What the CRM Messaging Zapier integration does for you
CRM Messaging is a platform for sending text messages over SMS and WhatsApp. Through Zapier, it reports the messages you receive and sends SMS and WhatsApp messages for you, so a text can go out the moment something happens elsewhere, with nobody holding the phone.
No incoming message left unseen. New Incoming Message starts the Zap and Send SMS forwards it to the mobile of whoever is on duty, so a customer text does not wait in an inbox nobody checks.
SMS sent from your other tools. Send SMS and its (Global) twin send a text built from earlier steps, to a number that carries its country code.
WhatsApp that respects the rules. Send WhatsApp Templates sends a template already approved, by its unique name, while Send WhatsApp Non Templates sends free text.
What Zapier does not do here: there is no search to find a contact or a conversation, no action other than sending, and the triggers watch messages you receive, not the ones you send. If you need to log or update a contact, that happens in another app of the Zap.

Zapier vocabulary in one minute

- Zap
- The automation you build on Zapier: one trigger that starts it, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that sets the Zap off. Once the Zap is published, Zapier sits and waits for that event to come up.

- The step that does the work after the start: it creates, sends or writes something in an app on your behalf.
- Task
- Zapier's billing unit. One task is one action that completed successfully, and your plan is sized as a count of those.
- Polling vs instant
- Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier itself the moment something happens.
- Filter
- A step that lets the Zap carry on only when the incoming item meets a condition you set, and stops it otherwise.
- Connection
- Your CRM Messaging account linked to Zapier once, then reused by every step of every Zap that works with CRM Messaging.
What a CRM Messaging Zap really costs

Zapier counts in tasks. Looking for new data never costs anything, and an action that fails is not billed. Each action that succeeds counts on its own, so a Zap with three actions uses three tasks per run. The free plan gives you 100 tasks a month and Zaps of exactly two steps. Add a second action, a filter or a search step and the Zap turns multi-step, which needs a paid plan. CRM Messaging is not a premium app: it works from the free plan. The plan also sets how often a polling trigger checks for new items, and that check is free.
Connect CRM Messaging to Zapier in three steps

Open Apps and start a connection
In your Zapier account, go to the Apps page and click + Add connection. Type CRM Messaging in the search box of the dialog and pick it from the list of results.

Sign in to CRM Messaging
Click Add connection. A new tab opens on the CRM Messaging side: log in with the account the Zap should work with. You need an account there, plus read or write access to anything you do not own yourself.

Grant access, once
Approve the access Zapier asks for. That connection is now reusable: every CRM Messaging step in every Zap picks it up, so you link the account once rather than once per Zap.
Your first CRM Messaging Zap: forward every text

Build: pick the trigger
In the Build phase, choose CRM Messaging as the trigger app and New Incoming Message as the event, then select the connection you made earlier.

Test on a real message
Run the trigger test. Zapier pulls the three most recent incoming messages of your account, so you build the next steps on a real one rather than placeholder text.

Add the filter
Add a Filter step. In Configure & test, pick the message text as the field, a text rule, and the word your patients use to cancel as the value. Paid plan from here.

Set up Send SMS
Add Send SMS. Type the on-duty number with its country code, no plus sign, and build the Message Body from the test message. Keep it under 160 characters, which is 1 SMS credit.

Test, then Publish
Use Test on each step and check the phone receives the text. Then click Publish: Zapier looks for new messages on your plan's schedule.

When a CRM Messaging Zap breaks
Zapier attaches no help article to CRM Messaging, so the traps are the general ones plus what the fields of the app ask for.
Good news first: a polling trigger remembers what it has already returned, so the same message never starts the Zap twice. The four cases below are where things really go wrong. If a run fails anyway, start with our Zapier troubleshooting guide.
Earlier messages are never picked up
The Zap only reacts to messages received after you publish it. Anything already in the inbox stays there, and dealing with that backlog is a separate job.A burst of messages gets held back

The send actions want the country code without a plus sign or special characters. A number copied with spaces or a + does not match that format, so clean it first.A template name that does not match
Send WhatsApp Templates needs the approved body and the unique template name. Both are required: if one arrives empty, the action fails and no task is billed.
