What the Ortto Zapier integration does for you
The Ortto Zapier integration connects your Ortto account to Zapier, a tool that chains apps together without code. You build a Zap (one automation: an event that starts it, then the steps it runs for you) so that what happens in Ortto reaches your other tools, and what happens elsewhere lands back in Ortto as records, tags and activities.
A contact base that stays in step with your other tools. New Record Created and Fields Updated push every new person or organization, and every change on the fields you pick, to the next step. Create Record does the reverse: it adds a person or an organization, or updates the one that already matches.
Segments that move on their own. Tag/Untag Records adds or removes tags, and Tag Added/Removed lets another Zap react when a tag changes. A record tagged by a form can reach a sales tool's queue without anyone forwarding it.
Consent that follows the person everywhere. Unsubscribe a Person and Opt Out From SMS apply a refusal collected in another app, so nobody keeps receiving emails or texts they declined.
All four Ortto triggers are instant: Ortto tells Zapier when the event happens, even on the free plan, where polling triggers wait for the next check. What Zapier does not do here: delete a record or send a message. The five actions stop at records, tags, custom activities and the two opt-outs.
Before picking a tool, compare them side by side: n8n vs Zapier.
Zapier words, in plain English
Eight terms come back all over this page. One line each.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Ortto offers four, all instant.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, like tagging an Ortto record.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The monthly count on your plan is a count of those.
- Polling vs instant
- Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier the moment the event happens, nothing waits.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so later steps can use what it found, like an Ortto record.
- Connection
- Your Ortto account linked to Zapier once, then reused by every Ortto step in all your Zaps.
What an Ortto Zap really costs
Ortto is not a premium app (Zapier's label for apps kept for paid plans and trials), so it works from the free plan. Your budget is counted in tasks.
- Premium appNo, free plan OK
- Free plan tasks100 per month
- Free plan Zap sizeTrigger + one action
- Ortto triggers4 instant, 0 polling
The trigger never costs a task, and neither does Zapier listening for new data. Each Ortto action that succeeds counts on its own; one that fails is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. A second action, a filter or the Search or Create Records step makes it a multi-step Zap, which needs a paid plan. The polling grid below does not slow Ortto triggers down, since all four are instant.
Connect Ortto to Zapier in three steps
- 01
Open Apps and add a connection
In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box. The connection you create here will serve every Ortto step you add later.
- 02
Pick Ortto and confirm
Type Ortto in the dialog, select it, then click Add connection. A new tab opens on the Ortto side, where you sign in with your account. Keep the Zapier tab open behind it.
- 03
Sign in and grant access
Sign in to Ortto and grant Zapier access. You need an Ortto account, plus read or write access on anything you don't own yourself but want the Zap to touch.
Your first Ortto Zap: honor an opt-out recorded on a field
GoalWhen a preference field changes on a person in Ortto and says no more email, unsubscribe that person.
- 01
Pick the trigger
Building starts with the event. Choose Ortto and Fields Updated, set Record Type, then tick the field your team uses for email preferences (up to five fields per trigger).
- 02
Test on a real record
Run the test. Zapier brings back the three most recent matching items from your Ortto account, so you set the next steps on a real person rather than a blank example.
- 03
Add a filter
From the plus icon, add Filter: the field to look at, a text rule, the value that means no more email. The filter makes this a multi-step Zap, so a paid plan.
- 04
Add Unsubscribe a Person
Add Ortto with Unsubscribe a Person, choose how to match the person in Search By, then map the value that identifies them from the trigger.
- 05
Test, then publish
Test each step once and read what came back. When the unsubscribe shows on the right person, click Publish. Only field changes made after that are handled.
The 4 Ortto triggers on Zapier
4 events start a Zap when something happens in Ortto, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.
New Activity Occurred
Instant triggerIn Zapier“Triggers when a new Ortto activity occurs.”
Starts the Zap each time a person in Ortto performs the activity you chose, so whatever Ortto records about behavior can travel to another tool and drive a next step there.
Fields Updated
Instant triggerIn Zapier“Triggers when the specified field(s) of a record have been updated in your Ortto account.”
Fires when one of the fields you selected changes on a person or an organization, which turns a simple edit in Ortto into an event other tools can react to.
New Record Created
Instant triggerIn Zapier“Triggers when a new record (contact or organization) has been added to your Ortto account.”
Kicks off when a new record, a contact or an organization, is added to your Ortto account, whatever brought it in.
Tag Added/Removed
Instant triggerIn Zapier“Triggers when a tag has beed added to, or removed from, a record.”
Reacts when a tag lands on a record or comes off it, which makes tags the cheapest way to hand a person from Ortto to another team.
The 5 Ortto actions on Zapier
Ortto gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Custom Activity
ActionIn Zapier“Create a custom Activity for a person, optionally create a new record beforehand.”
Logs a custom activity on a person's timeline, and can create the person first when they are not in Ortto yet.
Create Record
ActionIn Zapier“Create a new record (person, organization), or update an existing record in your Ortto account.”
Adds a person or an organization to Ortto, or updates the existing record when one already matches the field you chose.
Opt Out From SMS
ActionIn Zapier“Opt out a person from all SMS communications.”
Stops all SMS communications to a person in Ortto in one step.
Tag/Untag Records
ActionIn Zapier“Add or remove record (person, organization) tags.”
Puts tags on a person or an organization, or takes them off, so segments in Ortto follow what happens in your other tools.
Unsubscribe a Person
ActionIn Zapier“Unsubscribe a person from all emails.”
Removes a person from all Ortto emails, which is how a refusal collected elsewhere gets honored without anyone editing the contact by hand.
The Ortto search on Zapier
1 search step looks for data that already exists in Ortto, so a later step can use it.
A search step reads something that already exists instead of guessing it. Ortto has one, for records. In the editor, searches sit at the bottom of the Action event list, under SEARCH.
Search or Create Records
SearchIn Zapier“Search your Ortto data for a record based on the provided field or optionally create one if none is found.”
Looks through your Ortto data for a person or an organization matching the field you choose, and can create one when nothing turns up.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create. Zapier lists no separate find-or-create variant for Ortto; the search itself offers to create the missing record.
- If multiple search results are found?Three ways out when several records match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When an Ortto Zap breaks
Zapier attaches no help article to Ortto and documents no Ortto-specific limit. What goes wrong comes from how Zaps work in general, plus a few required settings of this app.
Read these before switching a Zap on. If a run still fails, the next stop is Zapier troubleshooting.
Existing contacts are not replayed
A Zap only reacts to what happens after it is switched on. Records already in Ortto never pass through it; moving that backlog is a separate job.The Zap that tags itself in a loop
Tag/Untag Records behind Tag Added/Removed on the same records, or Create Record behind New Record Created, can set the Zap off again and again and burn your task count.A bulk import gets held back
Importing a large list into Ortto fires New Record Created for a huge batch at once. Zapier's flood protection can hold that batch back.Five fields, no more
Fields Updated watches up to five fields. A sixth one needs a second Zap with its own trigger. The search finds nobody
With the default setting, a search that finds nothing stops the Zap and skips the steps after it. Check what you map into Search By first.A filter that never passes
Filter rules are typed: a text rule on a number, or the reverse, never matches. Pick the rule that fits the field before blaming Ortto.
