Overview

What the Omnitrack by VinciWorks Zapier integration does

Omnitrack is a workflow tool built for risk and compliance teams. Its Zapier integration does one thing: it lets another app push data into an Omnitrack form as a new submission, so information collected elsewhere lands in your compliance workflow without anyone retyping it.

Three results that one action can still produce. An incident log that fills itself: a staff member reports something in a form tool, and Create Submission files it in the Omnitrack form your compliance team reviews. A declarations register kept current: each row added to a shared sheet becomes an Omnitrack submission. A single entry point for requests: whatever channel collects the request, Omnitrack receives it in the same shape.

What Zapier does not do here is just as clear. Nothing that happens inside Omnitrack can start a Zap, because the app has no trigger. You cannot look up an existing submission either, since there is no search, and the integration offers no way to edit or delete what it filed. Data flows one way: into Omnitrack, and anything that should react to an Omnitrack event has to happen outside Zapier.

If you are deciding which automation tool to use, two comparisons sit on the site: n8n vs Zapier and Make vs Zapier.

Vocabulary

Zapier vocabulary, in plain words

Eight words run through this page. Here is what each one means before you meet it in the editor.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Omnitrack has none on Zapier, so the trigger always comes from another app.
Action
What the Zap does once started. Here, it is Create Submission: the step that files a new submission into an Omnitrack form.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and the count on your plan counts only those.
Polling vs instant
A polling trigger is checked by Zapier on a timer; an instant trigger is reported by its app. It decides how fast your submission arrives.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. Omnitrack offers none.
Connection
Your Omnitrack account linked to Zapier once, then reused by every Zap step that files into Omnitrack.
Cost

What an Omnitrack Zap costs

Zapier bills completed actions, not waiting. The trigger from the other app never costs a task, and checking it for new data costs nothing either.

  • Trigger (other app)0 tasks
  • Each submission filed1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Each submission Create Submission files successfully counts as one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action, which is exactly the shape of a basic Omnitrack Zap. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Omnitrack is not a premium app, so it is open from the free plan. A few apps and actions take more than one task when they complete.

Connect

Connect Omnitrack by VinciWorks in three steps

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. Search for Omnitrack by VinciWorks in the dialog and pick it. You need an Omnitrack account before you start.

  2. 02

    Sign in to Omnitrack

Click Add connection and sign in to Omnitrack in the tab that opens. Choose the account that can submit to the forms the Zap will use: a form you do not own needs write access granted to you.

  3. 03

    Grant Zapier access

Approve the access Zapier requests on your Omnitrack account. Every Zap that files into Omnitrack then reuses this connection, so you only sign in once.

First Zap

Your first Omnitrack Zap: file form responses as submissions

GoalEach relevant Google Forms response becomes a submission in an Omnitrack form.

  1. 01

    Start with the other app

Build a Zap that starts with Google Forms and New Form Response. Test it: Zapier brings back the three most recent responses, so the mapping later uses a real one.

  2. 02

    Keep only what matters

Add a Filter step and fill its three boxes: the answer to look at, the rule, the value to compare with. Pick a text rule for text. The filter makes the Zap multi-step, so it needs a paid plan.

  3. 03

    File the submission

Add Omnitrack by VinciWorks with Create Submission. Select the Form name, then map each End User Input to the form answer that should fill it, using the field IDs from your tenant.

  4. 04

    Test and read

Run each step once and read what came back before going further. If Create Submission complains, check first that each End User Input holds a field ID copied from the form's field ID section.

  5. 05

    Publish

Click Publish to switch the Zap on. Responses sent before that moment stay out. For guided help with this kind of build, there is the Zapier training.

Actions

The single Omnitrack by VinciWorks action

Omnitrack by VinciWorks gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Submission

Action

In Zapier“Creates a new submission.”

Files a new submission into the Omnitrack form you select, filled with the data the trigger brought. It is the whole integration: everything you automate with Omnitrack on Zapier goes through this step.

When to use it
a compliance team that collects incident reports in a form tool and wants each one in Omnitrack without retyping.
Watch out
each End User Input is a field ID copied from the form's section in your tenant's Configuration menu, under Required sign in forms, not a label you guess.
When it breaks

When an Omnitrack Zap breaks

Zapier links no help article to Omnitrack and records no rate limit for it, so these cases come from how Zapier works and from the two required fields of Create Submission.

Four cases cover what the sources document. If yours is not among them, the Zapier troubleshooting page is the next place to look.

  • A field ID is not the right one

Each End User Input must hold a field ID copied from the field ID section of the form this Zap fills. A label typed by hand, or an ID taken from another form, is not what it asks for.
  • The form is missing from the list

Form name is where you pick the Omnitrack form. A form you do not own needs access granted to the connected account, so check that access before rebuilding the Zap.
  • Older entries never arrive

A Zap only reacts to what happens after it is published. Responses or rows from before stay out, and moving that backlog into Omnitrack is a separate job.
  • A bulk import stalls

If the triggering app suddenly returns a huge batch, after an import for example, Zapier's flood protection can hold it back instead of filing every item.

FAQ

Omnitrack by VinciWorks Zapier integration: questions

01Is the Omnitrack by VinciWorks Zapier integration free?
Yes. Omnitrack is not a premium app, so it works on Zapier's free plan. That plan gives 100 tasks a month and builds Zaps of two steps, one trigger and one action, which fits the simplest Omnitrack Zap: another app's trigger, then Create Submission. Add a filter or a second action and the Zap turns multi-step, which requires a paid plan. The trigger app also matters: if it is a premium app, it needs a paid plan or a free trial on its own.
02How many tasks does an Omnitrack Zap use?
One per submission filed successfully. The trigger from the other app costs nothing, and Zapier checking that app for new data costs nothing either. A Zap that receives a form response and files it with Create Submission therefore uses one task per response. If Create Submission fails, that run is not counted. Add other actions to the same Zap and each one that succeeds counts on its own, so a three-action Zap uses three tasks per run. A few apps and actions take more than one task when they complete.
03Does Omnitrack receive data in real time?
It depends on the app that starts the Zap, because Omnitrack has no trigger of its own. If that trigger is instant, the app reports the event to Zapier itself and the submission is filed straight away. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on the Free plan, 2 on Professional, 1 on Team and Enterprise. The app page on Zapier shows the free-plan interval on every polling trigger, and a Zap built on an instant one shows a lightning bolt in the editor.
04What does connecting an Omnitrack account require?
An Omnitrack account and a Zapier account. On Zapier's Apps page, click + Add connection, search for Omnitrack by VinciWorks, click Add connection, sign in to Omnitrack in the tab that opens and grant access. The account you connect must be able to submit to the forms the Zap will use; forms owned by someone else need write access. To fill Create Submission you will also need to open the Configuration area of your Omnitrack tenant, where the field IDs live.
05Where do the End User Input field IDs come from?
From your Omnitrack tenant, not from Zapier. Sign in to Omnitrack, open the documentation section of the Configuration menu, choose Required sign in forms, then the form this Zap fills. Its field ID section lists one ID per field: copy each one as an End User Input of Create Submission and map the matching answer from the trigger. A label typed by hand is not a field ID. If the form changes in Omnitrack, check the IDs again before trusting the Zap.
06What if the Omnitrack operation you need does not exist?
Then Zapier cannot do it for Omnitrack today. The integration offers one visible operation, Create Submission, and nothing else: no trigger to react to what happens in Omnitrack, no search to find an existing submission, no action to edit or delete one. Anything outside filing a new submission stays manual in Omnitrack or goes through another tool. Only what the editor offers counts, so there is no hidden way around it.
07Zapier, Make or n8n for Omnitrack?
Choose by criteria. On Zapier, Omnitrack gives one action, Create Submission, works on the free plan for two-step Zaps, and bills one task per submission filed. That suits a compliance team that wants form responses or sheet rows to land in Omnitrack with nothing to maintain. If you need to react to events inside Omnitrack or read data back out of it, Zapier offers nothing for that, so check whether Make or n8n list an Omnitrack integration covering those needs before choosing.
