Overview

What the OnlineCheckWriter Zapier integration does for your payables

The OnlineCheckWriter Zapier integration lets another tool order payments for you. A Zap (the automation you build on Zapier: one starting event, then the steps that follow) watches an app you already use, and OnlineCheckWriter carries out the payment step. Almost everything here goes out: checks, mail, cards, transfers. One action works the other way and stores the bank details a customer typed into your payment form.

A check ready to go. Create Check drafts a check from an amount, a bank account and a payee. Pair it with Print Check if your office prints on site, or use Create and Mail Check when the paper should leave the building without you touching it.

A payee who gets paid by email. Create and Email Check sends the check to the payee's inbox. Contractors and suppliers who prefer digital copies stop waiting on the post.

A PDF that arrives by mail. Create Mail Document turns a public file link into a physical letter to an employee or a client. Contracts, notices, HR letters: anything you would otherwise print, stuff and stamp.

What Zapier does not do here: OnlineCheckWriter has no trigger in the editor, so nothing that happens inside it (a check cleared, a payment received) can start a Zap. It has no search either, so a Zap cannot look up an existing check or payee before acting. The starting event always comes from another app.

If you are weighing tools, the same app has a page on the Make side too: OnlineCheckWriter Make integration. For a broader opinion of the platform, read our Zapier review.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every Zapier screen. Here they are in plain English.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Here it always comes from another app.
Action
What the Zap does once started: the step that writes, sends or moves something. All 10 OnlineCheckWriter operations are actions.
Task
The unit Zapier bills: one action that completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer, at an interval set by your plan. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when what arrived matches your condition, and stops it otherwise.
Connection
Your OnlineCheckWriter account linked to Zapier once, then reused by every step that touches the app.
Cost

What a payment Zap really costs

Zapier counts tasks, not Zaps. The trigger is free, and so is every check Zapier makes for new data. Only a completed action is billed.

  • Trigger0 tasks
  • Each successful action1 task
  • Failed action0 tasks
  • Free plan100 tasks a month, 2-step Zaps
  • Premium appNo, free plan works

Each OnlineCheckWriter action that succeeds costs one task. Chain Create Check then Print Check and every run eats two. An action that fails is not counted. The free plan gives 100 tasks a month and builds Zaps of two steps only, one trigger and one action. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan. OnlineCheckWriter itself is not a premium app, so it runs on the free plan.

Connect

Connect OnlineCheckWriter to Zapier in three steps

  1. 01

    Open the connection dialog

Go to the Apps page of your Zapier account and click + Add connection. You need an OnlineCheckWriter account first, plus access to any bank account you did not set up yourself.

  2. 02

    Pick OnlineCheckWriter

Type the app's name in the search box of the dialog, select it, then click Add connection. A new tab opens on the OnlineCheckWriter side, where the sign-in happens.

  3. 03

    Sign in and grant access

Log in to OnlineCheckWriter in that tab and allow Zapier to use the account. The connection is now saved, and every Zap step that uses this app reuses it from then on.

First Zap

Your first Zap: a filtered sheet row becomes a mailed check

GoalEach approved row in a payables sheet turns into a check mailed to the payee.

  1. 01

    Build: choose the starting event

Pick the app and the event that start the Zap. Here, a new row in the sheet where your team lists approved bills. Connect the account and save.

  2. 02

    Add a filter

Add a filter step and set the field to look at, the rule and the value. Only rows marked Approved go further. This makes the Zap multi-step, so it needs a paid plan.

  3. 03

    Add the OnlineCheckWriter action

Choose OnlineCheckWriter, then Create and Mail Check. Map the amount, the payee name and the full postal address from the columns of the row.

  4. 04

    Test each step

Run each step once and read what came back. Testing the trigger brings back the three most recent rows, so you map on real data, not a guess.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, only rows added after this moment are picked up; older ones stay where they are.

Actions

The 10 OnlineCheckWriter actions in Zapier

OnlineCheckWriter gives you 10 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Check

Action

In Zapier“Creates a Check”

Drafts a check in your account from an amount, the bank account it is drawn on and the payee name. The check exists but has not left yet.

When to use it
invoices approved in another tool should become checks waiting for a final look.
Watch out
the bank account is asked by its ID, so have it at hand.
2

Create Payee

Action

In Zapier“This API endpoint allows users to create a new payee in the system. Once a payee is created, the user can initiate payments to this payee using their unique payee ID.”

Adds a new person or company to your payee list, with a name as the only required detail. Later payments can then target that payee.

When to use it
a supplier gets approved in your vendor form and should exist in OnlineCheckWriter before the first bill comes in.
3

Create Mail Document

Action

In Zapier“Sometimes you may want to send a quick PDF to your employee, and this feature allows you to do that.”

Mails a PDF as a real letter to the address you give, with a title and a shipping type. Nothing to print or stamp on your side.

When to use it
an HR letter generated by another tool should reach an employee's home.
Watch out
the file link has to be publicly reachable.
4

Create and Email Check

Action

In Zapier“Send an email to payee of an existing check”

Builds the check and emails it to the payee in one step. The payee's email is required if the payee does not have one on file yet.

When to use it
freelancers who would rather get a digital check than wait for the post.
5

Create and Mail Check

Action

In Zapier“Mail Check. Convert your existing check to physical mail. Make sure your bank account is verified and you have sufficient balance in your onlinecheckwriter's account”

Creates the check and turns it into physical mail sent to the payee's postal address, with a mailing type and a paper type to pick.

When to use it
rent, refunds or supplier payments that must arrive on paper.
Watch out
the bank account must be verified, with enough balance in OnlineCheckWriter, or the step fails.
6

Pay From Credit Card

Action

In Zapier“Allows users to securely pay using their credit card, offering a seamless and quick checkout experience.”

Pays a payee by charging one of your cards, with an invoice number, a memo and the supporting documents attached.

When to use it
a supplier insists on a check but you want the spend on a card for cash flow.
Watch out
it asks for many required items, documents included, so map every one before testing.
7

Print Check

Action

In Zapier“You can print checks by passing check id and paper type, If you would like to print multiple checks you need to pass checkId as array.”

Sends an existing check to print, on the paper type you choose. Several checks can go in one run.

When to use it
your office keeps check stock in the printer and signs on site.
Watch out
it needs a check that already exists, usually from an earlier step, which makes the Zap multi-step.
8

Save Get Paid by Form Details

Action

In Zapier“Save Your Payment Details From Your Customized Form”

Records payment details a customer typed into your custom payment form, linked to the form and to the bank account that receives the money.

When to use it
you collect bank details through your own form and want them stored in OnlineCheckWriter.
9

Create Virtual Card

Action

In Zapier“Create and issue virtual cards instantly and top them up at your convenience.”

Issues a virtual card loaded with the amount you set for the payee you name, with their email, their address and a memo.

When to use it
a one-off payment to a contractor who should not get your bank details.
10

Create Wire Transfer

Action

In Zapier“Create and issue wire transfer instantly and top them up at your convenience.”

Orders a wire transfer to the payee's bank, with routing number and account number, plus a memo for their records.

When to use it
larger supplier payments that should not travel as paper.
Watch out
a wrong account number sends real money to the wrong place, so test with care.
When it breaks

When an OnlineCheckWriter Zap breaks

Zapier links no help article to this app and lists no app-specific limit. What goes wrong comes from how Zapier itself works.

Four cases cover most surprises. Read them before you publish a Zap that moves money. When a run fails and the cause is not obvious, the Zapier troubleshooting page is the next stop.

  • Old bills are never picked up

A Zap only reacts to what happens after it is switched on. Rows already in your sheet will not turn into checks; moving that backlog is a separate job.
  • A loop that drains your tasks

If a Zap writes into the very place its own trigger watches, it sets itself off again and again. On a payment Zap, that means duplicate checks.
  • A bulk import gets held back

When the trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the runs back.
  • The same item never runs twice

On a polling trigger, Zapier remembers what it has already seen, so a row it has already handled does not issue a second check.

FAQ

OnlineCheckWriter Zapier integration: FAQ

01Is the OnlineCheckWriter Zapier integration free?
Yes, the connection itself costs nothing on Zapier's side. OnlineCheckWriter is not a premium app, so it works on the free plan. That plan gives 100 tasks a month and Zaps of two steps: one trigger from another app and one OnlineCheckWriter action. Once you add a filter or a second action, for example creating a check and then printing it, the Zap becomes multi-step and needs a paid plan. Your OnlineCheckWriter account and the payments themselves are a separate matter.
02How many Zapier tasks does an OnlineCheckWriter Zap use?
One task per OnlineCheckWriter action that completes successfully. The trigger in the other app costs nothing, and the checks Zapier runs for new data cost nothing either. A Zap that creates a check and then prints it uses two tasks per run. An action that fails is not counted against your plan. On the free plan's 100 tasks a month, a one-action Zap can therefore pay 100 bills before the allowance runs out.
03Does OnlineCheckWriter work in real time with Zapier?
It depends on the app that starts the Zap, because OnlineCheckWriter has no trigger of its own. If that other app offers an instant trigger, it reports the event itself and the Zap runs straight away, whatever your plan. If it uses a polling trigger, Zapier checks it on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The OnlineCheckWriter action then runs right after the trigger.
04What does it take to connect OnlineCheckWriter to Zapier?
An OnlineCheckWriter account, and access to any bank account or resource you do not own yourself but want the Zap to use. On Zapier, open the Apps page, add a connection, pick OnlineCheckWriter, sign in on the tab that opens and grant access. Before testing, make sure a bank account is set up in OnlineCheckWriter, since most actions ask for one, and the mail action expects it verified with enough balance.
05Why does a Create and Mail Check step fail?
The most common cause is on the OnlineCheckWriter side: the bank account must be verified and hold enough balance before a check can be mailed. The step also needs a full postal address, a mailing type and a paper type, and every one of those is required. If a column in your source app is empty for a given row, the step has nothing to send. A failed run costs no task, so the fix costs you nothing but the time to fill the missing column.
06What if the OnlineCheckWriter operation you need is not in Zapier?
Then the Zap cannot do it, because the editor only offers the 10 actions listed on this page. There is no trigger and no search, so reacting to a cleared check or looking up an existing payee is out of reach here. The workaround is to start from another app that holds the information, such as your accounting sheet, and keep OnlineCheckWriter for the outgoing payment. Otherwise, ask OnlineCheckWriter whether the operation is planned for its Zapier app.
07Zapier, Make or n8n for OnlineCheckWriter?
Decide on criteria, not on a ranking. On Zapier, OnlineCheckWriter offers 10 actions and no trigger, works on the free plan, and the free plan stops at one trigger plus one action. If your payment flow is that simple, Zapier covers it. If you need approval filters or several payment steps, budget for a paid plan, then compare the operations each tool exposes for OnlineCheckWriter and how each one bills a run before you choose.
