What CraftMyPDF.com on Zapier is good for
The CraftMyPDF.com Zapier integration lets another app hand its data to your CraftMyPDF.com templates, so documents get produced without anyone opening the editor. CraftMyPDF.com is the builder here, never the starting point: it has no trigger on Zapier, so something else always kicks things off.
Three results come up again and again. First, a document per event: a signed deal, a paid order or a finished course becomes a PDF through Generate PDF Document, or a PNG or JPEG through Create Image for a social card or a certificate preview. Second, an existing form filled for you: Fill PDF Document writes values into the fillable fields of a PDF you already have, which is handy for official forms you cannot redesign. Third, post-processing: stamp a watermark, add page numbers or join several PDFs into one file.
What Zapier does not do for this app: it cannot tell you when a document is ready, because there is no trigger. The asynchronous option of Generate PDF Document asks for a callback URL of your own when you turn it on. It also does not design templates for you: Create New PDF Template only asks for a Template ID and a Template Name, and the layout work stays in CraftMyPDF.com.
Before picking a tool for a flow with many steps per document, see the Make vs Zapier comparison.
Zapier vocabulary in one minute
Seven words show up on every Zapier screen. Here they are in plain English, once.
- Zap
- The automation you build: one starting event, then one or more steps that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. CraftMyPDF.com has none, so the trigger always comes from another tool.
- Action
- The step that does the work once the Zap has started, such as generating a PDF or adding a watermark.
- Task
- What Zapier bills you for: one action that completes successfully. Your plan is a monthly count of these.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer; an instant one is reported by the app the moment it happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
- Multi-step Zap
- Any Zap with more than one trigger and one action. Adding a second action or a filter makes one, and it needs a paid plan.
What a CraftMyPDF.com Zap really costs
CraftMyPDF.com is not a premium app, so it works on the free plan. The bill is counted in tasks, and the trigger itself never costs one.
- Free plan100 tasks a month, two-step Zaps only
- TriggerNever costs a task
- Failed actionNot counted
- Premium appNo, works on the free plan
Each action that succeeds counts as one task, and a failed one counts as nothing. A Zap that generates a PDF and then watermarks it uses two tasks per run. The free plan gives you 100 tasks a month and only two-step Zaps: one trigger, one action. Chaining Generate PDF Document into Join Multiple PDF URLs, or adding a filter, needs a paid plan. Read-only actions such as List PDF Templates also count when they complete, so keep them out of busy Zaps.

Your first Zap: a PDF quote for every won deal
GoalWhen a deal is marked won in your CRM, generate a quote PDF from your template, then stamp it with a watermark.
- 01
Build: choose the starting event
Create a new Zap and pick your CRM with its deal-won event as the trigger. Test it: Zapier brings back the three most recent items, so you map fields on a real deal.
- 02
Add Generate PDF Document
Add CraftMyPDF.com as the action, choose Generate PDF Document, pick your template and the payload type, then map the deal fields into the data.
- 03
Name the file and set the expiration
Give the file a name ending in .pdf and fill in the expiration, in minutes, between 1 and 10080 (7 days). Both fields are required on this action.
- 04
Add Add Watermark to PDF
Add a second action, Add Watermark to PDF, map the PDF URL from the previous step, then type the watermark text and font size. This makes the Zap multi-step.
- 05
Test, then Publish
Run each step once with Test and open the returned file. When the quote looks right, click Publish to switch the Zap on.

When a CraftMyPDF.com Zap breaks
Zapier attaches no help article to CraftMyPDF.com, so what follows comes from Zapier's general limits and from the required fields of the actions.
Four cases are worth knowing before you publish: a required expiration, history, loops and bulk imports. To dig into a specific Zap, see the Zapier troubleshooting page.
Expiration is a required field
Every generating action asks for an expiration in minutes: 1 to 10080 on most, 1440 at most on Join Multiple PDF URLs. Fill PDF Document defaults to 5. Set it on purpose. No history catch-up
A Zap only reacts to events after you switch it on. Orders or deals that existed before publishing get no PDF unless you process them separately.A Zap that sets itself off
If your Zap writes the PDF back into the very place its trigger watches, it starts itself again and again and burns through your task count.Bulk imports held back
When the triggering app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the runs back.
