel, while saved and abandoned ones are left out.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Offboard as the app and New Interview as the event. Then select the Offboard connection you just made.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent interviews from your account, so you can pick a real one and see what it carries.

  3. 03

    Add the filter

Click the plus icon and add Filter. Set the field that holds the interview outcome, the rule, and the value for a completed interview. This makes the Zap multi-step.

  4. 04

    Add the action

Add Slack, pick the channel, and map the interview details from the trigger into the message so your team reads them in context.

  5. 05

    Test, then publish

Test each step once and read what came back. When the Slack message looks right, click Publish to switch the Zap on for good.

Triggers

Offboard triggers

3 events start a Zap when something happens in Offboard, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Abnormal Churn Alert

Instant trigger

In Zapier“Triggers when finished interviews in the last 24h exceed 2x the rolling 7-day daily average.”

Offboard watches its own interview volume and raises a flag when finished interviews over the last day go beyond twice the rolling 7-day daily average. Your Zap receives that flag and can push it wherever someone will react.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
page your retention lead or open a ticket when cancellations suddenly pile up after a price change or an outage.
Watch out
it fires on a spike relative to your usual volume, so an account with very few interviews may see it rarely.
2

New Interview

Instant trigger

In Zapier“Triggers when an exit interview is completed, saved, or cancelled (abandoned).”

Every exit interview that ends sends one item to your Zap, whether the customer completed it, saved it, or cancelled midway. That makes it the workhorse of this integration.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log each departing customer and their answers into your CRM or a shared sheet, so account managers see the reason next to the account.
Watch out
abandoned interviews come through too. Add a filter if you only want completed ones, knowing that turns the Zap into a paid, multi-step Zap.
3

New Weekly Report

Instant trigger

In Zapier“Triggers when the weekly interview summary report is generated (Mondays 09:00 UTC).”

Once a week Offboard builds a summary of the interviews it ran, and this trigger hands that summary to Zapier as soon as it is generated, on Mondays at 09:00 UTC.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
email the digest to your leadership team or drop it in a channel ahead of the Monday pipeline review.
Watch out
the timing is set by Offboard in UTC, so check how 09:00 UTC lines up with your own team's morning before you build a meeting around it.
When it breaks

When it breaks

Zapier attaches no help article to Offboard, so the traps below are the general ones that apply to any app.

Most broken Zaps come down to one of these four. If yours behaves oddly and none of them fits, the Zapier troubleshooting guide walks through the next checks.

  • No backfill of past interviews

A Zap only reacts to what happens after it is switched on. Interviews finished before you published it are never picked up; moving that backlog is a separate job.
  • A loop that eats your tasks

If a Zap writes into the very place its own trigger watches, it sets itself off again and again. With Offboard as trigger only, this bites when you chain several Zaps.
  • Flood protection after a big batch

When a trigger suddenly returns a huge batch, Zapier can hold it back. A spike of interviews after a mass cancellation is exactly that kind of moment.
  • The filter that never passes

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Pick the wrong one and your completed interviews never get through.

FAQ

Offboard Zapier questions

01Is the Offboard Zapier integration free?
Yes, as far as Zapier goes. Offboard is not a premium app, so you can connect it on the free plan. That plan gives you 100 tasks a month and Zaps of two steps, one trigger and one action. Since Offboard only offers triggers, a simple Zap like New Interview followed by a Slack message fits that limit. The moment you add a filter or a second action, the Zap becomes multi-step and you need a paid plan. Offboard's own pricing is a separate matter.
02How many tasks does an Offboard Zap use?
The trigger itself costs nothing. Zapier only counts the actions that complete successfully, once each. So a Zap that sends one Slack message per finished interview uses one task per interview. A Zap with three actions uses three tasks per interview. An action that fails is not counted. Keep in mind that New Interview also fires on saved and abandoned interviews, so without a filter you pay for those as well.
03Does Offboard send data to Zapier in real time?
Yes. All three Offboard triggers are instant: Offboard tells Zapier the moment the event happens, so your Zap starts right away, on any plan. The 15-minute polling interval of the free plan does not apply to them, and a paid plan will not make them faster. In the editor, a Zap built on an instant trigger shows a lightning bolt. The weekly report still arrives only once a week, because that is when Offboard generates it.
04What do you need to connect an Offboard account?
An Offboard account, plus access to whatever you want the Zap to touch if you do not own it yourself. Then open the Apps page in Zapier, click + Add connection, search for Offboard, and click Add connection again in the dialog. Log in to Offboard in the tab that opens and grant Zapier access to the account. The connection is saved once, shows on your Apps page, and every later Zap that uses Offboard reuses it without asking again.
05Why does New Interview fire for interviews nobody finished?
Because Offboard counts an interview as ended in three ways: completed, saved, or cancelled. The trigger fires for all three. If you only want completed interviews, add a filter after the trigger and set it on the field that carries the interview outcome. Be aware that a filter makes the Zap multi-step, which requires a paid Zapier plan. On the free plan, the alternative is to send everything and sort it on the receiving side.
06What if the Offboard operation you need is not there?
Offboard on Zapier only offers three triggers: churn alerts, finished interviews and weekly reports. There is no action and no search, so a Zap cannot create, update or look up anything inside Offboard. If the job is to push data into Offboard, Zapier cannot do it with this app today. Check the Offboard app page on Zapier from time to time, since the app is in beta and its catalog may grow.
07Zapier, Make or n8n for Offboard?
It depends on your criteria, not on a winner. First criterion: does the tool list Offboard at all? On Zapier it does, with three instant triggers that work on the free plan. Second: how a run is billed. Zapier counts every successful action, and a filter or a second action pushes you to a paid plan, so price your real Zap in each tool. Third: whether you need to write into Offboard, which Zapier cannot do today.
