Overview

What the Office 365 Zapier integration actually does for you

The integration links a business Microsoft Office 365 account to Zapier, so that something happening in your Outlook mailbox, calendar or contact list can start work in another app, and the other way round. You set the rule once; Zapier runs it every time the event shows up.

Three results people usually build first. A sorted inbox: New Email Matching Search spots a supplier invoice, then Set Categories on an Email tags it and Move Email to Folder files it. A calendar fed by other tools: a booking in your scheduling app turns into an Outlook meeting through Create Event, and Add Attendees to Calendar Event fills the guest list. An address book that stays current: a new lead in your CRM becomes an Outlook contact via Create Contact, or updates the existing one with Update Contact.

What Zapier does not do here matters just as much. It only accepts business or Enterprise accounts: an Outlook.com address or a Home 365 subscription will not connect at all. None of the 9 triggers is instant, so every one waits for Zapier's next check. And the integration covers mail, calendar, contacts and distribution lists only; there is nothing in the list for Word, Excel or SharePoint files.

If you are still weighing the tool itself, the n8n vs Zapier and Make vs Zapier comparisons help you choose between the three tools before you build anything.

Vocabulary

Zapier words, explained in one minute

Eight terms come back on every line of this page. Here they are in plain English.

Zap
The automation you build on Zapier: a single starting event, then one or more steps that run each time that event occurs.
Trigger
The event in Office 365 that kicks off the Zap, such as a new email landing. Once the Zap is on, Zapier sits and waits for it.
Action
The step the Zap carries out after it starts: it sends, writes, moves or deletes something in an app on your behalf.
Task
What Zapier counts on your bill: one action that finished successfully. Your plan's monthly allowance is a number of these.
Polling vs instant
Polling: Zapier asks the app for new items on a timer. Instant: the app warns Zapier itself, at once. Every Office 365 trigger polls.
Filter
A checkpoint step: the Zap goes on only if what arrived matches the condition you set, and stops quietly otherwise.
Search step
A step that looks up an email, event or contact that already exists, so the steps after it can reuse what it found.
Multi-step Zap
Any Zap with more than one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What it really costs

Microsoft Office 365 is not a premium app on Zapier, so it works from the free plan. The bill is counted in tasks, not in Zaps.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • BilledEach successful action; triggers are free
  • Filter or searchMakes the Zap multi-step, paid plan

The trigger never costs a task, however often Zapier checks your mailbox. Each action that succeeds counts once, so a Zap with three actions eats three times as much as a single-action one, and a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: add a filter or a search and you need a paid plan. Polling speed also follows the plan, as the grid below shows.

Connect

Connect your Office 365 account in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need a business or Enterprise Microsoft account, plus access to any mailbox or calendar you want the Zap to touch but do not own.

  2. 02

    Pick Microsoft Office 365

Type the app name in the search box of the dialog, choose Microsoft Office 365 from the results, then click Add connection. A new browser tab opens on the Microsoft sign-in screen.

  3. 03

    Sign in and grant access

Log in with the work account you want to automate and accept the access request Zapier shows. The connection is then saved once and reused by every Office 365 step in all your Zaps.

First Zap

Your first Zap: file supplier invoices without touching them

GoalEvery email whose subject mentions an invoice gets a category and moves into a dedicated folder.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Microsoft Office 365 as the app and New Email Matching Search as the event. Select the connection you added a moment ago.

  2. 02

    Set the search terms

Type the words the email must contain, for example invoice. The field accepts Microsoft's advanced query syntax if you need something sharper. Then test the trigger: Zapier pulls your three most recent matching emails so you map fields on a real one.

  3. 03

    Add the filter

Click the plus icon, pick Filter, then fill the three boxes: the sender field, a text rule, and your company domain. From here the Zap is multi-step and needs a paid plan.

  4. 04

    Tag the email

Add Set Categories on an Email, map the Email ID from the trigger and choose your Invoices category. Careful: the categories you pick replace the ones already on the message.

  5. 05

    File it, test, publish

Add Move Email to Folder with the same Email ID and your target folder. Test each step, read what came back, then click Publish to switch the Zap on.

Triggers

The 9 Office 365 triggers

9 events start a Zap when something happens in Microsoft Office 365. Zapier checks for them at the interval your plan allows.

1

Calendar Event Start

Polling trigger

In Zapier“Triggers at a specified time before an event in your calendar starts.”

Fires a set amount of time before one of your Outlook meetings begins, which makes it the natural starting point for reminders and prep work sent somewhere other than Outlook itself.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
posting the agenda of a client call in your team chat shortly before it starts.
Watch out
the lead time is required, and on the free plan it has to be 16 minutes or more (6 minutes or more on higher plans), otherwise the next check can land after the meeting has already begun.
2

New Attachment

Polling trigger

In Zapier“Triggers when there is a new attachment.”

Picks up each file that arrives attached to an email in the folder you point it at, and hands the file itself to the next step so another app can store or read it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
saving every PDF that lands in an Invoices folder straight into your accounting tool or a shared drive.
Watch out
the parent folder is mandatory, and if you also choose a child folder, the Zap watches only that child folder, not the parent.
3

New Calendar Event

Polling trigger

In Zapier“Triggers when a new event is created in your calendar.”

Starts the Zap whenever a fresh event appears in the Outlook calendar you choose, so a meeting booked in Outlook can start work in another tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
copying every new client meeting into a CRM so the account history shows it without anyone typing it twice.
Watch out
only creation counts here; a meeting that is moved or renamed later is the job of Updated Calendar Event, not this trigger.
4

New Contact

Polling trigger

In Zapier“Triggers when a new contact is added to your account”

Reacts to each person added to your Outlook address book, and passes their details on so the rest of your tools learn about them too.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
pushing a business card you just saved in Outlook into your newsletter list or your sales pipeline.
Watch out
if another Zap writes contacts into Outlook with Create Contact, this trigger will see them as new and can start a loop between the two.
5

New Email

Polling trigger

In Zapier“Triggers when a new e-mail is received in your inbox.”

The broadest door into your mailbox: every message received in the inbox becomes a run of the Zap, with sender, subject and body ready to map.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a shared support address whose every email should open a ticket in your helpdesk.
Watch out
on a busy inbox it fires a lot, and every action after it costs a task, so add a filter or switch to New Email Matching Search if you only care about some messages.
7

New Flagged Email

Polling trigger

In Zapier“Triggers when a new email is flagged.”

Turns the little flag you set in Outlook into a signal: each message you mark for follow-up starts the Zap, which makes flagging a one-click way to send work elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
flag an email on your phone and get a task in your to-do app with a link back to it.
Watch out
unflagging and reflagging the same message does not create a second run, since Zapier remembers what it has already seen.
8

New Message in Folder

Polling trigger

In Zapier“Triggers when a new new message in folder is created.”

Watches one specific mail folder rather than the inbox, so messages sorted there by an Outlook rule or by hand become the start of a Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an Outlook rule already drops all job applications into a Recruiting folder, and each one should land in your hiring tool.
Watch out
do not combine it with Move Email to Folder or Copy Email aimed at the same folder, or the Zap will keep setting itself off.
9

Updated Calendar Event

Polling trigger

In Zapier“Triggers when an event is updated.”

Catches changes to existing meetings, such as a new time, a different room or an edited description, so other tools stay in step with your calendar.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a project board or a shared planning sheet aligned when a client reschedules.
Watch out
a Zap that edits the same calendar with Update Calendar Event triggers itself again, so point the two at different calendars or guard the Zap with a filter.
Actions

The 23 Office 365 actions

Microsoft Office 365 gives you 23 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Attendees to Calendar Event

Action

In Zapier“Adds attendees to a calendar event.”

Invites more people to a meeting that already exists, without rebuilding it.

When to use it
a prospect fills in a form and gets added to next week's demo session.
Watch out
leave Merge with existing attendees off and the new names replace the current guest list instead of joining it.
2

Set Categories on an Email

Action

In Zapier“Sets the categories applied to an email.”

Applies one or more Outlook categories to a message, and can mark it read or unread in the same move.

When to use it
colour-coding incoming mail by client so the team spots it at a glance.
Watch out
the categories you set replace those already on the email; typing an unknown name creates it.
3

Add User to Distribution List

Action

In Zapier“Adds a user to a distribution list or group. Only available in Microsoft 365 Business accounts that have organizational directories.”

Adds someone's email address to an Outlook distribution list or group, so they start receiving its mail.

When to use it
a new hire recorded in your HR tool joins the all-staff list on day one.
Watch out
it only exists on Microsoft 365 Business accounts with an organizational directory.
4

Copy Email

Action

In Zapier“Create a copy of an email in another folder.”

Leaves the original in place and drops a duplicate into another folder.

When to use it
keeping an archive copy of every signed order in a dedicated folder while the team still works from the inbox.
Watch out
aim it at a folder a New Message in Folder trigger watches and you create a loop.
5

Create Event

Action

In Zapier“Create an event in the calendar of your choice.”

Puts a new meeting in the Outlook calendar you choose, with a subject, a start and an end.

When to use it
a booking taken in your scheduling tool should block the slot in Outlook too.
Watch out
with All Day Event set to true, the times you mapped are dropped and only the dates remain.
6

Create Contact

Action

In Zapier“Creates a new contact.”

Writes a new entry in your Outlook address book; only the first name is mandatory, everything else is optional.

When to use it
every signed customer in your CRM should be one click away when you write to them from Outlook.
Watch out
to avoid a second entry for the same person, run Find a Contact first or use its find-or-create box.
7

Create Draft Email

Action

In Zapier“Creates a draft of an email that can then be reviewed and sent out.”

Prepares a complete email in your Drafts folder and leaves it there, so a human reads it before anything goes out.

When to use it
a quote approved in your sales tool produces a ready-to-check cover email for the account manager.
Watch out
recipients, subject, body format and body are all required, just as with a sent email.
8

Create Draft Reply

Action

In Zapier“Creates a draft reply for an email.”

Writes a reply in the thread of an existing message and keeps it unsent, ready for a last look.

When to use it
an AI step drafts the answer to a support request and an agent validates it in Outlook.
Watch out
it needs the ID of the original email, which normally comes from a trigger or a search earlier in the Zap.
9

Create Folder

Action

In Zapier“Create a new mail folder.”

Adds a mail folder, named from what earlier steps carried.

When to use it
each project opened in your project tool gets its own Outlook folder for the related correspondence.
Watch out
run it once per project, not on every email, or you will pile up folders with near-identical names.
10

Delete Contact

Action

In Zapier“Deletes an existing contact.”

Erases a person from your Outlook address book.

When to use it
honouring a deletion request logged in your CRM across your mailbox too.
Watch out
put a filter before this step so that only confirmed requests ever reach it, and test it on a dummy contact first.
11

Delete Email

Action

In Zapier“Delete an email from a shared or own mailbox.”

Removes a message from your own mailbox or from a shared one you have rights on.

When to use it
clearing automatic alerts once their content has been copied into a log.
Watch out
test it on a throwaway message first; a wrong mapping deletes the wrong email.
12

Delete Event

Action

In Zapier“Deletes an existing event.”

Takes a meeting out of the calendar for good.

When to use it
a booking cancelled in your scheduling tool frees the slot in Outlook as well.
Watch out
it needs the event's ID, so a Find Calendar Event step usually comes first.
13

Flag / Unflag Email

Action

In Zapier“Update the follow-up flag on an email.”

Sets or clears the follow-up flag on a message, so Outlook's own to-do views reflect what happens elsewhere.

When to use it
unflag an email automatically when the related task is ticked off in your project tool.
Watch out
flagging inside a Zap triggered by New Flagged Email loops back on itself.
14

Forward Email

Action

In Zapier“Forwards an existing email to new recipients.”

Passes a message you received on to other addresses, original content included.

When to use it
sending every email that mentions a contract to your legal colleague without doing it by hand.
Watch out
both the email ID and at least one destination address are required.
15

Mark Email as Read/Unread

Action

In Zapier“Update the read status of an email.”

Changes the read status of a message without opening it.

When to use it
marking automated notifications as read once Zapier has logged them, so the unread counter only shows real mail.
Watch out
the read or unread choice is required, it never guesses from context.
16

Move Email to Folder

Action

In Zapier“Move an email to a specific folder.”

Takes a message out of where it sits and files it in the folder you pick.

When to use it
clearing receipts out of the inbox once they are logged in your expense tool.
Watch out
moving mail into a folder that a New Message in Folder trigger watches starts that other Zap too, so check where it lands.
17

Remove Categories From Email

Action

In Zapier“Remove one or more categories from an email.”

Takes chosen categories off a message and leaves the others untouched.

When to use it
dropping the To process tag once your helpdesk marks the matching ticket as solved.
Watch out
the categories to remove are required, so pick them from the list rather than guessing their names.
18

Reply to Email

Action

In Zapier“Creates a new reply to a provided email ID.”

Answers a received email inside its own conversation, so the recipient sees a proper reply rather than a new message.

When to use it
acknowledging every quote request with a short message that confirms you received it.
Watch out
unlike a draft, the reply leaves at once, so keep a filter in front if only some senders should get it.
19

Send Draft Email

Action

In Zapier“Send a draft email that was previously created.”

Pushes out a draft that is already sitting in the mailbox, typically one an earlier step created.

When to use it
a draft reviewed by a colleague goes out once the deal reaches a given stage in your CRM.
Watch out
it needs the draft's own ID, which usually comes from the Create Draft Email step earlier in the Zap.
20

Send Email

Action

In Zapier“Send an email from your Office 365 account.”

Sends a message straight from your Office 365 address, with no draft and no human check in between.

When to use it
confirming a booking or a payment to a customer the moment your other tool records it.
Watch out
mistakes go out immediately, so test it on your own address before you publish the Zap.
21

Set Email Importance

Action

In Zapier“Update an email's importance level.”

Raises or lowers the importance level of a message after it arrives.

When to use it
pushing emails from your top accounts to high importance so nobody overlooks them.
Watch out
the new importance level is required, and the Email ID has to come from a trigger or a search earlier in the Zap.
22

Update Calendar Event

Action

In Zapier“Updates a calendar event information.”

Edits an existing meeting: time, online meeting option, attendee visibility and more.

When to use it
a delivery date moved in your project tool shifts the matching Outlook milestone.
Watch out
the same attendee rule as Add Attendees applies: without the merge option, the list you send overwrites the old one.
23

Update Contact

Action

In Zapier“Updates a contact.”

Rewrites the details of a contact already in your address book.

When to use it
a phone number corrected in your CRM should not stay wrong in Outlook.
Watch out
you must point at the contact first, usually with Find a Contact just before.
Searches

The 6 Office 365 searches

6 search steps look for data that already exists in Microsoft Office 365, so a later step can use it.

Searches sit at the bottom of the action event list in the editor, under the SEARCH heading. Each one hands what it finds to the steps that follow, and each one makes the Zap multi-step. Three settings decide what happens when the result is not the one you expected.

1

Find Calendar Event

Search

In Zapier“Finds a Calendar Event in your calendar.”

Looks up one meeting by words in its subject or by its unique identifiers, and gives you its ID for later steps.

When to use it
before Update Calendar Event or Delete Event, when the trigger came from another app that does not know the Outlook ID.
Watch out
searching by UniqueId cancels every other filter of the search.
2

Find a Contact

SearchFind or create

In Zapier“Search for a contact.”

Checks whether a person is already in your Outlook address book. Its find-or-create twin, Find or Create Contact, is the same search with the creation box ticked: if nobody matches, it creates the contact instead of stopping.

When to use it
just before Update Contact, or to avoid duplicates when syncing a CRM.
3

Find Emails

Search

In Zapier“Finds emails based on search criteria.”

Hunts across the mailbox for messages matching a value you supply, typically a sender, a reference or a subject line.

When to use it
a deal closes in your CRM and you want to forward the original enquiry email to the delivery team.
Watch out
the search value is required, and a vague one returns the first match only, by default.
4

Find Emails in Specific Folder

Search

In Zapier“Searches for emails within a specific folder rather than across all mailboxes.”

Runs the same kind of hunt but limited to one folder, which is faster to reason about and less likely to grab the wrong message.

When to use it
finding the latest message in your Contracts folder rather than anywhere in the account.
Watch out
choosing the folder is mandatory.
5

Get Attachment by ID

Search

In Zapier“Retrieves a specific email attachment using its ID.”

Fetches one specific file attached to an email, when you already know both the email and the attachment.

When to use it
a Zap started by New Email needs to pass the second attachment, not the first, to your document tool.
Watch out
both IDs are required, so it nearly always follows another Office 365 step.
6

Get Calendar Events in Date Range

Search

In Zapier“Retrieves calendar events within a specific date range for reporting and automation.”

Pulls the meetings that fall between two dates and times, for a report or a summary sent elsewhere.

When to use it
building a digest of client meetings for a manager who does not live in Outlook.
Watch out
start and end are both required; with the default setting, only the first event is passed on.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing item.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When it breaks

Most Office 365 Zaps fail for one of a handful of reasons, and almost none of them shows up as a clear error message.

Zapier keeps a help article on common problems with Microsoft Office 365. The cases below are the ones to check first, and the Zapier troubleshooting service takes over when a Zap still misbehaves.

  • The account will not connect

Zapier supports business and Enterprise accounts only. An Outlook.com address or a Home 365 subscription cannot be connected, whatever you try on the sign-in screen.
  • Old emails are ignored

A Zap only reacts to what happens after you switch it on. Messages, events and contacts that existed before are never picked up; moving that backlog is a separate job.
  • The Zap keeps firing itself

A Zap that writes where its own trigger looks, such as moving mail into the folder it watches, sets itself off again and again and burns through your tasks fast.
  • A sudden flood is held back

After a bulk import of contacts or a mailbox migration, a trigger may return a huge batch at once. Zapier's flood protection can then hold it back.
  • The reminder comes too late

Calendar Event Start needs a lead time of 16 minutes or more on the free plan. Set it shorter and the next check may only happen once the meeting has started.
  • No distribution list appears

Add User to Distribution List works only on Microsoft 365 Business accounts with an organizational directory. Elsewhere the step has nothing to offer.

FAQ

Office 365 Zapier integration: your questions

01Is the Office 365 Zapier integration free?
Yes, as far as the app goes: Microsoft Office 365 is not a premium app, so it runs on Zapier's free plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps, one trigger and one action. As soon as you add a second action, a filter or a search, the Zap becomes multi-step and you need a paid plan. Your Microsoft side still has to be a business or Enterprise account, since personal Outlook.com addresses are not supported.
02How many tasks does an Office 365 Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that watches your inbox and forwards each match uses one task per forwarded email, however many times Zapier checked the mailbox in between. Add a category step and a move step and the same email costs three tasks. An action that fails is not counted. Searches count as steps of the Zap, so plan for them when you estimate a month of usage against the 100 tasks of the free plan.
03Does Office 365 trigger Zaps in real time?
No. All 9 Office 365 triggers work by polling: Zapier asks your account for new items at a fixed interval and keeps only what it has not seen before. On the free plan that check runs every 15 minutes, on Professional every 2 minutes, and on Team or Enterprise every minute. Paid plans also let you change the interval and run a check by hand from the editor, which helps while you test. If you need an instant reaction, this app cannot provide it through Zapier.
04What does it take to connect an Office 365 account?
A business or Enterprise Microsoft account that you can sign in to, plus read or write access on any shared mailbox or calendar you want the Zap to touch. In Zapier, open the Apps page, click + Add connection, pick Microsoft Office 365, then sign in and accept the access request in the tab that opens. Outlook.com addresses and Home 365 accounts are refused. For distribution lists, the tenant also needs an organizational directory, which only Microsoft 365 Business plans include.
05Why does a Calendar Event Start reminder arrive after the meeting?
Because the trigger polls, and the lead time you set has to cover the gap between two checks. On the free plan Zapier looks every 15 minutes, so the Time Before setting must be 16 minutes or more; on higher plans, 6 minutes or more is enough. With a shorter value, the meeting can start before Zapier's next look at your calendar, and the reminder lands late or arrives with nothing useful left to do. Raise the lead time first, then test again with a meeting placed a little later.
06What if the Office 365 operation you want is not in the list?
Check the searches first: a step such as Find Emails or Get Calendar Events in Date Range often gives the missing piece, and a filter can narrow a broad trigger like New Email. If the gap is a whole product, such as Word, Excel or SharePoint files, this integration does not cover it, since its 38 operations stay on mail, calendar, contacts and distribution lists. In that case, look outside this integration: the Zapier app list or a different automation tool is the place to check.
07Zapier, Make or n8n for Office 365?
It depends on your criteria rather than on a winner. Zapier gives you 38 ready-made Office 365 operations that run from the free plan, but every trigger polls and each successful action is billed as a task. Before choosing, the useful questions are how many emails you will process a month, where your data may live, and who on your team will maintain the automation once it runs. Weigh those three points, then pick the tool that answers them best for this mailbox.
