OmniMind Zapier integrationAutomate OmniMind with Zapier.
The OmniMind Zapier integration gives you 0 triggers, 1 action and 0 searches: Omni Ask, which puts a question to one of your OmniMind agents and brings back its answer. Every automation therefore starts in another app, and OmniMind does the thinking in the middle.

What the OmniMind Zapier integration actually does
OmniMind is an AI assistant that answers from a project you have set up beforehand. Zapier, the automation service, can hand it a question taken from another app, wait for the answer, and pass that answer to whatever comes next. It is a single move, Omni Ask, and it never starts anything on its own.
Three results you can build on that one action.
A first answer to every customer question. A message arriving through your contact form goes to Omni Ask, and the agent's answer lands in your team chat, ready to check before anyone replies.
Internal questions answered from your own project. A question typed into a shared sheet becomes an Omni Ask run, so colleagues get a reply rooted in the project rather than a generic one.
Drafts prepared before you open your inbox. An incoming email is passed to Omni Ask, and the answer becomes a draft you edit instead of a blank page.
What Zapier does not do here: nothing can start from OmniMind, since it has no trigger on Zapier, and there is no way to look up past answers or manage agents and projects. You set those up in OmniMind itself; Zapier only asks the question.
Worth knowing: one question costs one task, but anything useful needs the answer to go somewhere, which means a second action and a paid plan. If you are weighing other tools for the same job, see Make vs Zapier and n8n vs Zapier.
The Zapier words you need, in plain English
Eight words cover everything on this page. After this list, each one is used exactly as defined.
- Zap
- The automation you build in Zapier: one trigger that starts it, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. OmniMind offers none on Zapier, so the trigger always comes from another app you connect.
- Action
- What the Zap does once it has started. With OmniMind, the only one available is Omni Ask, which asks your agent a question.
- Task
- The unit Zapier bills: one action completed successfully. The monthly allowance on your plan is a count of those, nothing else.
- Polling vs instant
- Polling: Zapier checks the source app on a timer for new items. Instant: the app tells Zapier itself when the event happens, no waiting.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise. It needs a paid plan.
- Connection
- Your account of an app, linked to Zapier once and then reused by every step that uses that app, in every Zap you build.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then requires a paid plan.
What asking OmniMind through Zapier really costs
The trigger never costs anything, and neither does Zapier checking the source app for new items. What gets counted is each Omni Ask that goes through: one question answered, one task off your plan.
- Billed per run1 task per Omni Ask that succeeds
- Free plan100 tasks a month, two-step Zaps only
- Reserved for paid plansNo, OmniMind works on Free

A run where Omni Ask fails is not counted. OmniMind is not reserved for paid plans, so it works on Free: 100 tasks a month, unlimited Zaps, and a check every 15 minutes on polling triggers. The catch is that Free stops at two steps. Sending the answer anywhere means a second action, so the Zap becomes multi-step, needs a paid plan and costs two tasks per question. On a paid plan, a polling trigger in the starting app also checks more often, as the grid below shows.
Connect OmniMind to Zapier in three steps
- 01
Open the connection dialog
In your Zapier account, go to the Apps page and click + Add connection. You need an OmniMind account beforehand: Zapier links to an existing one, it does not create it for you.
- 02
Find OmniMind and confirm
Type OmniMind in the search box of the dialog, pick it from the results, then click Add connection. A new tab opens on the OmniMind side so you can sign in there.
- 03
Sign in and grant access
Log in to OmniMind in that tab and grant Zapier access to the account. The connection then sits on your Apps page, and every Zap that asks OmniMind something reuses it.
Your first Zap: form questions answered in your team chat
GoalEvery question sent through your website form goes to your OmniMind agent, and the answer is posted in a Slack channel for the team to check.
- 01
Pick the app that starts it
Start building the Zap with your form tool as the starting app and the new-reply event. OmniMind cannot fill this slot, since it offers no trigger on Zapier.
- 02
Test the trigger
Run the test on the trigger step. Zapier brings back the three most recent replies from the connected account, so you map the next steps on a real question.
- 03
Add Omni Ask
Choose OmniMind as the action app and pick Omni Ask. Select the Agent, then map the visitor's question into Question. Both are required.
- 04
Send the answer on
Add a second action that posts the answer in your team chat. The Zap is now multi-step, so it needs a paid plan and costs two tasks per question.
- 05
Test, then publish
Test each step and read the answer the agent gave. If it reads right, click Publish to switch the Zap on. Replies sent before that point are not picked up.
The OmniMind action on Zapier
OmniMind gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Omni Ask
ActionIn Zapier“Provide Omnind API key, Project id and your question to get the answer”
Hands a question to the OmniMind agent you choose and returns its answer, so the next step of the Zap can post it, store it or turn it into a draft.
When the OmniMind Zap breaks
Zapier attaches no help article and no rate limit to OmniMind, so the cases below are the ones every Zap shares. For deeper diagnosis there is Zapier troubleshooting.
None of them is about the quality of the answers. They come from the app that starts the Zap, and from the way Zapier reads it.
Nothing from before the Zap
A Zap only reacts to what happens after you switch it on. Questions received last week stay unanswered by OmniMind; running them through is a separate job.Answers written back where the Zap listens
If the answer is written into the sheet or channel that starts the Zap, it sets itself off again and again and burns through tasks. Keep question and answer in separate places.Bulk imports can be held back
If the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of asking OmniMind every question at once.No duplicates from polling
On a polling trigger, Zapier remembers what it has already seen, so the same question does not start the Zap twice or get asked twice.
